Requirements checklist

What to ask for when choosing software for fertiliser dealers.

A checklist built from how fertiliser dealers work, to print or save as a PDF and bring to any supplier meeting.

Share your requirements

What the software should cover

Tick each one that matters to your business.

  • Truck receipt and bag count
  • Grade and store stock
  • Company allotments and indents
  • Farmer sales and crop record
  • Seasonal credit book
  • Farm delivery runs

Roles that need their own access

Who logs in, and what each person may see or change.

  • For owners
  • For the storekeeper
  • For counter staff
  • For delivery crews
  • For the accountant

Reports to ask for

Ask to see each one with your own sample data.

  • Trucks received with shortages and torn sacks, by company and invoice
  • Stock by grade, pack size and warehouse stack
  • Company allotments against bags lifted and pending
  • Sale register entries by date, grade and farmer
  • Seasonal credit by farmer and village, oldest balance first
  • Delivery runs with bags loaded against bags dropped
  • Write-offs for caked and torn bags, by grade

Systems it may need to connect to

Note which ones you already run.

  • WhatsApp
  • SMS
  • Email
  • Weighing scale
  • Card and payment gateway
  • Accounting export

Questions for any vendor

Put these to every supplier you are comparing.

  • Can the yard record bags by grade while the truck is still there?
  • How does it keep similar grades from being mixed?
  • Can it keep the sale register our regulator expects?
  • How are damaged bags treated in stock?
  • Does it handle seasonal credit for farmers?
  • Can we plan delivery runs to villages?
  • We hold stock in more than one warehouse. Is that supported?
  • What would it take to move from our paper registers?
  • How do we begin?

Where the work usually breaks today

Circle the ones you recognise. They set the order of the project.

  • Truck counts are not signed at the gate
  • Grades are mixed up on the stack
  • Caked and torn bags vanish from stock
  • The sale register is copied out by hand
  • Seasonal credit hides the real due
