  • Daily rate and counter billing
  • Old-gold exchange
  • Goldsmith issue and receipt
  • Savings scheme ledger
  • Hallmarking and approval tracking
  • Order and repair jobs

Roles that need their own access

Who logs in, and what each person may see or change.

  • For counter salespeople
  • For workshop in-charge
  • For accountants

Reports to ask for

Ask to see each one with your own sample data.

  • Metal balance with each goldsmith
  • Old gold taken in, day by day
  • Scheme members with instalments due
  • Pieces out on approval, oldest first
  • Sales split into metal value and making charge
  • Sales and tax summary for your accountant

Systems it may need to connect to

Note which ones you already run.

  • Accounting package export
  • WhatsApp
  • SMS
  • Payment links and gateways
  • Electronic weighing scales
  • Barcode and RFID tag printers

Questions for any vendor

Put these to every supplier you are comparing.

  • Can it bill making charges and wastage the way we quote them?
  • How does the goldsmith account work?
  • Does it make our hallmarking compliant?
  • Can old tags, stock and scheme members be brought across?
  • Can our auditor use it with our accounting package?
  • Can I see stock and the goldsmith balance from my phone?
  • Who owns the stock and customer records?
  • What does it cost?
  • Can it run our gold savings scheme?
  • We already run jewellery billing software. Should we replace it?
  • How soon could the counter bill from tags at the day’s rate?
  • What do owners need to bring before go-live?

Where the work usually breaks today

Circle the ones you recognise. They set the order of the project.

  • The goldsmith register never balances
  • Old gold is valued on a calculator
  • Scheme instalments are hard to trace
  • Tag stock and the book do not match
