GullySystem
Legal · Personal Injury Law Firm Management Software

One system for intake, case files, records, liens and settlements.

Manage injury claim enquiries, conflict checks, case files, medical records, deadlines, advanced costs, liens, settlement splits and fee bills in one system. From the first phone call to the last payout, one case record holds the claimant, the treatment history and every sum advanced or owed. Case managers and attorneys read the same record.

  • Case stages, fee terms and document types entered the way your firm works
  • Open cases, contacts and deadlines migrated and checked by your staff
  • Edits to stages and templates handled by GullySystem staff when asked

GullySystem configures Personal Injury Law Firm Management Software around a firm’s intake, case stages, medical record requests, deadlines, advanced costs and settlements. Each case holds its claimant, providers, insurers, liens and fee terms. Attorneys, case managers and accountants read one record, and clients receive updates from it.

Where it breaks today

What goes wrong before the software.

Intake notes are scattered

The first call is written on paper, in an email or in a chat. When the case is accepted, someone has to gather those notes into a file.

Conflict checks depend on memory

Past clients, opponents and witnesses are listed in several places. A conflict can be missed when the name is spelt differently.

Records requests have no single status

Each provider receives a request and replies in its own time. The attorney cannot see which bundles are complete.

Deadlines are held by individuals

Limitation, filing and response dates sit in personal calendars. A second person cannot see what is due while the owner is away.

Costs and liens appear late

Advanced costs and provider claims are gathered at the end. The client statement then takes days to prepare.

Clients ask for news and wait

Without a status on the record, staff open the whole file to answer a short question. Updates are sent only when someone remembers.

How it runs

How the work flows through it, step by step.

  1. 1

    Intake

The call or web form is logged with incident details, injuries and parties. A conflict search runs before the engagement letter goes out.

  2. 2

    Engagement and investigation

The signed agreement and fee terms are stored. Evidence, photographs, witness details and police or incident reports are filed against the case.

  3. 3

    Treatment and records

Providers are listed, records and bills are requested, and receipts are ticked off. Treatment dates are kept in order.

  4. 4

    Demand and negotiation

A demand package is assembled from the records and costs. Each offer and counter-offer is noted with its date and author.

  5. 5

    Filing and deadlines

Where the case is filed, court dates and response dates are tracked with reminders to two people.

  6. 6

    Settlement and closing

The recovery is split into fee, costs, liens and net to the client. A statement is issued, funds are paid out and the file is closed.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Intake and engagement

Record every enquiry with where it came from, the incident and the injuries, then note whether the client has signed the engagement agreement.

Conflict search

Search clients, opponents, insurers and witnesses before a case is accepted, and keep the result on the file.

Case file and stages

Keep one record per claimant with parties, insurers, notes and stages from investigation to settlement.

Medical records and providers

List each provider, the records and bills requested, what has arrived and which requests need chasing.

Documents and evidence

File letters, reports, photographs and statements against the case, with version history and access by role.

Deadlines and court calendar

Record limitation, filing and hearing dates, with reminders sent to the responsible lawyer and a second reviewer.

Case costs and expenses

Record each advanced cost against the case with its vendor and date, so costs are ready at settlement.

Liens and settlement worksheet

Track provider and insurer claims, then work out the fee, repaid costs, liens and net to the client from the recovery.

Time entries and fee bills

Where a matter is billed by time or by stage, record hours and issue fee bills. Contingency fees follow the terms stored on the case.

Client updates and portal

Send status updates by email or messaging and let a claimant see documents and next steps through a login.

Task allocation

Assign tasks to attorneys, case managers and paralegals, with due dates and a view of each person’s open work.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Lead Management

Every injury enquiry is logged with its source, the incident and the injuries, so the firm can see which calls became signed clients.

  • Contact & Account Management

Claimants, opponents, insurers and witnesses are kept as separate contact records, which lets a name be searched before the firm accepts a case.

  • Document Management

Letters, reports, photographs and statements are filed against the claimant’s case, with versions kept and access limited by role.

  • Task Management

Each record request, call and filing becomes a task with an owner and a due date, so paralegals and attorneys see their own open work.

  • Expense Tracking

Filing fees, record charges and expert fees are recorded against the case when paid, so the total advanced is known before settlement.

  • Project Time Tracking

Hours are logged against the matter by each lawyer or paralegal, which supports fee bills where a matter is billed by time.

  • Client Portal

A claimant logs in to read status updates and shared documents for the case, which reduces calls asking where it stands.

  • Roles and Permissions

Access to medical records and privileged notes is limited by role, so intake staff and accountants see only what their work needs.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For attorneys

See each case’s stage, deadlines, offers and costs, and approve demands and settlements.

For intake staff

Log enquiries, run conflict checks, send engagement letters and hand accepted cases to a case manager.

For case managers and paralegals

Request records, chase providers, update treatment logs and keep the claimant informed.

For accountants

Record costs and receipts, prepare settlement statements and report client funds by case.

For claimants

Read case updates and shared documents through a login, without calling the office.

Reports

The numbers the owner asks for.

  • Open cases by stage and attorney
  • Records requested, received and overdue
  • Deadlines due in the next thirty days
  • Case costs advanced by case
  • Liens outstanding at each settlement
  • Intake enquiries by source and outcome
  • Settlements closed and fees earned
Good fit

Who this is built for.

  • Plaintiff firms handling vehicle, workplace and public-place injury claims
  • Boutique practices with a few attorneys and a shared case manager
  • Firms with a separate intake team that screens calls
  • Practices that advance costs and are repaid at settlement
  • Firms that want clients to see progress without phoning
Honest answer

When it is not the right choice.

  • A solo lawyer with only a few claims each year may find a calendar and shared folders sufficient.
  • A firm that mostly drafts contracts, handles property or gives corporate advice should look at Law Firm Case Management Software instead.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your stages and fee terms

Stage names, fee schedules and your engagement letters go in first, mirroring how a claim moves through your office.

Deadline rules

Limitation and filing rules for your courts are set up with your lawyers and reviewed during implementation.

Client money handling

How funds received for clients are recorded and reported is agreed with your accountant against your regulator’s rules.

Cases and contacts migrated

Your spreadsheets or present case system supply the open cases, contacts, treatment providers and costs still unrecovered.

Messages and templates

Client updates and letters are written in your own words and sent by email, text message or a chat app.

Hosted by GullySystem

Attorneys and case managers open one shared file on servers GullySystem runs. Changes to stages or letters are made by GullySystem staff.

Common questions

Questions owners ask before a demo.

Does it run conflict checks before a case is accepted?

Yes. Names of claimants, opponents, insurers and witnesses are searched against past matters. The result is saved on the file, and a lawyer decides whether to proceed.

Can it track medical records requests?

Yes. Each provider has its own request with a date and status. Received bundles are filed on the case and overdue requests are listed for the case manager.

How are deadlines handled?

Limitation, filing and hearing dates are entered against the case. Reminders reach the responsible lawyer and a second person. Your lawyers confirm the rules for each court.

Does it handle contingency fees?

Yes. The agreed fee terms are stored on the case, and the settlement worksheet applies them. Your lawyers confirm which local fee rules apply as the worksheet is built.

Can it keep client funds apart from firm funds?

It records receipts and payouts by case, so client funds can be reported alone. Your accountant and regulator’s rules shape the final set-up.

Can claimants log in?

Yes. A claimant sees updates and shared documents only. What is visible is chosen by your firm for each case.

Can existing cases be moved in?

Yes. Open matters, contacts, deadlines and advanced costs are imported from your files, and a paralegal reviews a few before the first live case.

Who owns the data?

You do. Case files, claimant histories and cost ledgers can be exported, and the quotation fixes the format.

What does it cost?

No price is published, because it depends on seats, stages and how many cases move in. We demonstrate on a sample claim first, then quote against your needs.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
