Golf course management software: tee sheet, pro shop and members

The short answer

Golf course software runs the tee sheet, member and visitor allocation, cart and range sales, pro shop stock and the daily close from one record. A round booked on the sheet should create the cart charge, update the member account and appear in the evening close without retyping.

The tee sheet is the control room

Every other part of the course depends on the sheet. Start time interval, first tee time, rotation between nines, twilight cut off and the gap left for maintenance crews are set here.

A good sheet holds rules, not just names. It knows that Saturday morning is held for members up to the release day. After that, unsold times open to visitors.

The starter works from the same sheet. Late arrivals, no shows and single players joining a group are changed in one place, and the pro shop sees the change straight away.

  • Interval, first tee and last tee by season
  • Nine hole and eighteen hole bookings
  • Rotation between the front and back nines
  • Blocks for tournaments, lessons and greenkeeping

Members and visitors share the same times

The harder question is allocation. A members only block, a booking window per member class and a cap on guest rounds all compete for the same slots.

Software holds those windows as rules. Full members may book seven days out, juniors only on weekday afternoons, guests only with a host attached. Without rules the sheet fills by whoever phones first.

Each round should post to the member’s account. Guest fees, cart hire and any monthly round limits then show on one statement.

Carts, range and pro shop sell through one till

Sales around the round matter as much as the round itself. A cart is assigned to a booking, a bucket of balls is sold at the range and a glove is rung up in the pro shop.

When all three go through one point of sale, the golfer pays once and the member account takes the charge. Stock falls as each item sells, so the buyer sees real sizes and shafts, not guesses.

Cart fleet records matter as well. Battery charging, service dates and damage reports belong in a simple list tied to cart numbers.

  • Cart hire tied to the booking
  • Range tokens or bucket sales
  • Pro shop stock by size, colour and supplier
  • Reorder levels for balls, tees and gloves
  • Lesson fees tied to the professional

Where tournaments and handicaps fit

Tournaments reshape the sheet for a day. Entry lists, draws, flights and prize lists all start from a competition record, and the tee sheet is blocked to match.

Handicap handling usually follows the national or regional body’s own system. Software should store the index, show it on the sheet and pass scores onward, not invent its own calculation.

Check what is exported after a competition. Results as a CSV file or printable scorecard are usually enough for the committee.

Close the day from the same record

At dusk, the manager wants one report. Rounds played, green fees by class, cart and range takings, shop sales and card totals should agree with the till.

If they do not agree, the difference should point to a line, not to a mystery. Voided sales and comped rounds need a reason code and a staff name.

Ask your vendor to show a close for last Saturday using your own figures. Fix any mismatch before the season opens, not during it.

Tee sheet setup sheet

Four blocks on one page: sheet rules, member classes, point of sale items and daily close. The first lists intervals, release days and blocks. The second has columns for class, booking window, guest allowance and monthly round limit. The third lists carts, range and shop items. The fourth lists the report lines the manager signs.

Questions owners ask

Does golf software handle handicaps?

Usually it stores the handicap index and shows it on the sheet. The calculation itself normally stays with your national or regional golf body, and the software passes scores to it.

Can members book their own tee times online?

Yes, within the window their class allows. The system should check class, guest limits and any account hold before it confirms the booking.

How do we stop tee time no shows?

Use a deposit or card hold for visitors, and a cancellation cut off that the system enforces. Members can carry a no show count on their account.

Should the pro shop run on the same system?

It is easier when it does. Stock, member charges and the daily close then agree without anyone matching three reports by hand.
