Florist Delivery Management and Same-Day Flower Orders

By Ganesh HS, Strategy and Technology, GullySystem

Same-day flower delivery works when every order carries a time slot, an address checked at the counter, and a named rider. GullySystem’s Florist Management System puts orders from walk-ins, calls, your website and delivery platforms on one list by slot, and riders upload proof of delivery from their phones.

Take the Order With the Slot and the Address, Not Just the Bouquet

Most failed deliveries fail at the counter, not on the road. The flowers were right and the address was half written on a slip.

Every order needs six things before it is accepted: the arrangement, the card message, the recipient’s name, the full address with a landmark, a working phone number, and the delivery slot.

Read the phone number back to the customer. A wrong digit means a rider standing outside a gate with nobody answering.

Set Cut-Off Times for Same-Day Delivery and Hold Them

Same-day delivery is a promise about your own kitchen and your own roads. Work out how long an arrangement takes to make and how long the longest run takes in evening traffic.

From that, set a cut-off for each slot and put it on the counter, the website and the WhatsApp reply. An order taken at four for a five o’clock birthday across town is a complaint you agreed to.

On Valentine’s week and the wedding season, move the cut-off earlier rather than taking orders you will apologise for.

Plan the Day as Runs, Not as Single Trips

A rider sent out with one bouquet at a time is the most expensive way to deliver flowers. It also means nobody at the shop knows where that rider is.

Group the day’s deliveries into runs by area and slot, then give each run to a rider. Urgent and fixed-time orders go first in the run, not last.

Keep the list visible at the counter. When a customer calls to ask whether it reached, the answer should not depend on phoning the rider.

Close Every Delivery With Proof, Especially Gifts

A bouquet is usually a surprise for somebody else, so the customer cannot confirm it arrived. That is why proof of delivery matters more here than in ordinary retail.

Ask the rider to mark the status and upload a photo at the door. If the recipient is out, the rule should be written down already: leave with a neighbour, leave with security, or bring it back and call the customer.

Flowers left with a watchman in the afternoon sun are worse than a rescheduled delivery, and the customer will judge you on what they find that evening.

Bill the Order, Save the Occasion, and Know When Not to Buy Software

Corporate and event customers need a GST invoice with the advance and balance on record. Counter customers need the occasion saved, because the same birthday comes round next year.

A shop selling loose flowers and garlands over the counter for cash does not need any of this. A notebook and UPI are honest enough.

Once you take advance orders and deliver across the city, GullySystem’s Florist Management System holds orders from every channel with their slots. Deliveries are assigned by area and urgency, riders upload proof from their phones, and the stems that must be used today are flagged.

  • Deliveries by rider and by area, with those still out
  • Sales by arrangement, occasion, and shop
  • Stock ageing and flowers written off
  • Money owed on event and corporate orders
  • Customers with occasions coming up this month

Same-day delivery slot board

A one-day board with a column per delivery slot and a card per order carrying the recipient, address with landmark, phone, arrangement, rider and status. Run it for your next festival day to find the slot where orders pile up.

Frequently asked questions

How do I handle an incomplete or wrong delivery address?

Catch it at the counter by asking for a landmark and reading the phone number back. If the rider is already out and the address fails, call the customer rather than the recipient, since the delivery is usually a surprise.

Do I need delivery software if I only have two riders?

Not for the routing. Two riders can be planned on a whiteboard. What you do need is one written order list with slots, because the trouble comes from orders arriving on WhatsApp, the phone and the counter at once.

Can it bill wedding and corporate orders too?

Yes. An event order carries its items, date, advance and balance, and GST invoices are raised for single bouquets, standing subscriptions and event orders alike. What each hotel or event company still owes shows on the money-owed report.
