Supplier Purchase Records for Grocery Stores

Purchases are recorded against each supplier and distributor. Stock goes up when a purchase is entered, and the cost reaches the profit figure, so the month’s margin is worked out from real numbers.

What a purchase entry does

Each purchase is entered against the supplier or distributor it came from. The stock of the items on it rises. The cost is held with the shop’s other figures for the month, which links buying to selling in one place without a separate file for purchases.

Where purchases show up

Stock

Items on the purchase are added to stock, so the count matches what has arrived.

Purchases by supplier

A report lists purchases for each supplier and distributor over a period.

Close of day

Sales, purchases and the day’s shop expenses sit together, with khata dues and the profit for the day.

Accountant’s export

Reports download in a form the accountant can bring into Tally at filing time.

Who enters them

The shop decides who enters a purchase when the goods arrive. Owners read the supplier report. Counter staff can be kept to billing if the owner prefers. Entries made on the day the goods arrive are easier to check than a batch keyed in once the month has closed.

What the shop decides

  • Which suppliers and distributors are set up at the start.
  • Who is allowed to enter and edit purchases.
  • How the accountant wants the export arranged for Tally.
  • Purchase entries must be made for stock and cost to be right.
FAQ

Frequently asked questions

Does a purchase raise the stock automatically?

Yes. Entering a purchase adds the items to stock, so the count follows what has been received.

Can purchases be listed by supplier?

Yes. Purchases by supplier is one of the reports, and it can be taken for a period the owner chooses.

Does the system file GST returns from purchases?

No. Your accountant exports the sales and purchase reports and files the returns. Filing itself is not done for you.

Does the cost of purchases reach the profit figure?

Yes. Purchase cost is held with sales and expenses, so profit is worked out from recorded entries.
