Transport · Software for taxi companies

Tie each cab, driver and trip to one booking, one duty slip and one settlement.

A taxi company earns from cabs that rarely sit idle, so every trip needs a booking, a driver and a fare on record. The software ties the dispatch board, duty slips, fuel fills, permit dates and the nightly cash count to one trip sheet for billing.

At a glance

A taxi company runs sedans, hatchbacks and minivans for kerbside hires, phone bookings, airport transfers and hotel accounts, paid in cash, card or monthly billing. Without a trip record, settlement becomes a negotiation.

Taxi company software puts the duty slip first, because that one sheet joins the booking, the driver, the meter reading and the cash. Share your requirements. We then follow one cab from the morning key handover through each booking, fuel fill and cash count to the closing settlement.

How the work runs today

Four channels feed one queue. The dispatcher assigns the nearest free cab, confirms the pickup point, texts the cab number and driver name to the rider and logs the driver’s acceptance on the board. Drivers open a duty slip with the opening odometer reading and fuel level, then report each trip, waiting charge, toll and parking fee. Some cabs belong to the company. Others are leased in from owners.

At shift end the driver parks and pays in. The clerk reconciles card trips against the slip, then checks the meter printout, the night surcharge and the fuel receipts line by line before signing it off. Weekly, the company pays lease owners their share, bills corporate accounts from the signed trip sheets and renews the permits, insurance and fitness papers falling due. A cab in the workshop earns nothing.

Where it breaks

What goes wrong for taxi companies without a proper system.

Duty slips disagree with the meter

The driver writes one total, the meter printout shows another and the card terminal reports a third, so someone hunts the gap each morning with a calculator. It is slow work.

Hotel and firm accounts are billed late

A concierge desk sends guests by cab all month, then asks for one statement, yet the trip sheets are loose carbon copies and half the pickup references are unreadable. Billing waits.

Vehicle papers expire unnoticed

Road permit, insurance cover, emissions certificate and fitness certificate each carry their own date, and a cab is stopped at a checkpoint because one lapsed last week. Nobody had listed them together.

Lease owners dispute their share

An owner leasing a cab wants a weekly statement of trips, fuel and deductions, but a notebook and a pile of slips must rebuild it every time. Disputes follow.

Fuel and idle time go unseen

Two cabs on one airport route burn different fuel. Dead mileage between bookings goes unseen, and nobody notices a detour on a long outstation trip until the customer complains.

What the software does

What we would build for taxi companies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Bookings and dispatch

Log each booking by source and cab type. Assign a cab and driver from a board showing which cabs are free, on trip, at the airport rank or offline, so nothing is double booked.

Driver duty slips

Open a slip at shift start with odometer and fuel, add trips, waiting charges and tolls, and close it with the cash handed in. Differences are flagged the same evening.

Fare and trip settlement

Match meter fares, card slips and cash to each duty slip, then work out the driver’s commission or the owner’s lease share. Advances, fines and cash shortages come off one statement.

Account customers and trip sheets

Keep rate cards for hotels and firms, collect the signed trip sheet with the guest or employee name and raise one tax invoice per account. Outstanding balances are listed oldest first.

Vehicle papers and fitness dates

Hold permit, insurance, emissions and fitness dates for every cab, so a reminder reaches the fleet manager before each date lapses. An expired cab cannot be assigned. The board blocks it.

Workshop jobs and tyre records

Raise a job card when a cab goes in for a service, record brake pads, oil and labour, and note tyre rotations by wheel position. Days off the road are counted per cab.

Complaints and lost property

Log a rider complaint or a phone left on the back seat against the trip and driver, so the office can update the rider. The outcome stays on the driver’s record.

Common questions

Questions taxi companies ask before they call.

Can owner-leased cabs be settled separately?

Yes. Each cab has a holder, either an owner or the company, and it gets a weekly statement showing its trips, fuel and deductions. Whatever share was agreed for that vehicle is applied to every trip as it closes, so the statement never depends on a driver’s memory or a notebook.

Does a driver need a smartphone?

No. Without a phone, the clerk keys the paper slip at the depot when the cab returns, and nothing else about the settlement changes. A phone only saves that typing.

Can a hotel get one statement for the month?

Yes. Trips under the hotel’s account collect on one statement. Each line shows pickup, drop, cab and fare, and the signed sheet sits on the trip, so a query from the front desk is settled from the record.

Do we connect a meter or tracking device?

Not in the first version. Meter readings are typed or photographed on the slip. A tracking feed from your device supplier can be connected later, as separate work agreed with you and the supplier.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
