Transport · Airport Cab Operator Management Software

One record for each pickup, from the arrivals door to the driver’s closing cash.

Manage prepaid counter coupons, pre-booked pickups, the holding lot queue, trip sheets, driver settlements and corporate accounts for an airport cab business. Each booking carries a flight, a terminal, a fare zone and a vehicle class. Drivers see their next call on a phone. The office reads cash, coupons and compliance dates from the same trip records, not from three notebooks.

  • Zone tariff, night surcharges and vehicle classes entered as your counter quotes them
  • Cab list, driver roster and compliance dates loaded before go-live
  • Corporate rate agreements and open statements brought across from your files

This software handles counter coupons, pre-booked pickups, the holding lot queue and driver settlements for an airport cab business, with fare zones and tariff cards as you quote them. Each trip is held against a flight, a fare zone and a driver. Permit, fitness and insurance dates are tracked for every cab.

Where it breaks today

What goes wrong before the software.

Arrival times change after the booking

A pre-booked pickup names a flight, yet a delay is noticed by a driver who has already parked. The booking record and the live arrival never meet.

Prepaid coupons are redeemed without a trip link

A coupon sold at the counter reaches the cab as a paper slip. At closing, nobody can match slips to the zones and vehicle classes that were sold.

Queue order lives in the marshal’s head

The holding lot releases cabs in turn, but only the marshal knows the turn. Anyone who feels skipped has nothing to point to.

Cash fares and meter readings disagree

A driver reports a fare, the meter shows a different distance, and a waiting charge is added by hand. The difference is found days later, if at all.

Corporate statements are assembled by hand

Travel desks and hotels book on account. Their statements are built from signed slips, rider names and cost centres collected across several drivers.

Cab papers expire at the gate

Permit, fitness test, insurance and driver licence dates are checked when an inspector asks. The roster assigned the cab yesterday without knowing.

How it runs

How the work flows through it, step by step.

  1. 1

    Booking or coupon

A pickup arrives from the counter, a phone call, an app or a travel desk. The record takes the flight, terminal, zone, vehicle class and passenger contact, and prices the fare from your tariff.

  2. 2

    Flight check

The call desk updates the expected arrival, or a feed does. A moved time shifts the pickup and sends the driver a new message.

  3. 3

    Queue and release

A cab enters the holding lot with a time stamp. The marshal releases it to the next call, and the turn is kept on record.

  4. 4

    Pickup and trip

The driver confirms the meeting point, starts the trip and closes it at the drop. Meter reading, waiting time and extras are written to the trip sheet.

  5. 5

    Shift settlement

Coupons, cash and fuel slips are counted against the trips of the shift. Any gap is shown by driver before the sheet is signed.

  6. 6

    Billing and compliance

Account bookings roll into a statement for each travel desk or hotel. Cabs and drivers due for renewal appear on the weekly list.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Counter coupons and zone fares

Sell prepaid coupons by fare zone and vehicle class from your tariff sheet, with night surcharges, luggage extras and toll pass-throughs priced the same way each time.

Flight-linked pre-bookings

Hold each pickup against a flight number, terminal and meeting point. A changed arrival time moves the pickup and notifies the driver and the passenger.

Holding lot queue

Stamp each cab into the lot, release it in order and keep the marshal’s calls on record. Each driver sees their own place in the line.

Driver dispatch and trip sheets

Assign the next call to the cab at the head of the queue. The driver records pickup, drop, meter reading and waiting time on one sheet.

Driver cash settlement

Close each shift against coupons redeemed, cash collected and fuel slips. Owner-driver shares and salaried driver pay follow the rules you set.

Fuel and distance log

Record fuel filled, odometer readings and empty running between the lot and the terminal, so cost per cab is read from facts.

Corporate and hotel accounts

Keep agreed rates for each travel desk, bill a month of trips as one statement and record receipts against it.

Passenger complaints and lost property

Log a complaint or a lost bag against the trip and the cab. Track who called, who found it and when it was handed back.

Permits, fitness and insurance dates

Hold permit, fitness test, insurance and driver licence dates for each cab and driver, and flag renewals before the cab is rostered.

Passenger messages

Once dispatch confirms a booking, the rider gets an SMS, email or WhatsApp note that names the driver and gives the cab number. A late-arrival notice follows if the flight slips, in text the dispatch office has cleared.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Price Lists and Schemes

Zone fares, vehicle classes and night surcharges sit in one table that the counter, the call desk and the app all quote from.

  • WhatsApp, SMS and Email Notifications

A confirmed pickup, a changed arrival time or a driver’s name and cab number goes to the passenger by whichever channel your office has approved.

  • Vehicle and Trip Management

Each cab carries its trips for the shift, from lot release to drop, with the meter reading and waiting time on a single sheet.

  • Fuel and Driver Records

Fuel slips and odometer readings are logged per cab, so empty running between terminal and lot can be read next to paid distance.

  • Receipts Management

Cash handed in at shift end is posted against the trips and coupons of that shift, and any shortfall remains open under the driver’s name.

  • Invoice Management

A month of account trips is rolled into one statement for each travel desk, with rider names, cost centres and agreed rates.

  • Ticket Management

A lost bag or a complaint becomes a numbered ticket tied to the trip, with an owner and a closing note.

  • Service Reminders

Renewal dates for cab permits, insurance and driver licences raise a reminder before the vehicle appears on a duty roster.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners

Read trips by zone, coupon sales against redemptions, cash gaps by driver and cabs due for renewal without phoning the lot.

For counter staff

Sell coupons, take walk-up bookings and print a trip number the driver can quote.

For the call desk

Take pre-bookings, update flight times and send the driver and the passenger a new pickup message.

For queue marshals

Stamp cabs into the lot and release them in turn from a phone, with the order visible to the drivers.

For drivers

See the next call, close the trip sheet and check shift earnings and settlements from a phone.

Reports

The numbers the owner asks for.

  • Trips by zone, vehicle class and hour of day
  • Coupons sold against coupons redeemed, by counter
  • Cash settlement gaps by driver and shift
  • Holding lot waiting time by cab
  • Corporate statements issued and outstanding by account
  • Empty running distance and fuel by cab
  • Permit, fitness and insurance renewals due this month
Good fit

Who this is built for.

  • Operators with a prepaid counter and a fleet of metered or zoned cabs serving an airport
  • Owner-driver associations that share a holding lot and a coupon desk
  • Companies that supply airport pickups for hotels and travel desks
  • Fleet owners who run salaried drivers on night shifts
  • Operators adding an app or call desk next to the counter
Honest answer

When it is not the right choice.

  • One cab, one owner at the wheel. The owner drives alone and keeps trips, coupon stubs and cash in a notebook and phone, which covers the work without any system on top.
  • A city-wide ride-hailing platform that pairs any rider with any driver needs a purpose-built dispatch product, or our logistics and transport package, rather than a system for one airport’s cabs.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your zones and tariff

Fare zones, vehicle classes, surcharges and extras go in first, matching the sheet at your counter.

Queue rules

The order cabs join the lot, the marshal who frees each one and the handling of a skipped turn follow the agreement at your own lot.

Driver terms

Each driver’s pay rule goes in separately, whether an owner-driver’s share of the fare, a salaried wage or the way cash is handed in at shift end.

Currency and tax

Fares appear in your currency with the tax lines and invoice wording your country requires, and your office confirms each of them during implementation.

Cabs and drivers migrated

Cab lists, driver rosters, compliance dates and open corporate statements come across from your files.

Hosted by GullySystem

GullySystem hosts the system, so counter, call desk and marshal read the same trip numbers.

Common questions

Questions owners ask before a demo.

Can it sell prepaid coupons at the counter?

Yes. A coupon carries a zone, a vehicle class and a serial number. The driver’s redemption closes it, and unredeemed coupons are listed at day end.

Does it need a flight data subscription?

No. The call desk can key arrival changes by hand. A flight information feed is optional and is scoped as integration work during implementation.

How does the holding lot queue work?

A cab is stamped in when it enters the lot and released in order by the marshal. The record shows who left when, which settles most arguments about turns.

Can owner-drivers and salaried drivers be mixed?

Yes. Each driver has a pay rule. An owner-driver keeps a share of the fare and a salaried driver is paid under company terms. Settlement handles both.

Can we bill hotels and travel desks monthly?

Yes. Trips booked on account collect under the desk’s agreed rates. A statement lists rider, date, zone and amount, and receipts are matched to it.

How are lost items and complaints recorded?

Each one is attached to the trip, the cab and the driver. Staff note who called, who found the item and when it went back to the owner.

Can drivers use it on a basic phone?

Yes, with some limits. Smartphone drivers use a browser, a driver on a basic phone receives call details by SMS, and the marshal closes that driver’s trip from the lot.

Does it track the live position of each cab?

No. There is no tracking built in. Position is known by the lot stamp, the dispatch record and the driver’s trip close.

How does pricing work for a cab fleet?

Cabs, counters and users shape the quote. Share your requirements, from the arrivals door to the closing cash count, and the quote is then put in writing.

What happens to our old trip and coupon files?

Open statements and driver balances are loaded in a trial import that your office reviews. Older history can be kept as exported files.
