Software Solutions for Business Software Sellers
Accounting, CRM and ERP products are bought by firms, not browsers. A quote is requested, an approver signs, a purchase order arrives and an invoice follows before the licence is released. This page explains that route and the records a seller needs behind it.
Sell business applications to companies through quotes, approvals and purchase orders.
Business software is priced by seats, modules and years, and the person who chooses it is seldom the person who pays. The sale passes through a requester, an approver and an accounts team.
That route needs records of its own: the quote, the purchase order number and the contact who administers the licence.
Publishers selling to companies
A software firm lists its editions, takes quote requests on its site and closes orders through its sales desk.
Resellers with a partner network
A reseller holds agreements with several vendors and sells to firms, often adding setup services to the licence.
Distributors serving partners
A distributor sells at partner rates to smaller resellers, who then bill their own customers.
The workflow for business software.
- 1
Request for a quote
A company states how many users it has, which edition it wants and which modules to add.
- 2
Quote and revision
The desk prices it by seat band and sends a quote. Seats change twice before the buyer accepts, and each version stays on one record.
- 3
Approval and purchase order
The buyer’s approver signs off and a purchase order number is sent. It is matched to the quote before an invoice is raised.
- 4
Invoice and payment
The invoice carries the firm’s legal name and tax details. Payment follows by transfer or on agreed credit terms.
- 5
Licence release and administrator
The licence goes to the named administrator, who adds users from the customer area.
The challenges, and what they cost.
What is specific to this trade.
These are requirements we would confirm in discovery. They describe what the solution may need to handle. They are not features that already exist.
- Seat bands, module add-ons and the price steps between them
- Who within a buying firm may request, approve and administer
- Whether purchase orders, credit terms or advance payment apply to each kind of buyer
- Partner agreements: rates, territories and who owns the end customer
What we would build for business software.
Chosen from the commerce capabilities this business needs, not a list of everything.
Who works in the system, and what each can do.
What it would connect to.
An integration is confirmed only after its API, access and scope are checked. A connection that updates on a schedule is described as scheduled, not real-time.
- The CRM that already holds your sales pipeline, if its interface can be reached
- Your accounts package, fed with invoices and receipts
- Bank transfer references, so receipts can be matched to invoices
How the work runs, and what we need from you.
What you provide
- Your price list by edition, seat band and module
- A few recent quotes with their revisions
- Your partner and credit terms as they stand
Model the quote first
We set out the fields a quote needs and the states it passes through before building any screen.
Try it on past quotes
Recent quotes are re-entered to see whether the flow gives the same prices and the same paperwork.
What you receive.
- A quote and approval flow with its states written down
- Seat-band pricing rules agreed in writing
- Company accounts and partner rate lists
- Training for the quotation and licence desks
How progress is judged.
Measures are agreed against your own baseline. We do not promise a result in advance.
- Quotes that needed a manual price correction
- Orders where the licence went to the wrong contact
- Time between a purchase order and licence release, against your own baseline
Selling at home and abroad.
A company abroad may need its tax details printed on the invoice and a purchase order number honoured. Which tax and invoicing rules apply is confirmed with your adviser for each market.

Configured implementation
Quotes, approvals and invoices are set up on a store platform picked during discovery. GullySystem has no product that sells software, so this is configuration work and nothing beyond it.

Can a buyer still pay by card?
Yes, for smaller orders, if your gateway’s limits allow it. Larger orders usually go by bank transfer against an invoice.
Can we show prices publicly?
That is your decision. Some sellers publish seat bands and others show only a quote form. The store supports either.
Does it handle implementation work we sell with the licence?
The quote can carry services as separate lines. Scheduling and delivering that work stays with your services team.
