Views by Role for Jewellery Showrooms

Each person in a jewellery showroom works from a different part of the same record. This page sets out what owners, counter salespeople, the workshop in-charge and accountants each see.

One record, four working views

A showroom has people at the counter, at the bench, in the accounts room and in the owner’s chair. The software holds one stock book and one set of customer and karigar records. Each role opens the part it needs. The rest stays out of sight.

What each role sees

For owners

Stock by weight and purity, metal with each karigar, late approvals, scheme dues and the day’s sales, from the shop or from home.

For counter salespeople

A tag is read and billed at today’s rate. Old gold is taken in, and a piece is sent on approval in the customer’s name.

For workshop in-charge

Metal is issued to a bench against an order. Pieces are received back, with wastage and the karigar’s balance in view.

For accountants

Sales, exchanges, purchases and scheme receipts are handled here, and the auditor is given a clean file at month end.

How a day moves between them

The day starts when the rate is entered on the rate screen. Salespeople bill against it, and the workshop issues and receives metal. Approvals and hallmarking pieces leave the showcase against a name and a date. At the close, sales, metal in and out, scheme instalments, exchanges and cash appear on one screen, and the night count reads tag by tag against it.

What the roles do not share

Salespeople bill without seeing cost, wastage or the karigar account. The owner decides who may edit a tag’s weight, cancel a bill or see identity papers. The split of access is agreed with the showroom during set-up.

  • Cost and wastage stay away from the counter
  • The karigar account is limited to named logins
  • Weight edits and cancellations are logged with a name
  • Training is given to each role on its own screens
FAQ

Frequently asked questions

Do salespeople need training on the workshop screens?

No. Counter staff and the workshop in-charge each learn the screens they will use, and the two groups are trained separately.

Can the owner see the day’s position without being in the shop?

Yes. Stock, karigar balances, late approvals and the day’s sales open in a browser.

Can the accountant work without the counter screens?

Yes. The accountant works with sales, exchanges, purchases and scheme receipts, and does not need the billing screen.

Who decides what each role is allowed to change?

The owner decides, with GullySystem, during implementation. The permissions can be revised later through our support team.
