Transport · Software for school bus operators

One record for every route, roster and duty.

A school bus operator answers to guardians, school offices and ageing chassis. The school bus operator software holds routes, stop rosters, attendant and driver duty, boarding ticks, permit dates and workshop jobs in one place, with term fees beside them. Guardians can see the last confirmed stop.

At a glance

Children travel twice a day. A stop is added, a toddler joins the kindergarten shift, a driver falls ill. Each change has to reach the right bus before the morning run leaves the depot, or the roster and the road disagree.

Software for school bus operators keeps roster, route and duty list in step. Share your requirements and each route is set up from first pickup to last drop, so the clipboard copy and the phone copy become one record.

How the work runs today

Before the term starts, the office takes enrolment forms and places each child on a route with a pickup stop and a drop stop, counted against one bus’s seats. A school moves its dismissal bell. Routes are redrawn.

On the road, the attendant ticks each child on at the stop and off at the school gate, then repeats it in the afternoon. Guardians ring when a child will not travel. Fitness certificates, route permits, cover notes and emission tests fall due on different dates for every bus. Diesel, tyre retreads and brake liner jobs are logged by vehicle.

Where it breaks

What goes wrong for school bus operators without a proper system.

Rosters live on printed route sheets

A new child is added to the office copy, yet the attendant on bus 7 still holds last week’s sheet under a board clip. The child is missed at a gated apartment entrance in the rain, and a guardian’s call is the alarm.

Boarding is not confirmed

The attendant ticks names in pencil. When the school office asks at midday whether a child came on the bus, nobody can show the stop or the hour of the drop. A tick proves nothing. An absentee looks like a truant.

Spare drivers are chosen over the phone

At six one morning a driver rings in ill. The supervisor ranks the spares from memory, the replacement has never driven that route, and the narrow lanes near the school slow every stop until the bell rings.

Fitness and permit dates sit in a drawer

Each bus has a fitness certificate, a route permit, an insurance cover note and an emission test, all on different dates. A single lapse takes it off the road, usually in the middle of term, with a speedometer seal or a reflector fault found in the same visit.

Term fees and bus passes drift apart

Fees are charged per child for a term, siblings get a lower rate, and a stop change alters the distance band. The bus pass drifts from the ledger. Nobody trusts either one by October.

What the software does

What we would build for school bus operators.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Route and stop planning

Draw each route as an ordered set of stops, with pickup and drop times for every school bell, and read seat load against the chassis. A full bus takes no new name.

Student roster by stop

Hold every child with guardian numbers, stop, bus and shift, plus an inhaler or allergy note from the school. Tomorrow’s attendant list is generated from the record the office edits today, so the clipboard copy never drifts away from the roster.

Boarding and drop confirmation

The attendant ticks each child on and off from a phone, and a guardian or a school office can read the last confirmed stop without ringing the driver. Calls to the driver stop.

Driver and attendant duty

Roster drivers, attendants and spares to routes by shift, with licence expiry, medical check dates and leave held on the person. A substitute is then picked from people who are qualified, free and familiar with the route’s narrow lanes and crossings.

Fitness, permits and insurance

Each bus carries its own dated papers. Reminders reach the transport manager before a certificate lapses, and a bus with a lapsed paper is flagged against its route so it is never dispatched by mistake.

Fuel and maintenance by bus

Log diesel filled, kilometres run, tyre tread checks, alternator and battery changes and workshop jobs against each vehicle, then read route cost beside the term fees it earns.

Fees and bus passes

Bill per child by term or month on a distance band that follows the stop, with sibling rates and receipts. Print passes with a photo from the same record. A dues list is kept for each school.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, accounting reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

Common questions

Questions school bus operators ask before they call.

Can parents see the bus on a map?

Not as a live map. It records the last stop confirmed by the attendant and sends a message at each one, because live tracking needs a device fitted to the bus and is scoped separately.

Can one operator serve several schools?

Yes. Each school keeps its own bell timings, children and fee bands. Buses can be shared across schools where the morning shifts do not overlap, and reports split by school for each office.

What happens when a stop is changed mid-term?

The child moves to the new stop from a chosen date, the attendant’s list updates and the guardian is told. The fee band changes only if your own rules say it should, never by default, and the office sees both bands.

Can we bring our route sheets across?

Yes. Your office staff bring route sheets, driver rosters and the term fee ledger across from existing files. Each route is then walked through together with us before the first morning run.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
