Views by Role for Security Agency Teams

A security agency has several groups of people working from one record. Each group sees the screens it acts on, from the owner’s strength summary to the guard’s single button.

Who works in the system

The software is used by agencies posting guards at apartment complexes, factories and warehouses, and by agencies billing corporate clients post by post. Owners, operations managers, field officers, guards and accounts staff each have their own screens. All of them read from the same duty record, so the roster, the invoice and the wage sheet agree with one another.

What each role sees

Owners

Strength on duty against strength contracted, sites running short, duties billed this month, wage cost by site and the incidents of the week.

Operations managers

The roster is built here. Open posts appear as they arise, and a reliever is sent from the screen with the time of sending recorded.

Field officers

The sites for the night are listed with attendance marked at each post. A visit or an incident is recorded from the gate.

Guards

One button and a selfie when the guard comes on duty. Where a guard carries a basic phone, the supervisor marks the post for him.

Accounts and payroll

Client invoices are prepared from duties, and the wage sheet carries deductions and advances recovered. Payroll files are produced for your accountant.

How a month moves between roles

Operations sets up each contract with its posts, shifts and rate per duty, and places guards on the roster. Guards and supervisors mark attendance at shift start. When a post is open, operations assigns a reliever. Field officers log night visits and incidents. At month end, accounts takes duties by post for the client invoice and duties by guard for the wage sheet.

The client’s view

The client’s admin team can be given a login for their own site. It shows attendance, open posts and incidents at that premises. What else a client may read is agreed with you before go-live. We do not decide it for the agency.

What each agency decides

Which person holds which role, and who may open bank details or identity copies, is decided by the agency. Roles are agreed with you before go-live. Operations can work the postings without opening a guard’s bank details, where you want it that way.

FAQ

Frequently asked questions

Can operations see a guard’s bank details?

Only if you allow it. Roles are agreed with you before go-live, so operations can work the postings without opening bank details or identity copies.

Do guards need to learn a new application?

No. The guard opens a page in the browser on the handset he already carries, and sees one button and a camera.

What does an owner see first?

Strength on duty against strength contracted, and the sites running short. Duties billed, wage cost by site and incidents of the week follow on the same view.

Are supervisors a separate role?

Supervisors mark attendance for a whole post where guards have basic phones. The exact permissions each person holds are agreed with you during implementation.
