Build an agriculture system around your farmers, your procurement and your dealers.
An agriculture business runs in two places at once. One is a gate with a weighbridge and a queue of tractors. The other is a village, where a field officer is standing in somebody’s plot with a phone that has no signal.
Between them sit the records that decide everything: which farmer supplied what, at what moisture, with what deductions, and whether he was paid on Thursday as promised. On the other side of the business, a dealer wants to know whether his credit limit has room before the season starts.
Those records are what we build at GullySystem. A farmer register that survives a change of field officer, procurement that weighs and deducts in the open, stock by lot, and a dealer ledger that both sides can see.
Agriculture businesses we can build for.
A seed company selling through dealers and a processor buying from farmers are opposite businesses, and the system has to follow the direction your goods and your money move. If you buy milk from farmers, the dairy businesses page is closer to your day. A pure agri-input dealership moving somebody else’s brand belongs on the distributors and dealers page.

The modules, and what each one covers.
Nothing here is a fixed package. Each module is built, left out or changed to match how your organisation already works.
The farmer record
The same farmer, recognised by the system whether he came last season or last week.
- Name, village and taluk
- Mobile number
- Identity and bank details
- Land held, in acres
- Survey numbers
- Irrigated and rain-fed area
- Crops grown by season
- Sowing and expected harvest dates
- Membership or grower code
- Field officer responsible
- Supplies made to you
- Inputs taken from you
- Payments made and due
Bank details and identity documents are stored encrypted, and who in your team can see them is set by role.
Farmer enrolment
- Field visit
- Details captured
- Land and crop recorded
- Documents photographed
- Verification
- Grower code issued
- Active grower
Enrolment happens in a field, so the form works offline and uploads when the phone finds a tower. Half-filled forms are not lost.
Crop and season planning
- Season and crop
- Area committed by each farmer
- Variety sown
- Sowing date
- Expected harvest window
- Expected quantity
- Inputs supplied for the crop
- Advances given against the crop
- Village-wise expected arrival
- Plan against actual receipt
Procurement at the gate
- Vehicle arrival
- Gate entry
- Tare weight
- Unloading
- Quality check
- Gross weight
- Net weight
- Deductions applied
- Receipt to the farmer
- Payment
A weighbridge can feed its reading in where the machine allows it. Where it does not, the weight is keyed in, and both the reading and the person who entered it are recorded.
Weighment and quality
- Lot number
- Farmer and village
- Commodity and variety
- Number of bags
- Gross, tare and net weight
- Moisture reading
- Foreign matter
- Damaged and discoloured grain
- Grade assigned
- Deduction against each parameter
- Rate applied for that grade
- Value payable
- Sample retained
Deductions are the most argued-about number in this business. They are shown on the receipt in the farmer’s hand, not worked out later in the office.
Farmer payments
- Amount payable per lot
- Advance recovery
- Input dues recovered
- Loading and unloading charges
- Net payable
- Payment mode
- Payment date promised
- Payment made
- Payment pending beyond the promise
- Statement per farmer per season
Told Thursday, paid the following Tuesday, and that farmer goes to the next buyer. The list of promises not kept is a screen worth having.
Procurement centres
- Centre and in-charge
- Arrivals by day
- Quantity procured
- Farmers served
- Average rate paid
- Cash or transfer position
- Stock held at the centre
- Dispatch to the main godown
- Centre-wise cost
Warehouse and stock
Grain loses weight while it sits. Somebody should know how much.
- Commodity and variety
- Lot-wise stock
- Godown and stack location
- Bag count and weight
- Moisture at storage
- Fumigation and treatment record
- Weight loss over storage
- Stock transfers
- Physical count against book stock
- Stock ageing

For businesses that clean, grade, mill or pack what they buy.
- Batch and input lot
- Quantity issued to the line
- Finished output by grade
- By-products and husk
- Process loss
- Packing material used
- Pack sizes produced
- Batch code and date

- Lot allotted
- Loading and weighment
- Delivery challan
- Invoice

The dealer network
For input companies, the dealer is the customer, and the season is short.
- Dealer profile and territory
- Licence numbers and their validity
- Godown and shop details
- Credit limit
- Credit period
- Security held
- Orders placed
- Dispatches made
- Ledger and outstanding
- Cheques and payment record
- Dealer category
Licence validity dates sit in the dealer record because supplying against a lapsed licence is your problem, not only the dealer’s.
Dealer orders
- Order placed
- Credit check
- Approval
- Dispatch
- Invoice
- Delivery
- Payment
- Ledger updated
- Order from the dealer portal or the field officer
- Product and pack size
- Scheme applied
- Blocked for credit
- Part dispatch
- Pending order quantity
Dealer portal
- Place an order
- Product catalogue and pack sizes
- Current scheme
- Credit limit and balance
- Dispatch status
- Invoices and challans
- Ledger statement
- Payment record
- Raise a complaint
- Download price list
The ordering half of this already exists as our Wholesale and B2B Ordering Software, with dealer logins, rate lists, credit checks and a ledger. For an input company whose procurement side is small, that is the cheaper place to start.
Stock at the dealer point
What you sold to a dealer is not what the market took. The difference is what comes back to you at season end.
- Opening stock at the dealer
- Dispatches made
- Sales reported by the dealer
- Closing stock declared
- Physical verification by the field officer
- Slow-moving products
- Near-expiry stock at dealer points
- Expected returns
Stock declared by a dealer is a claim, not a fact. Field verification against it is why this section exists.
Schemes and discounts
- Scheme period and products
- Quantity slabs
- Free goods or rate benefit
- Season-end settlement
- Dealer-wise eligibility
- Claims raised by dealers
- Claims approved
- Credit notes issued
- Claims disputed
Batch and expiry
Seed, fertiliser and crop protection products all carry dates that matter legally as well as commercially.
- Batch or lot number
- Manufacturing and expiry date
- Quantity by batch
- Batch dispatched to which dealer
- Near-expiry alerts
- Expired stock quarantined
- Returns by batch
- Recall trace from batch to dealer
A recall means tracing one batch to every dealer and, where you know them, to the farmers who bought it. That trace only exists if the batch was recorded at every handover.
Field officers
- Officer profile and territory
- Villages and dealers assigned
- Beat plan for the week
- Visits planned against visits made
- Farmer meetings held
- Demonstration plots
- Orders collected
- Collections made
- Expenses claimed
- Leave and attendance
The field officer’s phone
A phone in a field is a different device from a phone in an office. It has one bar and a cracked screen.
- Today’s beat plan
- Farmer and dealer list nearby
- Enrol a new farmer
- Record a visit with a photograph
- Crop stage observation
- Pest or disease reported
- Take a dealer order
- Record a collection
- Verify dealer stock
- Works offline and syncs later
Everything on this screen is designed to be finished standing up. A form that needs a table will not be filled in.
Farmer advisory
- Crop stage advice
- Spray and dose recommendations from your own agronomists
- Pest and disease alerts
- Weather-based messages
- Local language content
- Voice notes for farmers who do not read
- Meeting and demonstration invitations
- Advice sent against advice acted on
Every recommendation that goes out is written and approved by your agronomy team. The system carries it, and does not generate agricultural advice on its own.
Input supply to farmers
For businesses that supply seed or inputs and recover the value at harvest.
- Input issued to a farmer
- Quantity and value
- Issue date
- Recovery terms agreed
- Recovery against procurement
- Balance outstanding
- Farmer-wise input ledger
- Defaults
Lending money or supplying goods against a future crop is governed by what your business is registered to do. We record the arrangement. Whether you may operate it is for your own legal advice to settle.
Contract farming records
- Agreement with the farmer
- Area and variety committed
- Buy-back terms
- Inputs supplied under the agreement
- Field visits during the crop
- Expected yield
- Actual delivery
- Rate applied
- Settlement
- Agreements not honoured
Transport
- Vehicle and transporter
- Trip from centre to godown
- Weight loaded and unloaded
- Shortage on arrival
- Freight rate and charges
- Loading labour charges
- Trip-wise cost
- Transporter bills
- Cost per quintal moved
Rates and market prices
- Purchase rate by commodity and grade
- Rate revision by date
- Centre-wise rate
- Selling price to buyers
- Market reference rates you subscribe to
- Rate approval before it is published to centres
- Rate history
Market rates come from whatever source you already use. They are stored and applied here. This is not a price feed of its own.

- Centre in-charge
- Weighbridge operator
- Quality checker
- Warehouse keeper
- Field officer
- Area and regional manager
- Accounts
- Dealer
- Farmer
Integrations and the machines at the gate
- Weighbridge indicators

- Accounting software
- Payment and bank transfer files
- WhatsApp and SMS in local languages
- Label and barcode printers
- Existing trading software
Fertiliser sold under a government subsidy scheme is billed on the department’s own point-of-sale device, which no software of ours can sit inside. The sale is recorded here afterwards, and you should hear that before the project starts.
One connected workflow, end to end.
Every stage below can sit in one system, so nobody re-enters what the last stage already captured.
- Farmer enrolment
- Crop planning
- Input supply
- Field visits
- Harvest intimation
- Gate entry
- Weighment and quality
- Deductions and rate
- Receipt to the farmer
- Payment
- Storage
- Processing or dispatch
- Dealer sales and collection
You do not have to replace everything at once.
Each phase is usable on its own, so the system earns its place before the next part is built.
- 1
Farmers and procurement
The farmer register, gate entry, weighment, quality deductions, receipts and payments. The queue at the gate moves first.
- 2
Stock and dispatch
Godown stock by lot, processing batches, dispatch, invoices and the weight that goes missing between two weighbridges.
- 3
Dealers and field force
The dealer ledger, orders against credit, schemes, the field officer beat plan and the phone they work from.
- 4
Advisory and reporting
Farmer messaging in local languages, contract farming records, dashboards and the integrations at the gate.
How a build actually runs.
- 01
Understand
We stand at your gate for a morning and watch one tractor go from entry to payment.
- 02
Map
Farmers, centres, lots, godowns, dealers, field officers and every place a weight or a rate is decided.
- 03
Design
Screens for a weighbridge operator in a hurry and a field officer standing in a plot.
- 04
Build
The gate and the farmer record first, because that is where trust is won or lost.
- 05
Test
One centre runs a full arrival season on it alongside the existing register.
- 06
Deploy
Farmer lists, dealer ledgers and opening stock are carried across, and centre staff are trained on their own screens.
- 07
Improve
More centres, dealer portals and advisory as the season allows.

Questions owners ask before starting.
What is custom agriculture software?
It is software built around one business’s farmers, commodities, deduction rules and dealer terms, rather than a general trading package. Quality deductions are usually where packages stop fitting.
Can it work where there is no mobile signal?
Yes, for the field parts. Enrolment, visits and stock checks are captured offline on a phone and upload when the phone reaches signal.
Can it connect to our weighbridge?
Often, yes. It depends on the indicator and what output it provides, so it is checked machine by machine. Where it cannot, the weight is keyed in with the operator recorded.
Can farmers get a receipt showing the deductions?
Yes, printed at the centre or sent to the phone, with moisture, foreign matter, grade and every deduction shown separately.
Can it handle payments to farmers?
It prepares the payable amount after advances and input dues, and generates the transfer file or record. The money moves through your own bank, not through us.
Can dealers place orders themselves?
Yes, through a portal that checks their credit limit before the order is accepted, and shows dispatch status and the ledger afterwards.
Can we trace a batch back if there is a complaint?
Yes, where the batch was recorded at each handover: from manufacture or purchase, to the dealer, and to the farmer where you have that record.
Can field officers be tracked?
Visits can be recorded with a location and a photograph. Whether you also track movement through the day is your own policy decision, and your field team should be told about it.
Can it send advice to farmers in Kannada?
Yes, in text and as voice notes for farmers who would rather listen. The content is written by your agronomists, not generated by the software.
Will it handle subsidised fertiliser billing?
No. That sale has to be billed on the department’s own device at your counter. The system records it afterwards so your stock and ledger stay right.
Can we start with procurement only?
Yes, and most businesses should. Get the gate working for one season, then add the dealer side or the field force.
Can this be built for a farmer producer organisation?
Yes. Member records, share capital, procurement from members, input supply and patronage records can be handled, with the rules your own bye-laws set.
Software we already run for this work.
If one of these fits, it is cheaper and faster than building from scratch. We will say so.
Build an agriculture system that works at the gate.
A farmer judges your business on two numbers: the weight on the slip and the day the money arrives. Everything else is detail.
Send us a season of procurement records and one dealer ledger. The written report puts the gate weighment first, the dealer claims after it, and the rest can wait until the season is over.
Tell us how your agriculture businesses runs today.
We will tell you what can be digitised, what can be connected, what is worth automating, and what you should leave alone.
- No obligation
- We reply the same working day
- Your details stay private
