Agriculture · Software for dairy cooperatives

Pay every member from the weighed litre, the fat reading and the rate chart in force that day.

A dairy cooperative pools milk from member farmers, pays by fat and solids-not-fat, and sells the pooled milk to a union or processing dairy that returns its own weighment. The software holds the member register, shift weights, fat readings, the rate chart and the pay statement, with feed credit, loans and share capital on one account.

At a glance

Every litre needs an honest account. Farmers pour at the society twice a day. The can is weighed, a sample goes to the analyser, and a rate is read off the chart in force that morning. At settlement a member wants that arithmetic on paper, and the committee wants the very same figure found in the ledger without a search.

Dairy cooperative software puts the member, the shift and the rate on one record, and the pay statement and the bonus sheet are built from it. Nothing is retyped. Bring a recent pay statement and we will mark each spot where your society copies a figure by hand, from the morning pour to settlement.

How the work runs today

Members come before dawn. They return at dusk. The society secretary records member number, weight, sample ID and the fat and solids reading from the analyser, then the rate chart turns those readings into an amount. Milk is chilled in the bulk cooler, then loaded onto a tanker for the union or processing dairy, which sends back its own weighment and quality result. Gaps between the two figures go to the committee for an explanation: a leaking tanker hatch, a drifting platform scale, a missed entry.

Payment runs on a fixed cycle. Deductions for cattle feed, mineral mixture, veterinary visits, loan instalments and share contributions all come out of the one member account, in the order the board fixed by resolution. At year end the board declares a bonus, and the auditors ask for the ledger, the share register and the minute book behind every figure in it.

Where it breaks

What goes wrong for dairy cooperatives without a proper system.

A member’s statement cannot be rebuilt

Shift entries sit in a register, rate changes in a circular pinned to the notice board, and deductions in a separate cash book. A farmer queries one payment. The secretary then spends the whole afternoon recomputing ten days of shifts with a calculator, and the farmer still doubts the answer.

Society and dairy weights differ

The tanker leaves with one figure. The plant reports another. Until shift totals sit beside tanker numbers, a spill on the loading bay, a drifting platform scale and a missing entry all look identical on paper.

Quality readings are copied twice

The analyser prints a slip. One clerk copies fat and solids into the register, and a second clerk copies them again onto the payment sheet, so a transposed digit pays the wrong member.

Feed credit hides in a notebook

Feed goes out on credit. Only the storekeeper knows the running balance, not the member and not the board, so recoveries arrive late and in uneven lumps that empty a small farmer’s cheque.

Shares and dividends are rebuilt each year

Share capital, nominal holdings and bonus eligibility all depend on a member’s joining date, milk supplied and dues cleared across several years of ledgers. Before each general meeting somebody searches the share register page by page to prove it, and the dividend list is finalised the night before.

What the software does

What we would build for dairy cooperatives.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Member register

Hold each member’s number, village society, cow and buffalo count, bank details and nominee, with share capital and joining date beside the name on one record.

Shift milk entry

Record weight, sample ID, fat and solids per member and shift, typed at the counter or imported from the analyser’s export, with any reading outside the usual band flagged.

Rate chart and pay cycle

Keep the rate chart as a grid of fat against solids-not-fat, each version with its effective date, and run the pay cycle for every member from shift records.

Feed and input sales

Issue cattle feed, mineral mixture and veterinary medicines against the member account, count stock by item in the store room, and recover the credit at the next pay cycle.

Loans and deductions

Hold member loans for a buffalo or a cattle shed, with instalment schedules and other recoveries, and deduct each in the board’s fixed order on the pay statement.

Union dispatch and reconciliation

Record each tanker’s society weight and quality beside the dairy’s weighment and quality result, then trace any difference back to the shift, the society and the cooler.

Bonus, dividend and committee papers

Work out patronage bonus on milk supplied and dividend on share capital, and print the member register, ledger and minute extracts the board and auditors ask for.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, accounting reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

Common questions

Questions dairy cooperatives ask before they call.

Can the analyser readings be loaded directly?

If the analyser writes a file, readings can be loaded against the member and shift without retyping, and the import is tested on real slips first. Where it cannot, the secretary keys the figures in. Set-up settles the method for each collection point.

Does it handle more than one village society?

Yes. Each village society keeps its own members, shifts, staff and collection centre, while the union office reads totals across all of them. A union auditor can open any total down to the single shift behind it and close the query without calling the secretary. A member belongs to one society at a time.

Can the rate chart change during the year?

A new chart is added with an effective date, and earlier shifts keep the chart that applied on their own morning, so a reprinted statement still matches the books.

Will the board see feed credit outstanding?

Yes. Feed and medicine credit is listed by member and by society, beside the milk income each member is likely to earn over the coming cycle. The board plans recovery from that comparison.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
