Agriculture · Software for seed dealers

Trace every packet from the seed lot and its germination result to the farmer who sowed it.

A seed dealer sells a living product that carries a date. The software holds each lot with its variety, tag number, germination result and expiry, and ties every packet sold to a farmer and a sowing season. A complaint about patchy emergence goes straight to the lot, and unsold packets are listed for return before the season closes.

At a glance

A seed counter looks simple until a farmer comes back in the third week and says the rows are patchy. The first question is which lot, which germination result and which other buyers took packets from that same lot on that same morning. Most dealers answer from a bill book and from memory. Memory fails first.

Seed dealer software starts from the lot, because the lot is what the company, the inspector and the angry farmer all ask about. Tell us how you trade, and one variety gets traced first, from the supplier’s delivery note all the way to the farmer’s receipt.

How the work runs today

Before the sowing season the dealer books packets with seed companies and takes advance orders from farmers by variety and pack size. Deliveries arrive as sealed bags with a lot number, a packing date, a validity date and a tag. The storekeeper stacks them away from damp and heat, and treated seed is kept apart from untreated. When the rains start, the counter fills with farmers asking for a hybrid they saw on a neighbour’s plot.

A sale is more than a bill. The dealer notes the variety, the lot, the packets and the buyer, and often gives credit until harvest. Field staff visit demonstration plots and listen to complaints about emergence. After the season, unsold and expired packets are counted and sent back to the company against a return note, and the credit book is chased.

Where it breaks

What goes wrong for seed dealers without a proper system.

A complaint cannot name its lot

A farmer reports poor emergence, yet his bill carries only a variety name. Three lots of that hybrid sat on the same shelf. Nobody can say which one he carried home. It is a guess.

Expiry dates hide inside stacked bags

Packets with a near validity date sit behind newer arrivals and are sold last or never. The date is printed on each bag but not on any list the owner can read. Stock ages in silence.

Season returns are counted by hand

At the close of sowing, the company wants a return note listing unsold packets by lot. The count is made on the shelf with a pencil, and disputes follow when the company’s count differs. Both sides argue.

Credit until harvest runs on trust

Farmers buy now and pay after the crop is sold. The amounts sit in a ledger by name, and two farmers with the same name get mixed up by December. Trust is thin.

Advance bookings do not meet arrivals

Farmers pay a deposit for a hybrid in March. When stock arrives short, the dealer has no list of who was promised what, so the loudest buyer is served first. Order is lost.

What the software does

What we would build for seed dealers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Seed lot register

Hold each lot with its variety, crop, tag number, packing date, validity date, germination result and the company that supplied it. Every packet sold carries that lot forward.

Season bookings and allotment

Take deposits for a hybrid by pack size before the season, then allot arriving stock to those bookings in the order they were made. First booked, first served.

Farmer purchase record

Keep each farmer’s plot, crop, village and every packet bought with its lot, so a complaint opens his history and the lot at once. Repeat buyers are known.

Expiry and shelf watch

List lots by validity date and by warehouse stack, so near-dated packets are moved to the front and offered first. Old stock moves first.

Credit until harvest

Record what each farmer owes, the date he promised to pay and what he has paid, with the oldest balance shown first.

Company returns and claims

Build the return note from unsold and expired packets by lot, and keep the claim raised against the company beside the credit received.

Demonstration plots and field visits

Note each demo plot, the variety sown, the visit dates and the farmer comments gathered, so next season’s advice rests on what was seen. Evidence beats recall.

Common questions

Questions seed dealers ask before they call.

Can a complaint be traced to one lot?

Yes. Every sale stores the lot number against the buyer, so a complaint opens the lot, its germination result and the other farmers who took packets from it.

Does it hold the seed licence and its limits?

It keeps the licence number, the validity date and the crops it covers, and reminds the office before it lapses. The sale register columns your regulator expects are agreed with your counter staff and checked against a sample page.

We only sell during one or two seasons. Is it worth it?

A seasonal counter has the most to lose, because most of the year’s stock and credit sits inside a few weeks. Smaller shops can start with the lot register and the farmer record alone.

Can our existing farmer list come across?

Yes. Farmer names, villages and open credit are loaded from your ledger or spreadsheet, and the office checks the balances before the first billing day.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
