Bank Reconciliation Views by Role

Accounts assistants, accountants and CAs, auditors and owners each use the reconciliation for a different purpose. This page describes what each of them works with.

Who works in the reconciliation

The work is shared across four roles. The assistant handles the matching and the accountant decides what belongs in the books. The auditor reads the record afterwards, and the owner reads the cash position. Access is limited to the people the client names. Roles are few.

What each role sees

For accounts assistants

Import the statement, run the match and clear the straightforward lines. Bank charges are posted, uncleared cheques are flagged and a reason is recorded against each unknown credit. Questions go to those who know the customers.

For accountants and CAs

Review the unmatched list with its reasons, post what belongs in the books and sign the month off. Matched entries are locked at sign-off.

For auditors

Open any closed month and see the statement line, the matched entry, the exception and the person responsible. A read-only login is used, and every view and export is logged.

For owners

See the cash position, with uncleared and disputed items shown separately. Book balance and bank balance are read account by account.

How a month passes between roles

  • The assistant imports the statement for each account
  • Exact pairs and rules match the obvious lines
  • A person accepts or rejects each suggested match
  • Lines that remain go to the unmatched list with reasons
  • The accountant signs the month off

Roles, training and devices

Which people hold which role, and who may sign a month off, is settled with the finance team when roles are set up. Training runs as two sessions, one for the accounts assistant and one for whoever signs off, using the client’s own recent month and not sample figures. The unmatched list and balances can be read on a phone. Matching is easier on a laptop, where both sides are visible.
