Requirements checklist

What to ask for when choosing software for taxi companies.

A checklist built from how taxi companies work, to print or save as a PDF and bring to any supplier meeting.

Share your requirements

What the software should cover

Tick each one that matters to your business.

  • Bookings and dispatch
  • Driver duty slips
  • Fare and trip settlement
  • Account customers and trip sheets
  • Vehicle papers and fitness dates
  • Workshop jobs and tyre records
  • Complaints and lost property

Roles that need their own access

Who logs in, and what each person may see or change.

  • For the owner
  • For dispatchers
  • For accounts staff
  • For fleet managers
  • For drivers

Reports to ask for

Ask to see each one with your own sample data.

  • Bookings by channel, cab type and unserved requests
  • Fare collection by cab, driver and payment mode
  • Duty slips closed, open and with cash short
  • Corporate balances and vouchers awaiting a signature
  • Lease owner statements with trips, fuel, repair and net share per cab
  • Kilometres per litre, per cab, per airport run
  • Permit, insurance and smoke opacity certificate dates falling due, by cab

Systems it may need to connect to

Note which ones you already run.

  • SMS
  • WhatsApp or other messaging
  • Email
  • Payment gateway
  • Accounting export
  • GPS tracking feed

Questions for any vendor

Put these to every supplier you are comparing.

  • Can hotel concierge and app bookings land on one board?
  • What happens when a cab’s insurance has lapsed?
  • Can an outside owner see what their cab earned?
  • How are corporate trips billed?
  • Do drivers have to use a smartphone?
  • Can a GPS device feed the system?
  • Does it work out driver commission?
  • What does it cost, and can we see a demo?
  • Who changes a fare rule when the tariff moves?
  • Can trip and settlement records be exported?

Where the work usually breaks today

Circle the ones you recognise. They set the order of the project.

  • Duty slips disagree with the meter
  • Hotel and firm accounts are billed late
  • Vehicle papers expire unnoticed
  • Lease owners dispute their share
  • Fuel and idle time go unseen
