In this guide 6 sections
Most rejections trace back to master data: a wrong GSTIN, an HSN code that does not fit, a repeated invoice number, or bad vehicle and distance details. Billing software can test these fields before the invoice leaves, so the portal receives clean data. This is not tax advice.
Read the error code before retyping the invoice
The portal returns an error code and a short message with each rejection, yet billing staff often skip both and simply key the invoice in again. Skipping them is the habit to break. The same rejection follows.
Log every code for a week. Three or four errors dominate. Group them as party, item, document and transport faults, and give each group to the person who owns that master. That tells you which master to clean first.
Rules change, so confirm filing details with your tax professional. What follows covers how billing software prevents common data faults.
GSTIN and party details that do not match
A GSTIN with one wrong character fails at once. So does a valid number that has been cancelled, or one from a different state than the place of supply you entered.
Look at the customer master. Is the GSTIN stored once, validated on entry and tied to the legal name and registered address, so every invoice for that customer reads from the same record? Or is it typed fresh each time?
Fix it at the master. Validate the format and the two digit state code when the customer is created, and refresh the status of regular buyers before each billing run. A buyer who surrendered the registration last month still looks fine inside your own system.
- Format and state code checked on entry
- Legal name and trade name stored separately
- Billing address kept apart from shipping address
- Place of supply taken from the state, not typed
HSN codes, units and tax rates
An HSN code of the wrong length, a unit the portal does not accept, or a tax rate that does not belong to the code draws a rejection. Hurried items carry placeholder codes.
Export the item master and sort it by HSN. Look for blanks, one product listed under two codes, unrelated items sharing a single code, and units such as NOS or PCS that the portal list spells differently. Fix the spelling at the master.
Treat the item master as a controlled list. One person edits tax fields. No HSN code, no sale.
Repeated invoice numbers and wrong dates
The portal refuses an invoice number it has already registered for your GSTIN in the same financial year, even when the earlier attempt was cancelled. This happens when a bill is cancelled and regenerated under the old number, or when two billing counters number invoices by hand.
Dates fail too. Stale or future dates bounce.
Use one numbering series inside the software, locked against edits. Cancel, then issue a fresh number. Retire the old one. Keep a register of cancelled numbers with the date, the reason and the name of whoever cancelled, so the next audit finds an answer.
- Single series per financial year and branch
- Cancelled numbers never reused
- Invoice date taken from the system clock
- Credit and debit notes in their own series
Vehicle, distance and transporter details
E way bill rejections cluster in the transport block. A vehicle number in the wrong format, a pincode that does not exist or a distance beyond the allowed range stops generation at the dispatch gate.
Keep a transporter master holding the transporter ID, the usual vehicle numbers and the pincodes of the depots they serve most often, so dispatch selects rather than types. Store pincodes against each party and let the software compute the distance, instead of asking the dispatch clerk to guess.
Test these fields at the dispatch screen, before loading. A rejection at the gate costs a waiting truck. A rejection at the desk costs a minute. When a load changes truck mid journey, update Part B of the e way bill with the new vehicle number instead of leaving the old one on record.
E invoice pre check list
One page, run before each invoice is released. Four blocks: party, item, document, transport. Party checks GSTIN status, legal name and state code. Item checks HSN, unit and rate. Document checks number, date and series. Transport checks vehicle format, pincodes and distance. Each box logs the error code.
Open a blank worksheet to printQuestions owners ask
Can I fix a rejected e invoice by editing it?
A rejected invoice was never registered. Correct the data and submit it again. Once an IRN exists, cancellation and reissue follow the portal’s own rules, and the window for cancelling is limited. Ask your tax professional which applies.
Why does the portal report a duplicate IRN?
That combination was already registered. Check the first attempt before retrying.
Who should own the item and customer masters?
One named person in accounts, with every change logged. Billing staff read the masters. They do not edit tax fields mid invoice.
Can software validate a GSTIN automatically?
It can check the format and state code on entry and, where connected to the portal’s lookup, confirm the status. Keep a manual review for new customers, and re-run the status check on any buyer whose last invoice was rejected for party details.
