Business Software E-commerce & Quotation Software

This solution suits sellers of accounting, CRM, ERP and similar software to companies. A buyer asks for a quote, an approver signs it off, and the licence follows the purchase order and invoice. Discovery picks the platform, and the storefront and approval steps are configured on it.

Product status

Configured implementation on a commerce platform chosen in discovery

Quotes, approvals and invoices are set up on a store platform picked during discovery. GullySystem has no product that sells software, so this is configuration work and nothing beyond it.

There is no published price, free trial or live demo for this solution. Scope and cost are settled in a written proposal after discovery.

Purpose and users

A company buyer rarely pays by card on first sight. The price is compared, a quote is routed to an approver and payment follows an invoice, and the licence has to wait for that sequence.

The solution covers quotes, approvals, purchase orders, invoicing and licence release. It does not install or configure the product at the customer’s office.

Modules

What is in the system.

Quote requests

A buyer states seats, edition and add-ons, and the desk replies with a priced quote that stays valid for a stated period.

Approvals and purchase orders

A quote moves to the buyer’s approver and returns with a purchase order number that stays on the order record.

Seat-band licences

Editions are sold in seat bands, and the licence records seats bought and the contact who administers them.

Partner price lists

Approved resellers see their own rates and place orders for their customers.

Company accounts

Several people from one firm sign in under one account, with a buyer, an approver and an administrator.

Workflows

How the work runs through it.

Request to quote

The buyer fills in a short request. The desk prices it, sends a quote, and revises it on the same record until it is accepted.

Purchase order to licence

The purchase order is matched to the quote, an invoice is raised, and the licence is released when payment or an agreed credit term is recorded.

Partner order

A reseller orders at partner rates for a named end customer, and the licence is issued in that customer’s name.

Catalogue and product data

What each product record holds.

Seat bands and editions

Prices step with the number of seats, so the buyer sees where the next band begins.

Add-on modules

Modules that sit on top of a base edition are listed as items that can be added to a quote.

Services as separate items

Installation days or training are listed beside licences, so a quote can carry both without mixing the two.

Pricing and order rules

How prices and orders are set.

Quote validity

A quote carries an expiry date, and the price after it lapses is the one on the list that day.

Partner rates

A reseller’s rates are visible only to that reseller and are revised under your approval.

Credit terms

A buyer on agreed terms is invoiced and the licence is released against the term you recorded for that firm.

Stock and fulfilment

From stock to the doorstep.

Release on approval

The licence is released only when the order is approved and paid, or when credit terms are recorded.

Who receives it

The key or account goes to the administrator named on the order, not to whoever placed the request.

Seat top-ups

Further seats can be added to a licence that exists, with the end date kept the same.

Payments, returns and refunds

Taking money and giving it back.

Invoice payment

A buyer pays by bank transfer or gateway against the invoice, and the receipt is matched to it.

Cancellation

An order cancelled before release is reversed. After release, the decision follows the terms of sale you have written.

Credit notes

A change of seats or an error is corrected by a credit note against the original invoice.

Admin controls and reporting

What the team can see and change.

Approval trail

Who approved which quote, and when, stays with the order.

Quote pipeline

Open quotes by value and age, and those about to expire.

Seats in force

Licences and seats held by company, with their end dates.

Integrations

What it connects to, and on what terms.

Customer relationship tool

Quote and order status can flow to a CRM, after we have tested what its interface allows.

Accounting software

Invoices, receipts and credit notes reach the accounts package as exports your accountant can import.

Payment gateway

Bank references and gateway receipts are matched to the invoice they pay.

Deployment

How it is set up and run.

One platform with the category store

The quotation flow sits inside the store that sells to individuals, so each product is listed only once.

Hosted for you

We can host it, or deploy it into the cloud space your company already pays for.

Customisation boundaries

What can change, and where the edge is.

Approval rules

Who may approve a quote, and above what value, follows your own policy.

Where the edge is

Rollout at the customer’s site, data migration and user training on the product stay with your services team.

Migration and training

Moving over and getting people ready.

Existing quotes and accounts

Open quotes, customer lists and seat records are read in from your sheets or CRM, and your sales team reviews them line by line.

Training

The quotation desk and licence desk practise on quotes you sent recently.

Support scope

What support covers.

Scope

Fixes and minor changes are covered by a short written note naming the people to call.

Outside scope

A new approval chain, another sales channel or a second currency is priced separately.

Common questions

Questions about this solution.

Does this replace our CRM?

No. It holds quotes, orders and licences. Customer relationship tracking stays in the CRM, and the two are connected where its API allows.

Can a buyer pay by card for a large order?

That depends on the gateway’s limits and on your terms. Many sellers route large orders to bank transfer, and we confirm which methods suit you.

Is a trial or demo built in?

No. A pilot period belongs to your product, not to the store. The store records the order that follows it.
