Pick a stand alone telehealth tool when video is a side service for a few follow-ups. Pick clinic software with video when the same patients are booked, seen, prescribed to and billed by your team. The test is whether the consultation reaches the patient’s chart without retyping.
What a video-only tool gives you
A stand alone tool gives you a room link, a virtual waiting area, screen share and often a chat box. It does not know your patient. The doctor opens a second system for history, a third for the prescription and a fourth for the invoice.
Gaps show up fast. The name typed into the video room differs from the register. The link travels by WhatsApp. The consultation notes end up in a text file on the doctor’s laptop, where the front desk never sees them. Nothing reaches the chart on its own.
Billing is the cruellest gap. Someone must match the video session to a payment by hand, usually from a card slip or bank message, and the entry is often made days later.
- Room link and virtual waiting area
- Screen share for lab reports and scans
- Chat for sending a photo of a rash
- No chart, no prescription pad, no invoice
What clinic software with video adds
In a clinic system, video is simply a type of appointment. The patient books a slot marked video, receives the link by SMS or email, ticks a consent box and joins from the same booking that reception already manages.
The chart opens beside the call. Allergies, the last visit’s notes, home blood pressure readings and earlier prescriptions sit in view. After the call the doctor writes the prescription, picks the follow-up date and sends the invoice with a payment link.
Everything lands in one record. The next in-person visit starts where the video call ended.
Questions that decide which one fits
Count your visits for a normal month. If video means a handful of repeat patients, a separate tool is cheap and quick to start. If video is growing into a third of the day, retyping will cost you hours every week.
Ask who pays and how. A clinic that collects before the call needs a payment step inside the booking. A doctor billing through an insurer needs the invoice and the consultation note to travel together.
List the extras you expect within a year, such as lab orders, vaccination reminders or a patient app. A video-only tool will not grow into any of them, while a clinic system might.
- How many video visits per doctor per week
- Do patients also come in person
- Do you issue e-prescriptions or print them
- Who collects payment, and when
- How many doctors and branches share the schedule
Rules that apply whichever you pick
Remote care is regulated by your country and often by your medical council. The rules cover who may prescribe, which drugs are barred over video and how consent is kept. Read your council’s guidance first. Software supports those rules but cannot replace the reading.
Record where the patient sits during the call, because prescribing limits usually follow the patient’s location. Keep a phone-call fallback for poor bandwidth. Decide early whether recordings are made at all.
Check where the data is stored and who can open a recording. A transcript of a consultation is a medical record with the same duty of care as a paper file. Ask each vendor for its data location, its backup routine and how a patient’s request for a copy is served.
Run a two-week trial before you commit
Pick two doctors and ten patients, then run every video visit through the candidate tool from booking to invoice. Count the steps each doctor repeats by hand and the minutes the front desk spends fixing names and numbers.
Note the failures too. Late links, dropped calls, a prescription sent to the wrong number and a patient who could not find the join button tell you more than any demo does.
At the end, ask each doctor one question: did you retype anything? If the answer is yes more than twice, move to clinic software with video built in.
Video consultation fit worksheet
A single sheet with two columns, one for a stand alone tool and one for clinic software. Rows cover booking, link delivery, consent, chart view, e-prescription, invoice and payment, follow-up date and the fallback phone call. A tick box per row scores each option after the two-week trial. A last row records each doctor’s count of retyped fields.

Can I start with a video-only tool and switch later?
Yes. Export your patient list and visit notes first, and check which file format the new system accepts. Starting simple is fine as long as the exit path is clear before you begin.
Do patients need to install an app?
Many systems open the call in a browser from the link. Test this on an older phone with a weak signal. A patient who cannot join in the first minute usually phones the front desk instead.
Is video suitable for every specialty?
No. It suits follow-ups, result reviews, counselling and skin checks. Examinations that need touch, imaging or a procedure still need a visit to the clinic.
