Business Services · Software for iSO consultants

Run each ISO engagement from gap assessment to certification audit on one record.

ISO consultants take a client from a gap assessment to a certification audit, and the paper trail is the product. The software keeps the clause checklist, controlled documents, internal audits, nonconformities and audit dates for each client. Time and fees follow the same engagement.

At a glance

An ISO consultancy sells a management system that an outside certification body will test. The client may want ISO 9001, ISO 14001, ISO 45001 or ISO 27001, and every standard brings its own clauses, its own mandatory records and its own audit questions. Most of the work is documents.

Engagements overlap. One consultant may run a gap assessment at a factory, a document review for an office and a surveillance preparation for a third client in the same week. Each of them ends at an audit date that cannot move. The software holds each engagement’s clause checklist, document set, findings and audit date, so no consultant works from a private copy of the plan.

How the work runs today

Work starts after a proposal that names the standard, the sites and the headcount. On site, the consultant walks the process and fills a clause checklist marking what exists, what is partial and what is missing. Each missing clause in the gap report turns into a task for one named person, carrying a due date, and that list is the working plan. Documents follow: quality or environmental manual, procedures, work instructions, forms and a register of external documents. Each is drafted, reviewed by the client and issued at a revision number.

Then come training sessions for the client’s staff and an internal audit by the consultant or a client auditor. Findings are raised as nonconformities with a root cause and a corrective action. A management review is minuted. The certification body runs its stage 1 and stage 2 audits, and later its surveillance visits. The consultant stays on call for each. When a certificate is issued, its expiry and the next audit become dates the consultancy must remember for years.

Where it breaks

What goes wrong for iSO consultants without a proper system.

Clause checklists live in spreadsheets

Each consultant keeps a private checklist for ISO 9001 or ISO 27001. Two people gap-assess the same standard in different layouts, so findings cannot be compared across clients.

Controlled documents drift out of date

A procedure is edited by the client after issue, and the copy on the consultant’s laptop still shows revision 2. The auditor asks which one is current.

Nonconformities are not followed to closure

An internal audit raises twelve findings. Corrective actions are agreed in a meeting and then sit in an email thread, with no owner and no due date the consultant can sort by.

Certification and surveillance dates are missed

One certificate expires next month and the surveillance audit has not been booked with the certification body. The consultant learns it when the client calls, worried.

Fees do not match the effort spent

A fixed-fee implementation absorbs extra document rounds and two repeat audits. Hours sit in personal timesheets, so the consultancy cannot see which standards lose money.

What the software does

What we would build for iSO consultants.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Client and site register

Hold each client with its legal entity, sites, headcount, scope statement and the standards sought. Multi-site clients keep one record per location.

Proposals and engagement terms

Build a proposal from the standard, the number of sites and the days of consulting, audit and training. Accepted terms become the engagement.

Gap assessment checklist

Score every clause of the chosen standard as complete, partial or missing, attach evidence notes, and turn each gap into a dated action for the client.

Document control pack

Keep the manual, procedures, work instructions and forms for each client with revision numbers, reviewers and issue dates. The current copy is always the one shown.

Internal audit and corrective actions

Plan the audit programme, record findings against clauses, assign a corrective action with an owner, and hold each nonconformity open until the evidence is attached.

Certification calendar

Track stage 1, stage 2, surveillance and recertification dates, the certification body, certificate numbers and expiry, with a reminder ahead of each.

Consulting time and fees

Log days by consultant against each engagement, invoice by milestone or retainer, and compare days spent with days sold.

Common questions

Questions iSO consultants ask before they call.

Can we hold several standards for one client?

Yes. Holding ISO 9001 and ISO 45001 together has one scope record and one document set, and the clause checklists sit side by side. A shared procedure is written once and mapped to both standards.

Does it issue the certificate?

No. Certificates come from the certification body. The system records the certificate number, scope and expiry the body gives, then reminds the consultancy of surveillance and recertification dates.

Can clients see their own documents and actions?

Yes. Client contacts can log in to review a draft procedure and update the corrective actions assigned to their staff. Which pages they see is agreed during set-up.

Can our existing checklists and templates be loaded?

Yes. Your clause checklists, manual templates and form formats are entered at the start, so the first engagement already follows the layout your consultants know. Open client files are moved across.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
