Uniform and Kit Issue for Guards

Uniforms, shoes, badges, torches and ID cards are recorded against each guard when issued. What is recovered on leaving is recorded on the same entry.

Kit held on the guard’s record

Items given to a guard are usually noted in a store register that nobody reads again. When the guard leaves, the office has to work out what was issued and what came back, often from memory. Here every item sits on the guard’s own record with its date.

What is recorded

Items issued

Uniforms, shoes, badges, torches and ID cards are entered against the guard at the time they are handed over, with the date of issue shown beside each item.

Return on leaving

When a guard leaves, each item is marked returned or not returned. The record then shows at a glance what the agency still has to collect.

Recovery

Items that are not returned can be recovered, and the amount goes to the wage sheet as a uniform recovery under the rule your agency has set.

Record for one guard

Kit sits beside his papers, advances and sites worked. Nothing is kept in a separate file.

Links to the wage sheet and exit

The wage sheet applies uniform recovery along with advances, overtime and statutory deductions, using the rules you set with your accountant. A guard who wants to leave can be checked for outstanding advances and unreturned kit in one place. Both show before the final settlement is prepared. Nothing is left to memory.

What the agency decides

How much is recovered for each item, and in how many instalments, is your agency’s policy and not ours. It is agreed with you and your accountant during implementation. Whether the module also holds store stock for issue is confirmed during scoping.

FAQ

Frequently asked questions

Can items be issued to a guard at a client site?

Yes. The item is entered against the guard, whichever site he is posted to. It stays on his record if he is moved to another post or another client.

How is recovery applied to wages?

The recovery goes to the wage sheet as a deduction. The rules for it are set with your accountant and checked against last month’s sheet before the first payroll.

Is there a list of kit still with former guards?

Items marked not returned remain on the record of the guard who left. The office can list them. Following them up is then a matter of a few calls.

Can we bring existing uniform records across?

Where they are held in a sheet, they can be loaded with the guard records before go-live. How much history is brought across is agreed during scoping.
