Legal and accounting · Software for payroll service providers

Every client sends attendance in a different Excel format, and the PF due date doesn’t wait.

Payroll service providers run salaries for many clients from attendance in different formats, Excel salary templates and the EPFO and ESIC portals. GullySystem builds a multi-client payroll workflow around your own process, so month-end stops being a scramble before the PF and ESI due dates. It starts with a free technology audit of one month’s run.

At a glance

Your clients are small factories, shops, clinics and offices who would rather not deal with PF, ESI, professional tax and TDS themselves.

Each has its own salary structure, attendance system and approval habit, and all of them want salaries on the first.

How the work runs today

At month end, clients send attendance, leave and overtime on Excel, a biometric export or a photo of a register. Your team cleans the data, updates new joiners and exits, and runs the salary sheet for each client.

The client approves the sheet, often after a few changes on WhatsApp. You prepare bank transfer files, payslips, the PF ECR, the ESI contribution and professional tax, and file before the due dates.

Through the year there are TDS on salary, Form 16, full and final settlements, and inspections where clients need registers in a hurry.

Where it breaks

What goes wrong for payroll service providers without a proper system.

Attendance arrives in every format

One client sends a biometric file, another a photo of a register. Cleaning it takes longer than running payroll.

Approvals drag to the due date

The client approves on the 12th, and the PF challan must still be paid by the 15th.

Structures differ by client

Every client has its own allowances and deductions, kept in separate Excel templates that break when copied.

Employees call us for payslips

Workers ask for payslips, UAN details and Form 16 through the client, and requests pile up.

What the software does

What we would build for payroll service providers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Client-wise salary structures

Allowances, deductions and statutory settings per client, reused every month.

Attendance import

Templates for each client’s attendance format, with errors listed before payroll runs.

Approval workflow

Salary sheets sent to the client for approval, with changes and approval time recorded.

Statutory files

PF ECR, ESI, professional tax and bank transfer files generated for upload.

Employee self-service

Payslips, UAN and Form 16 available to employees on their phone.

Compliance calendar

Due dates for each client and statute, with the status of each filing.

How it works

How the work runs from Bengaluru for your city.

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 03

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 04

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 05

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions payroll service providers ask before they call.

Can salary entries post to our clients’ Tally?

Yes. We can generate a salary journal in Tally’s import format for each client, or post directly where they allow it.

Why not use a ready payroll software?

For a handful of clients, a ready multi-company payroll package may be enough. Custom work suits providers with many clients, unusual structures or their own branded portal.

Does the software guarantee statutory compliance?

No. It calculates and prepares files from the rules you configure, and your team still reviews and files them. Every change to rates or structures is logged.

How is employee data protected?

Bank details, Aadhaar and salary data are visible only to staff assigned to that client, and every export is logged.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
