Quotations and Advances for Caterers
Price per-plate rates by session, and price counters and live stalls separately. The advance and the balance are recorded against the same quotation, so the household and the office read one figure.
What a quotation carries
From enquiry to advance
The order desk records the date, venue, session and approximate count, suggests menus and sends a per-plate quotation. Once the household agrees, the advance is receipted and the date is blocked against the venue and session. Each advance carries its mode and date. The balance is worked later from the closing count and any plates added at the hall.
Who works on it
- The order desk builds the menu, prices it and sends the quotation.
- The owner reads cost against the quoted rate before the family is answered.
- Accounts assistants receipt the advance and follow the balance.
- Every revision of the menu stays saved with the quotation it belongs to.
What the client decides
Frequently asked questions
Can counters be quoted apart from the plate rate?
Yes. Counters and live stalls are priced on their own lines, so the per-plate rate stays clean.
Is the advance tied to one event?
Yes. It is recorded against the event with the mode and the date, and it is deducted when the closing bill is built.
Is our costing visible on the quotation?
No. The quotation shows rates, counters and the advance. Costing and margin stay with the people you choose.
How is the quotation shared with the family?
The office prints or sends it. The format and the channel, WhatsApp included, are agreed during implementation.
