What to ask for when choosing software for paediatric clinics.

A checklist built from how paediatric clinics work, to print or save as a PDF and bring to any supplier meeting.

Share your requirements

What the software should cover

Tick each one that matters to your business.

  • Child record with guardians
  • Growth chart and measurements
  • Vaccine schedule and dose log
  • Weight-based prescriptions
  • Nebulisation and observation bay
  • Certificates and school forms
  • Fees, packages and recalls

Roles that need their own access

Who logs in, and what each person may see or change.

  • For the paediatrician
  • For nurses
  • At the front desk
  • For the clinic owner

Reports to ask for

Ask to see each one with your own sample data.

  • Missed doses listed per vaccine, with the child’s age band beside each
  • Boosters falling due before month end, grouped by vaccine
  • Consultations split by doctor and the diagnosis recorded
  • Vials on the shelf by brand, batch number and expiry date
  • Doses left on each prepaid newborn vaccine package
  • Children whose recorded weight fell between consecutive visits
  • Hourly occupancy of the observation bay

Systems it may need to connect to

Note which ones you already run.

  • WhatsApp or other messaging
  • SMS
  • Email
  • Card and wallet payments
  • Accounting export
  • Laboratory results
  • Label printer

Questions for any vendor

Put these to every supplier you are comparing.

  • Is this made for children or is it a general clinic system?
  • How are siblings handled?
  • Which growth reference does the chart use?
  • Does the system decide the dose?
  • Can we track vaccine batches and expiry?
  • Can parents buy a vaccine package in advance?
  • Can we bring across our current child register?
  • Will it print certificates for schools and travel?
  • What happens to child data if we leave?
  • How is it priced?

Where the work usually breaks today

Circle the ones you recognise. They set the order of the project.

  • Vaccine schedules are tracked on a card
  • Weight-based dosing is worked out by eye
  • Growth charts are drawn by hand
  • Siblings and parents share one phone number
  • School and travel forms are rebuilt each time
