What the software should cover

Tick each one that matters to your business.

  • Lead capture and quick quote
  • Room-wise pre-move survey
  • Crew and vehicle scheduling
  • Numbered inventory and delivery count
  • Consignment notes and transit papers
  • Damage claims and settlement

Roles that need their own access

Who logs in, and what each person may see or change.

  • For owners
  • For surveyors and the booking desk
  • For move coordinators
  • For crew supervisors and drivers

Reports to ask for

Ask to see each one with your own sample data.

  • Enquiries by source and the bookings they became
  • Moves by month, route and flat or office size
  • Surveyed item count against what was actually loaded
  • Cartons, bubble wrap and tape consumed by move and by crew
  • Crew and lorry use by day, with hired trucks separated
  • Damage claims open and settled, with insurer reference
  • Balances outstanding by customer and corporate account

Systems it may need to connect to

Note which ones you already run.

  • WhatsApp
  • SMS and email
  • Payment links and gateways
  • Accounting software export
  • GPS devices on owned lorries
  • Barcode or label printer for cartons

Questions for any vendor

Put these to every supplier you are comparing.

  • Is it meant only for packers and movers?
  • Can the pre-move survey be done on a phone?
  • Does the quotation come from the survey list?
  • Can carton labels be printed?
  • Can a customer be told where the lorry is?
  • How are damage claims recorded?
  • Does it cover goods held in storage?
  • Can corporate relocations be billed against a purchase order?
  • Will the accounts figures reach my accounting software?
  • Do two lorries and a small crew need this?
  • How soon would the booking desk move onto it?
  • What should the moving company bring?

Where the work usually breaks today

Circle the ones you recognise. They set the order of the project.

  • Leads are lost to faster movers
  • Quotations vary by surveyor
  • Inventory lists cause disputes
  • Packing material is never costed to the job
  • Crews and lorries are double-booked
