One record for each pond, cage and stocking lot from seed delivery to harvest.
Manage pond and cage registers, hatchery seed receipts, stocking lots, daily feed, water readings, mortality, treatments, harvest grading and buyer billing in one system. Every unit carries its lot history, so the farm manager can read feed given, fish lost and weight gained for a lot without opening a notebook. Farm hands key readings on a phone at the pond edge. Records stay with the unit.
- Pond list, species and feed types entered as your farm names them
- Active stocking lots and open buyer balances migrated
- Water limits and treatment withdrawal rules agreed with your farm biologist
Fish and shrimp farms keep pond and cage registers, seed receipts, feed rounds, water readings, treatments and harvests inside Fisheries and Aquaculture Farm Management Software from GullySystem. Each stocking lot keeps its count, feed issued, losses and sample weights from delivery to harvest. Harvested fish are graded, weighed to buyers and billed from the same record.
What goes wrong before the software.
How the work flows through it, step by step.
- 1
Pond preparation
A pond is dried, limed and filled, and the preparation is recorded against the unit. Its area, depth and species plan are set before any seed arrives. Nothing is stocked before the plan exists.
- 2
Seed receipt and stocking
A hatchery delivery is counted, transport loss is noted, and the lot is released into a pond. The first sample weight is saved as the starting point. Stocking is a dated event.
- 3
Feeding and water checks
Feed rounds and water readings are keyed through the day by farm hands. Limits you set raise an alert when oxygen or ammonia drifts. Alerts reach the manager.
- 4
Sampling and treatment
A net sample sets average body weight and the next ration. Deaths, diagnoses and doses are entered, and each dose carries a withdrawal end date. Gain is measured, not guessed.
- 5
Harvest and grading
The manager books a harvest crew, ice and transport. The catch is graded by size and weighed out, and a treatment still in withdrawal blocks the pond. No net goes in blind.
- 6
Billing and close
Dispatch weights become a buyer invoice. When the pond is empty, the lot is closed with its feed, losses and gain in one summary. Then the pond rests.
What is inside.
Every module can be switched on, left out or changed to match how your team already works.
The business modules it is built from.
Each one is also available on its own, or inside a system built for you.
- Goods Receipt (GRN)
Each seed delivery is counted against the hatchery slip, transport loss is noted, and the received quantity becomes the opening count of a lot.
- Batch and Serial Tracking
A lot number follows the fish through every transfer between ponds, so survival and gain can be read by supplier delivery.
- Stock Tracking and Alerts
Feed by type and pellet size is counted in the store and issued to ponds, with a warning when stock cannot cover the next rounds.
- Quality Control
Readings for oxygen, pH and ammonia are checked against the limits you set, and any pond that crosses one is listed for the manager.
- Asset AMC Tracking
Each aerator and pump is listed against its pond with service dates, so a breakdown can be set beside the night oxygen fell.
- Order Management
Buyer orders are matched to ponds ready for net, and the catch is weighed out by grade against the order.
- Collections and Payment Follow-Up
Traders and processors are listed by balance owed with reminders and promised payment dates kept beside each name.
- Attendance & Time Tracking
Pond attendants are assigned to blocks of units, and their presence at feed rounds is marked against the ponds they covered.
How we would put it in.
Setup, data migration, integrations and anything built on top.
One system, each person sees their part.
For farm owners
Read cost and gain by stocking lot, compare ponds on feed conversion, and see which buyers owe money without calling the farm office.
For farm managers
Plan sampling rounds, book harvest crews, review water alerts each morning and check withdrawal dates before approving a net.
For pond attendants
Key feed given, water readings and dead counts from a phone as they walk the dykes, one pond after another.
For store and feed clerks
Receive feed and medicine, issue bags against the ration plan, and report what is left before the next delivery is due.
For sales and dispatch
Match each harvest to a buyer order, record weights at the bank, and prepare the dispatch note with grade and ice.
The numbers the owner asks for.
- Feed issued and feed conversion by stocking lot
- Survival and mortality by pond and hatchery lot
- Water readings outside limit, by unit and morning
- Average body weight against the planned growth curve
- Treatments in withdrawal, with the date each pond clears
- Harvest by size grade, buyer and dispatch weight
- Buyer balances owed, oldest invoice first
Who this is built for.
- Freshwater pond farms that raise carp, tilapia or catfish
- Shrimp farms that run several grow-out ponds at once
- Cage operators on lakes, reservoirs or coastal waters
- Hatcheries and nurseries that sell fingerlings or post-larvae to growers
- Recirculating tank farms with controlled water systems
When it is not the right choice.
- A single backyard pond with one harvest a year can be kept in a notebook.
- Operators of fish processing plants and cold stores are better served by Frozen Food Manufacturer Management Software, which covers freezing and packing lines.

Questions owners ask before a demo.
Can one farm run ponds and cages together?
Yes. Each unit has its own type, species and lot. Reports can be filtered by unit type or read across the whole farm. Use whichever view the question needs.
How does it get feed conversion for a lot?
Feed issued to the pond is totalled for the lot. Weight gain comes from sample weights and the harvest weight. The ratio is read from those entries, not typed again.
Can we see which hatchery supplied a lot?
Yes. Every lot carries the hatchery, delivery date and counted quantity. Survival can be compared across suppliers once a few lots have closed.
Will it stop a harvest while a treatment is active?
It flags the pond and blocks the harvest plan until the withdrawal end date has passed. The periods themselves are entered from your own guidance. Nothing is netted while a dose is active.
Do we need water sensors?
No. Attendants can key readings from a phone. Where probes already write a file, the first workshop looks at bringing that file in.
Does it work when mobile signal is weak at the ponds?
It runs online. Readings can be entered once the attendant is back in range, and each carries the time it was taken.
Can hatcheries and nurseries use it?
Yes. Broodstock, spawning batches, larval rearing and fingerling grading can be added as units, with sales to growers invoiced from the same record.
Can open lots and buyer balances be moved over?
Yes. Ponds in use, lots still growing and buyer invoices not yet paid are keyed in from your registers, and the farm manager signs off the counts before go-live.
What happens to our pond history if we leave?
It belongs to you. Lot, feed and harvest records leave in a layout agreed up front and stated in the quotation.
What goes into the cost of a quote?
User count, number of farm sites and any import work move the figure. First you watch a demo run on your own pond list, and the quotation comes after that.
