Transport · Software for employee transport providers

Plan every shift cab, roster and client invoice on one record.

An employee transport provider carries a client company’s staff to and from work on a contract. The software holds shift rosters, routes, vehicle allocation, trip sheets, safety escorts, driver duty, fuel and contract-wise invoicing. Each client is billed from the trips actually run. Nothing is retyped from a spreadsheet.

At a glance

An employee transport provider is paid by a company, yet it serves hundreds of that company’s staff on different shifts. Rosters change every night. The cabs must reflect each change before the first pickup, or someone stands at a gate in the dark.

Software for staff transport operators connects the client’s roster to routes, vehicles and drivers, then closes each trip into an invoice line already checked. Share your requirements. We then map one night shift, from the roster file arriving to the invoice line it finally produces and the vendor payment behind it.

How the work runs today

A client sends its roster, usually as a spreadsheet listing employees, shift times and pickup areas. The planner groups people into routes by area and shift, picks a cab or van of the right seat count, and sets the pickup order. Night routes may need an escort. The plan has to show it.

At shift change, drivers run the routes. The control room watches the clock and the phones. Employees cancel late, or board elsewhere. A trip sheet records the odometer reading, the employees who travelled and the stops made. At month end each client contract is billed by trip, by kilometre or by seat, with night and escort charges added where the contract allows. Vehicle owners are settled separately.

Where it breaks

What goes wrong for employee transport providers without a proper system.

The roster arrives as a spreadsheet each night

The client sends a file at eight in the evening, and the planner retypes it into routes by hand. A late change goes by phone. The cab leaves with the old list.

Routes are rebuilt for every shift

Two employees on the same road are placed in different cabs because the planner has no map of who lives where. One trip runs half empty while the next is over capacity.

Night safety checks are not on record

A guard or escort is required on certain night routes, and the requirement sits in an email from the client instead of the roster. When the client asks who was on the cab, the provider can only phone the driver and hope.

Trip sheets do not match the invoice

Drivers return paper sheets with odometer readings, and the billing clerk reads them a month later. The client disputes distances, and the contract rate is applied from memory. The invoice leaves late and short, and nobody can rebuild the month from the sheets.

Hired vehicles are paid on guesswork

Part of the fleet belongs to vehicle owners paid per trip or per month. Trips run, fuel advances and deductions are worked out in a separate sheet that nobody audits, and the owner disputes the figure every cycle.

What the software does

What we would build for employee transport providers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Client roster import

Load each client’s employee list and shift roster from its own file. Changes after the cut-off are marked. The planner sees who is added or dropped before the routes are fixed for the night.

Route and cab planning

Group employees by pickup area and shift, then assign a vehicle by seat count. Escort and guard requirements are shown beside the route.

Trip sheets and boarding

Each trip carries its odometer start and end, employees boarded, no-shows and stops made. The driver fills it on a phone and the control room reads it live.

Driver and vehicle allocation

Match drivers and vehicles to the shift. Licence, background check and medical dates sit on the driver, and a cab with a lapsed paper cannot be allotted.

Control room and exceptions

Log late pickups, cancellations, breakdowns and employee complaints with the trip they belong to, so the client’s transport coordinator gets a written answer.

Contract rates and client invoices

Bill each client from closed trips on its own basis, whether per trip, per kilometre or per seat, with escort and night charges kept separate.

Vendor vehicles and driver payments

Settle owners of hired cabs from the trips they ran, less fuel advances and penalties, and see margin per contract.

Each one is also available on its own, or inside a system built for you.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, accounting reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions employee transport providers ask before they call.

Can our client’s roster file be loaded as it arrives?

Yes. Column layouts are agreed per client during set-up, and each night’s file is read into the roster. Rows that cannot be matched to a pickup area are listed for the planner.

Does it optimise routes automatically?

It groups people by area and shift and checks seats, but the planner confirms every route. Choosing the quickest road path from live map data is outside the standard build, so any route optimiser is priced as its own line in the quotation before work begins.

Can the client’s coordinator see trips?

Yes, through a login limited to that client. The coordinator sees its own employees’ trips, delays and complaints, and never another client’s routes or rates.

How are hired cab owners paid?

From closed trips. Each owner has a rate basis, advances and deductions, and a statement lists the trips behind the figure before payment is made.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
