Leave and Weekly Off for Guards

Leave requests and approvals are recorded against the roster. A replacement is planned for the days a guard is away, and the wage sheet reads the same record.

Leave held beside the roster

Leave is often agreed by phone with a supervisor and reaches the office late. The roster then shows a guard on a post he has already left. Here the request and its approval are entered on the guard’s record. The roster reads that entry. The gap appears before the month begins.

How a request moves

Request

The leave is recorded against the guard with its dates, so it is visible to whoever builds the roster.

Approval

A person you name approves or declines it. An approved request shows on the roster for those days.

Replacement

The post shows as short. A replacement is placed from the reliever pool or from another post.

Wage sheet

The same record reaches payroll. A leave day is not paid by mistake.

Weekly offs

A weekly off is placed when the roster is built, and cover is placed with it. Offs that are due stay visible, so they do not pile up unclaimed. Double duties taken in place of an off appear on the roster. Accounts sees them before wage time.

What the agency decides

The leave types, who approves them and how leave affects pay are your agency’s rules. They are agreed with you and your accountant during implementation. The module records and applies them but does not set them.

FAQ

Frequently asked questions

Does approved leave appear on the roster on its own?

Yes. Once a request is approved, the roster shows those days. The post is marked short until a replacement is placed from the reliever pool or from another post.

Who can approve leave?

The roles you name. The exact roles are agreed with you before go-live.

How does leave reach the wage sheet?

The wage sheet is built from the same duty record, so approved leave is already known when payroll is prepared.

Can the leave rules differ by site or by guard?

Where your agency applies different rules to different sites or guards, they are discussed during scoping and set up exactly as you describe them to us.
