Transport · Taxi Company Management Software

One record for bookings, cabs, duty slips, corporate accounts and driver settlement.

Run bookings, dispatch and cabs from one record. Every trip ties a booking to a driver, a cab and a duty slip, so the evening settlement agrees with the taximeter printout and the card terminal batch. Lease owners, concierge desks and airline crew accounts draw statements from the same entries, with CNG and diesel fills, odometer readings and permit dates attached to each cab.

  • Cab types, fare rules and commission terms entered exactly as your tariff card reads
  • Cab list, driver roster and open corporate balances migrated
  • Rate card and cab type edits handled by our staff whenever you ask

Owners of city fleets, airport rank counters and radio cab circuits run bookings, duty slips and lease statements here, and GullySystem configures it around the tariff card. Dispatcher, clerk and driver sign in. Every booking is bound to one saloon or minivan and one driver, and the closing slip carries tolls, fuel, cash and card fares into settlement.

Where it breaks today

What goes wrong before the software.

Bookings arrive from separate channels

Four doors, four lists. The hotel concierge, airport rank marshal, app and phone line each keep their own pickups, so one saloon is sent to two kerbside waits while the rank stands empty.

Slip, meter and card totals differ

Totals never agree. The driver’s pencilled slip, the taximeter trip counter and the card terminal batch each show a different sum, so the clerk reconciles cab by cab after midnight.

Owner-leased cabs need their own books

Owners want their own books. A lease owner’s minivan earns fares, burns diesel and visits the workshop for a driveshaft or a flywheel, yet the weekly share is rebuilt from loose slips.

Corporate trips are billed from loose sheets

Signatures arrive late. The passenger signs a voucher in the back seat, it reaches the office days afterwards, and one missing guest signature from the bellhop desk holds the whole monthly invoice.

Papers expire without warning

Dates hide in files. Hackney permit, insurance, smoke opacity certificate and fitness certificate each expire on a separate calendar, and no screen shows all four for every cab until a roadside inspection does.

Workshop time is not counted

Idle cabs cost fares. A saloon waiting for a clutch plate and pressure plate set loses trips nobody counts, and tubeless tyres swapped between positions leave no sidewall record for the retreading call.

How it runs

How the work flows through it, step by step.

  1. 1

    Booking

Every request is logged. Pickup, drop, hour, cab type and rider phone are captured when a booking lands from the phone line, the app, the concierge desk or the rank, and it joins the board.

  2. 2

    Dispatch

Papers must be valid. The dispatcher picks the free cab nearest the pickup, the driver accepts on a handset, and the rider is sent the registration plate, the livery colour and the driver’s name.

  3. 3

    Duty slip

A slip opens at shift start. The driver enters the opening odometer and fuel level, and waiting time, tolls, parking and airport apron entry fees are added as each trip closes during the day.

  4. 4

    Fare and cash

Every trip has a payment mode. Taximeter fare, night surcharge and waiting charge are summed per trip, and cash, card swipes and corporate voucher trips are totalled in separate columns of the slip.

  5. 5

    Closing settlement

Cash is counted at the desk. The clerk compares cash handed in with the slip total and fuel receipts, notes any shortfall, then works out driver commission or daily rent and the lease owner’s share.

  6. 6

    Billing and upkeep

Vouchers become invoices. Each corporate account receives one tax invoice per cycle, and cabs nearing an oil change, a timing belt interval or a paper renewal appear on the fleet manager’s list.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Bookings and dispatch board

Every channel feeds one board. Bookings are logged by source, pickup, drop and cab type, and each cab shows as free, on trip or offline, so the nearest cab with valid papers is assigned.

Cab and driver master

One card per cab and per driver. A cab holds make, seating, owner, permit class, fuel type and regular driver, while a driver holds licence number, badge, handset number and the bank account used for payouts.

Driver duty slips

Open and close with odometer and fuel. Trips, waiting, tolls, parking and cash handed in are listed on the slip, and any shortfall is flagged for the clerk to review before the driver leaves the depot.

Fare rules and rate cards

Tariffs live in rate cards. Per-kilometre rate, minimum fare, flag-fall, night surcharge, waiting charge and airport pickup fee are set by cab type, and a corporate card sits beside the standard hackney tariff.

Driver commission and lease owner settlement

Settlement runs from the slip. Commission or daily rent, advances and fines are worked out per shift, and each lease owner receives a statement listing trips, fuel, repairs and the net share.

Corporate accounts and trip invoices

Accounts carry credit terms. Hotels, airline crews and firms are held with agreed rate cards, a signed voucher is attached to every trip, and a tax invoice is raised per account each cycle.

Fuel and mileage log

Each fill is logged. Litres, rate, fuel type and odometer go in with it, and mileage is compared across cabs on the same airport run. An unexplained drop in kilometres per litre, perhaps from a clogged injector or a dragging brake, is listed for the fleet manager.

Vehicle papers and renewals

Four dates per cab. Permit, insurance, smoke opacity certificate and fitness certificate are tracked with reminders ahead of expiry, and a cab with a lapsed paper is blocked from dispatch.

Workshop job cards and tyres

Every repair opens a job card. It lists the fault, parts fitted, labour hours and days off the road, while tubeless tyres are logged by wheel position so rotation and retreading rest on recorded wear.

Complaints and lost property

A complaint is logged against the trip. Rider, driver and cab are linked, a forgotten umbrella or a case left in the boot is followed to its return, and the outcome stays on the driver record.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Vehicle and Trip Management

Each booking becomes a trip tied to a cab and driver, and the board shows every cab as free, on trip or blocked because a hackney permit has lapsed.

  • Fuel and Driver Records

Fuel fills are logged per cab with litres, rate and odometer, so kilometres per litre can be compared between drivers on the same airport run or CNG route.

  • Service Reminders

Permit, insurance, smoke opacity and fitness dates raise a reminder before expiry, and the dispatcher cannot assign a cab whose certificate has lapsed.

  • Job Cards

A job card records the fault, parts fitted such as a clutch plate or a halfshaft, and labour hours, and counts the days the cab stayed off the road.

  • Commission and Incentives

Commission, daily rent and lease owner shares come from the slip, with advances and fines deducted on the one statement the driver reads.

  • Invoice Management

Trips under a hotel or airline crew account roll into one tax invoice for the cycle, each line backed by its signed voucher.

  • Attendance & Time Tracking

Shift start and end on the slip show hours driven per day and which cab each driver took out of the depot.

  • Customer Support

A rider’s complaint or lost umbrella is logged against the trip and driver, then followed to a result the office can report.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For the owner

Cabs on the road at a glance. Daily fare collection, corporate dues and lease owner payables sit on one page, and earnings per cab can be read against fuel and repair cost before the weekly review.

For dispatchers

The board is theirs. They take bookings, assign cabs, message riders, and see which drivers declined offers or sat idle at the rank while pickups waited across town.

For accounts staff

Closing is the daily job. Staff close duty slips, match cash against card batches, post receipts, raise corporate invoices and prepare the weekly lease owner statements from the same ledger of trips.

For fleet managers

Upkeep decides availability. The manager tracks papers, job cards, tyres and fuel, and chooses which cab leaves the road for a gearbox or differential repair and which driver takes the spare.

For drivers

A handset is enough. Drivers accept bookings, open and close the duty slip, check the day’s earnings, and read the commission statement without phoning the office to ask where the money went.

Reports

The numbers the owner asks for.

  • Bookings by channel, cab type and unserved requests
  • Fare collection by cab, driver and payment mode
  • Duty slips closed, open and with cash short
  • Corporate balances and vouchers awaiting a signature
  • Lease owner statements with trips, fuel, repair and net share per cab
  • Kilometres per litre, per cab, per airport run
  • Permit, insurance and smoke opacity certificate dates falling due, by cab
Good fit

Who this is built for.

  • City fleets of owned and leased saloons
  • Airport and railway transfer counters with a call desk
  • Corporate cab providers serving hotels, airline crews and tour agencies alike
  • Radio cab circuits assigning the nearest free car
  • Outstation and tourist operators running minibus and coaster hires
Honest answer

When it is not the right choice.

  • A lone owner-driver needs none of it. A notebook for trips and a phone for bookings serve a single cab well enough, and the system would not earn its place at that scale.
  • A fleet whose vehicles mostly carry parcels and pallets rather than riders fits Delivery Company Management Software or the logistics and haulage product better. School bus routes follow fixed timetables. They belong with School Transport Management Software.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Fare rules and cab types

Your tariff card, typed as printed. Cab classes, minimum fares, night and waiting charges and airport rates are keyed in exactly as they stand on the card handed to riders and concierge desks.

Commission and lease terms

Each arrangement is its own rule. Driver commission, daily rent and lease owner shares follow the terms you hold with each person, and your accounts staff review the first statements before any go out.

Paper types and dates

Local rules decide the list. The permits, insurance, opacity tests and fitness papers your licensing office requires are entered with their renewal dates, set up alongside your fleet manager during implementation.

Fleet and accounts migrated

Nothing starts empty. The dispatcher finds the cab list, the roster of drivers, each corporate account and every unpaid balance already copied from the old register when the system opens. Then the dispatcher walks the yard and matches plates to records.

Messages and payments

Riders get a message. Each booking confirmation reaches the passenger as a text or chat message. Fare payments by card, wallet or transfer attach to the exact trip they cover, and the payment reference stays on that trip.

Common questions

Questions owners ask before a demo.

Can hotel concierge and app bookings land on one board?

Yes. Every channel writes to one dispatcher board with its source tag. A waiting pickup shows there whether it came from the concierge desk, the app or the airport rank, and none is sent twice.

What happens when a cab’s insurance has lapsed?

The cab shows as blocked and cannot be assigned. A reminder reaches the fleet manager before the date, and the block lifts as soon as the renewed insurance certificate is entered against that cab.

Can an outside owner see what their cab earned?

Yes, the owner receives a weekly statement. It lists trips, CNG or diesel fills, workshop repairs and the net share, all worked out from the lease you hold with them.

How are corporate trips billed?

Each trip under an account carries its signed voucher. The monthly tax invoice lists pickup, drop, cab and fare on every line, with the scanned voucher attached for the hotel’s accounts clerk to check.

Do drivers have to use a smartphone?

It helps if they do. Drivers accept bookings and close slips on the handset, while a driver without one hands a paper slip to the clerk, who keys it in before settlement.

Can a GPS device feed the system?

A tracking supplier’s feed can be connected as separate work. Positions then show on the dispatcher board. Until then the first version works from odometer readings entered at shift start and close.

Does it work out driver commission?

Yes. Commission or daily rent follows the terms set for each driver and cab, and advances and fines come off the same statement. The driver reads one page and sees where each deduction came from.

What does it cost, and can we see a demo?

We show a demo on your own cab types and tariff card. The written proposal afterwards depends on fleet size, booking channels and the number of corporate accounts you serve.

Who changes a fare rule when the tariff moves?

Your accounts staff can enter a new rate card with an effective date. Structural changes, such as a new surcharge type or a kerbside waiting rule, come from our team under the support terms.

Can trip and settlement records be exported?

Yes. Trips, slips, owner statements and corporate invoices export to spreadsheets, and the layout is agreed with you in the proposal before anything is built, so nothing is locked in.
