Bookings, spray missions, battery packs and area bills for drone crews.

Log farmer bookings, field notes, spray plans, pilot and helper schedules, flight logs, battery packs, drone maintenance and bills in one place. A mission keeps its field, tank mix and flown area together from the booking call to the last receipt, so acre counts are checked against the mission, not memory. Pilots enter details from a phone at the field edge.

  • Field list, per-acre rates and crop types set up to match your quotes
  • Farmer contacts, earlier missions and unpaid bills carried across
  • Our staff reshape the spray record form whenever you ask

Crews that spray, spread and map crop fields keep bookings, spray plans, flight logs and area bills in one system. Each mission records the field, the pilot, the drone, the battery sets, the product used and the acres covered. Battery cycles, service dates and pilot certificate expiries live beside the missions.

Where it breaks today

What goes wrong before the software.

Bookings come from calls, messages and agents

A farmer rings, a dealer forwards a message and a village agent sends a list. Without one request list, a field is booked twice or missed during the pest window. The farmer goes elsewhere.

Field boundaries and constraints are remembered, not recorded

A pond, a power line or a neighbour’s sensitive crop shapes how a field is flown. The note lives in one pilot’s head, and a different pilot arrives next season. The pond is forgotten.

The tank mix reaches the helper by word of mouth

Product, dose per acre and water volume change by crop and stage. A mix told over the noise of a generator is easy to get wrong. Nobody checks.

Flown area and billed area disagree

The farmer quotes an acreage, the app log shows another, and the invoice follows whichever is argued louder. No mission entry settles the dispute. The farmer stops trusting the bill.

Battery packs have no history

A pack that has swollen, been over-discharged or left charging overnight looks like any other pack in the box. It fails in the air. Nobody saw it coming.

Permit papers lapse between seasons

Pilot certificates, registrations and insurance each have a date and a separate folder. A lapse is noticed when a booked job cannot go ahead. That is too late.

How it runs

How the work flows through it, step by step.

  1. 1

    Booking

A farmer’s request for a spray, spread or mapping job is logged with field, crop, stage and target date. A new field gets its own record.

  2. 2

    Plan and quotation

The tank mix, dose and water volume are set for the crop stage. A quotation is priced per acre from the rate card, and the farmer’s answer is saved. Revisions stay.

  3. 3

    Schedule

The mission is placed against a pilot, a helper, a drone and a date, with wind and weather notes. Product and battery sets are reserved from the store. Nothing is double-booked.

  4. 4

    Flight

The pilot flies the sorties, and the mission card records battery sets, tank loads, area covered and any change made at the field edge.

  5. 5

    Acknowledge and record

The farmer confirms the mission, and a spray record is printed or sent. Unused product is returned. Batteries are logged and cycles are counted.

  6. 6

    Billing and upkeep

The area flown becomes the bill, and the receipt is posted. Reminders for upkeep and paper expiry follow. Last season’s record is there for the next booking.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Farmer and field register

Hold each farmer, field boundary, area, crop and growth stage. Add notes on nearby water, houses, hives and neighbouring crops that limit where and when the drone may fly.

Booking requests and field visits

Log every call or message for a spray, spread or mapping job with field, crop and target date. Schedule a visit when the boundary or access is unclear.

Rate cards and quotations

Quote by the acre or hectare for spraying, spreading and mapping. Separate lines cover farmer-supplied product, operator-supplied product and travel. Revisions are kept.

Crew and mission scheduling

Plan the day’s missions against pilots, helpers, drones and wind forecast notes, so a pilot is never booked on two fields in the same morning.

Spray plan and tank mix

Record product, dose per acre, water volume per tank and mixing order for each field, so the helper at the field edge works from a written plan.

Mission job card and flight log

Capture pilot, drone, sorties, battery sets, area covered, flight height, wind note and tank loads for each mission, with the farmer’s acknowledgement.

Drone, battery and payload register

List each airframe, battery pack, pump and nozzle set with charge cycles, hours flown and service dates, so a worn part is retired before it fails.

Chemical and consumable store

Count product held for farmers. Track spare nozzles, propellers and filters. Issue to a mission, and take back what is unused.

Pilot and permit papers

Keep pilot certificates, drone registration and insurance copies on file with expiry dates. Which papers your region requires is decided with your own staff during set-up.

Maintenance and expiry reminders

Raise reminders for propeller checks, pump flushing, battery replacement and each paper that is about to lapse. Each reminder names the drone or person it concerns.

Area billing and spray records

Bill the area flown from the mission log. Post the farmer’s payment. Print a spray record for the field.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Lead Management

Calls, dealer messages and agent lists are logged as requests with field, crop and target date, so no spray window passes unanswered.

  • Estimate/Quotation Management

Spraying, spreading and mapping are quoted per acre or hectare from your rate card, with revisions and open quotes listed together.

  • Technician Scheduling

Missions are placed against a pilot, a helper and a drone, with wind notes, so nobody is booked on two fields in one morning.

  • Job Cards

Every mission holds pilot, drone, sorties, battery sets, tank loads and area covered, closed by the farmer’s acknowledgement.

  • Fixed Asset Register

Airframes, battery packs, pumps and nozzle sets are listed with cycles, hours and service dates, and a worn pack is retired on record.

  • Stock Tracking and Alerts

Product held for farmers, spare nozzles and propellers are counted in, issued to a mission and returned, with alerts on low spares.

  • Document Management

Pilot certificates, drone registrations and insurance copies are stored against the person or drone they cover, with expiry dates shown.

  • Service Reminders

Propeller checks, pump flushing, battery replacement and paper expiries raise reminders ahead of the date, before a booked field is at risk.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners

See missions booked, acres flown, dues by farmer, product used and the state of every drone and battery pack in the fleet.

For pilots

Open the day’s missions on a phone, see the field notes and tank mix, and log sorties, area and battery sets before leaving the field.

For field helpers

Read the mixing order for each tank, record product used and returned, and note refills during a mission. Refills are noted against the tank.

For the office

Take bookings and quote by the acre. Schedule crews, print spray records and post farmer payments.

For maintenance staff

Track propellers, pumps, nozzles and battery packs by cycles and hours, and close each repair against the drone.

Reports

The numbers the owner asks for.

  • Missions booked, flown and cancelled, by crop and area
  • Acres flown by pilot, drone and week
  • Product used and returned by mission
  • Battery pack cycles and packs near retirement
  • Dues by farmer, oldest bill first
  • Drone downtime and repair log
  • Pilot and registration papers expiring soon
Good fit

Who this is built for.

  • Firms whose drones spray crop protection products over farmland for paying growers
  • Crews that broadcast seed, granules or fertiliser from the air
  • Service providers who also map plots and capture crop health images
  • Grower collectives and young agri ventures sharing one drone
  • Input dealers who offer the flying as a paid extra
Honest answer

When it is not the right choice.

  • One pilot flying a single drone for a few regular growers is fine with a spray diary and a phone to chase unpaid bills. Paper stops working once helpers, batteries and several villages enter the week.
  • Firms that build or assemble drones will find Drone Component Manufacturer Management Software closer, and crop growers will find Crop Farm Management Software closer.

Common questions

Questions owners ask before a demo.

Does it fly or plan the mission?

No. Your pilots use their own flight app for that. This system holds the booking, the field, the tank mix and the result, and ties the area flown to the bill.

Can we quote spraying and mapping at different rates?

Yes. Spraying, spreading and mapping each carry their own acre or hectare rate, with extra lines for travel and for product supplied by you.

How are battery packs tracked?

Each pack has a number, a cycle count and a service date. The mission card records which packs flew, so counts rise without a pilot writing them separately.

Can a farmer receive a spray record?

Yes. Once a mission closes, its field, crop, product, dose, date, pilot and area print on one sheet or go to the farmer as a message. Its layout is agreed with you.

What happens when a mission is called off for wind?

The mission stays on the list with the reason noted and moves to a new date. Product and battery sets reserved for it are released or held.

Does it track pilot certificates and registrations?

Yes. It holds the dates and copies and reminds you before each lapse. Which papers your region requires is decided with your own staff during set-up.

Can it handle product supplied by the farmer?

Yes. A mission notes whether the product came from the farmer or from you. Farmer product is received and returned on the job card, and your own stock is billed at the product rate.

Do we keep control of our mission data?

Yes. You own every mission log, field record and spray record, and the file layout for taking them out is fixed in writing before development begins.

What does it cost?

Pilots, office users and drones set the scope, and so does any custom spray record layout, which adds work beyond the standard form. Demo first, using your rate card.

Can we try it with last season’s missions?

Yes. We load a handful of last season’s fields and missions in the demo, so you can see the area, the bill and the spray record beside your own sheet.
