Agriculture · Software for fertiliser dealers

Count every bag by grade from the truck at the gate to the farmer’s receipt.

A fertiliser dealer moves heavy bags in bulk, on company allotments and seasonal credit. The software records each truck against its delivery note, stacks stock by grade and store, and ties every sale to a farmer and their crop. Shortages at unloading and the credit book are both visible. Licence details and register entries are entered by your counter staff.

At a glance

Fertiliser arrives by the truckload and leaves by the bag, and a gap between the two is hard to find. A delivery note says five hundred bags, the stack shows four hundred and ninety, and the driver has already gone. Without a count taken at the gate, the shortage becomes the dealer’s loss. Proof matters.

Fertiliser dealer software begins at the weighbridge and the stack, because stock, credit and the sale register all depend on a count that someone signed. The first walkthrough tracks a single truck, from the signed delivery note and the stack it lands on to the final bag a farmer carries away.

How the work runs today

The dealer receives an allotment from the company and waits for the truck. Urea, complex grades, potash and micronutrient mixes come in fifty kilo bags, with liquid products and bulk sacks alongside. The storekeeper counts bags at unloading, checks the stitching and the grade printed on each bag, and notes torn or caked ones. Stacks are kept off the floor and away from rain, grade by grade. Rain is the enemy.

At the counter the farmer asks for a grade for their crop and often wants soil advice. The dealer bills by bag, notes the buyer’s identity where the sale register requires it, and gives credit until the crop is sold. A field boy delivers to the farm by tractor or pickup. At month end the sale register, the stock register and the credit book are all expected to agree.

Where it breaks

What goes wrong for fertiliser dealers without a proper system.

Truck counts are not signed at the gate

The delivery note lists bags by grade, but the count on arrival is shouted across the yard. When a stack falls short, the company asks for proof the dealer cannot give. Nobody signs.

Grades are mixed up on the stack

Two complex grades look alike in a white bag from across a store. A farmer is billed for one and handed the other, and the register shows the wrong grade moving. Mistakes travel home.

Caked and torn bags vanish from stock

Damp reaches the bottom row of a stack and bags harden. They are written off in a notebook, or not at all, and the stock count never matches the shelf. The loss is quiet.

The sale register is copied out by hand

Each controlled sale must be written again into a bound register with the buyer’s details. The copy lags the bills by days and the two drift apart. It always lags.

Seasonal credit hides the real due

A farmer takes three grades over two months against a crop not yet sold. Nobody can say at a glance what they owe or when they said they would pay. The due stays hidden.

What the software does

What we would build for fertiliser dealers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Truck receipt and bag count

Log each truck against its delivery note, record the bags counted by grade at unloading, and flag any shortage, damage or wrong grade before the driver leaves. The gate count is signed.

Grade and store stock

Hold stock by grade, pack size and stack, with reorder levels set for the grades that sell out first in each sowing window. Stacks are found fast.

Company allotments and indents

Record what the company has allotted, what was lifted and what is still pending, so the next indent is based on figures and not on a guess. Guesswork ends.

Farmer sales and crop record

Bill each sale by grade and bag, and keep the farmer’s land, crop and purchases together for the sale register and for repeat advice. Advice has history.

Seasonal credit book

Track dues by farmer with the promised payment date, part payments received and the oldest balance on top. Oldest due first.

Farm delivery runs

Plan tractor and pickup deliveries by village, note the bags loaded and the person who received them, and bill the carriage if charged. Every drop is named.

Common questions

Questions fertiliser dealers ask before they call.

Can the bag count at the gate be recorded on a phone?

Yes. The storekeeper enters bags by grade against the delivery note while the truck is still in the yard, and any gap is flagged before the driver signs.

Will it produce the register our regulator expects?

The sale and stock registers are kept from your bills and receipts. The exact columns and buyer details your regulator wants are agreed with your office and reviewed during implementation.

How are caked or torn bags handled?

They are written down with the grade, the count and a reason, and removed from saleable stock. The write-off stays on record for the owner to review.

We also sell pesticides and seed. Does that matter?

Those lines can sit beside fertiliser, but each has its own licence and records. Many dealers start with fertiliser and add the others after the first season.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
