GullySystem
Custom software · Financial services companies

Build a financial services system around your leads, your files and your partners.

A financial services firm sells one thing and runs on another. The selling is calls and meetings. The running is documents.

A file moves from an enquiry to a login, then through credit, then to sanction, then to disbursement, and at every step somebody is asked for one more paper. Meanwhile the partner who sourced it rings to ask where his payout is, and the answer is in a spreadsheet that one person maintains.

We build the layer around that at GullySystem. The lead desk, the application workflow, the document checklist and the partner ledger, with reminders that keep a file moving while it is still worth moving.

Who this is for

Financial services firms we can build for.

A loan distribution desk and a wealth practice keep very different files, and the product you sell decides which of them the software has to hold. Both of them place business with somebody else. If you lend your own money, the NBFC and lending page is the one to read. If insurance is your whole business, the insurance agencies page carries the renewal and commission book you need.

  • Loan distribution firms and direct selling agents
  • Mortgage and home loan consultants
  • Business and working capital loan consultants
  • Vehicle loan agencies
  • Loan against property specialists
  • Mutual fund distributors
  • Wealth management firms
  • Financial advisers and planners
  • Investment advisory practices
  • Lease and equipment finance brokers
  • Fintech intermediaries
  • Credit repair and advisory firms
  • Firms running several product lines together
  • Firms with a partner or sub-agent network
What can be built

The modules, and what each one covers.

Nothing here is a fixed package. Each module is built, left out or changed to match how your organisation already works.

Leads

Enquiries arrive from a website form, a portal you pay for, a WhatsApp forward, a referral partner and a walk-in. They rarely arrive in one list.

  • Source and campaign
  • Product required
  • Amount sought
  • Customer profile in brief
  • Location
  • Assigned executive
  • Lead status
  • Next follow-up date
  • Call and meeting history
  • Reason for loss
  • Duplicate lead flagged

A lead with no next action on it is a lead already lost, so the system makes the date compulsory rather than optional.

Customer record

  • Name, contact and address
  • Date of birth
  • PAN and identity documents
  • Employment or business type
  • Income details as declared
  • Existing obligations
  • Family members held as separate records
  • Products held with you
  • Past applications
  • Documents on file
  • Consent record

Identity and financial documents are stored encrypted, with access by role and a log of who opened what. Which of your staff can see what is your decision to set.

The application file

  1. Enquiry
  2. Eligibility discussion
  3. Documents collected
  4. File logged in
  5. Credit assessment
  6. Valuation and legal
  7. Sanction
  8. Documentation
  9. Disbursement
  10. Payout

Stage names differ by lender and by product. They are set up as the ones your team says on the phone, not as generic ones.

Document checklists

The reason files stall is almost never the credit decision. It is the one paper nobody chased.

  • Checklist per product and profile
  • Salaried and self-employed variants
  • Identity and address proof
  • Income documents
  • Bank statements
  • Property or asset papers
  • Existing loan statements
  • Document received or pending
  • Rejected and re-requested documents
  • Expiry of a document during the file
  • Reminder to the customer

Lender and insurer panel

For firms placing business with several institutions, the panel is the product.

  • Institution profile
  • Products offered
  • Eligibility rules as you understand them
  • Document requirements
  • Rate and charge structure
  • Processing timelines quoted to you
  • Relationship manager and contact
  • Commercial terms agreed
  • Files placed
  • Approval and rejection history

Eligibility rules change without warning and belong to the institution. The system holds your own notes on them, and it is not an authority on what any lender will approve.

File tracking

  • Files by stage
  • Files with the lender
  • Files waiting on the customer
  • Files waiting on valuation or legal
  • Days in current stage
  • Files older than a month
  • Query raised by the institution
  • Query answered
  • Files rejected and the reason
  • Files reworked with another institution

Sanction and disbursement

  • Sanctioned amount and terms
  • Conditions to be met before disbursement
  • Documentation and signing
  • Disbursement date and mode
  • Part disbursements
  • Amount actually disbursed
  • Fee charged to the customer
  • Payout due from the institution
  • Payout received
  • Difference between expected and received

Partner and sub-agent network

Many financial services firms grow through other people’s contacts, and those people need to be paid on time to stay.

  • Partner profile and type
  • Agreement and commercial terms
  • Onboarding documents
  • Bank details
  • Territory or product
  • Leads sourced
  • Files logged
  • Business disbursed
  • Payout earned
  • Payout paid
  • Statement per partner
  • Active and dormant partners

Partner portal

  • Submit a lead
  • Upload documents
  • Track file status
  • See what is pending from the customer
  • Earnings statement
  • Payment history
  • Product and rate information
  • Announcements
  • Raise a query

A partner sees only the files they sourced. Nobody sees another partner’s book.

Commission and payout records

  • Expected earning per file
  • Institution-wise terms
  • Received against expected
  • Short receipts and disputes
  • Partner share
  • Executive incentive
  • Deductions and adjustments
  • Reversals where business is cancelled
  • Payout statements
  • Outstanding from institutions

What arrangements your firm may operate, and with whom, is settled by your compliance adviser and by your regulator. We build what you are permitted to run, and the permission is not ours to give.

Insurance policy records

For agencies and broking firms, where the renewal is the business.

  • Policy number and insurer
  • Product and cover
  • Policyholder and insured members
  • Premium and payment mode
  • Start and renewal dates
  • Policy document
  • Endorsements
  • Nominee details
  • Servicing executive
  • Lapsed policies

Renewals

A renewal that nobody calls about is a customer somebody else called about.

  • Renewals due this month
  • Renewals due next month
  • Reminder to the customer
  • Follow-up calls logged
  • Quotation for renewal
  • Renewed or lapsed
  • Reason for lapse
  • Renewal rate by executive
  • Customers lost to another agency

Claims assistance

  • Claim intimated
  • Policy and insurer
  • Documents required
  • Documents submitted
  • Surveyor or assessor visit
  • Query from the insurer
  • Status
  • Settlement recorded
  • Claim rejected and the reason
  • Claims open beyond a month

The claim decision belongs to the insurer. Paperwork and follow-up are tracked here, and nothing is settled here.

Investment and wealth records

For advisory practices, the family view that today takes an evening in a spreadsheet.

  • Family grouping across members
  • Holdings by category
  • Risk profile on record
  • Goals discussed
  • Review meeting dates
  • Actions agreed in a review
  • Proof that an action was done
  • Statements filed
  • Nominee updates
  • Fee or commission record

Your research, your platform and your transaction route stay where they are. This is the layer around them, not a replacement for them.

Reviews and service calendar

  • Review due dates by client
  • Meeting scheduled
  • Pack prepared
  • Meeting notes
  • Actions with owners
  • Actions closed on proof
  • Overdue reviews
  • Clients not met this year

Verification and bureau checks

Checks your firm already runs, recorded against the file rather than against an email.

  • Identity verification record
  • Address verification
  • Bank statement collected
  • Credit bureau report filed
  • Employer or business verification
  • Reference checks
  • Field visit record
  • Verification outcome

A bureau report can be pulled only through your firm’s own agreement with that bureau, and on the terms it sets. The system stores and tracks; it is not a source of credit data.

Customer communication

  • Document request
  • Status update on a file
  • Sanction communication
  • Disbursement confirmation
  • Renewal reminder
  • Premium due reminder
  • Review meeting reminder
  • Festival and birthday messages
  • Feedback requests

A renewal notice may go to a customer whose policy you already hold. A cross-sell offer to the same person needs consent you can produce later, and the system should refuse to send without it.

Branches and teams

  • Branch-wise leads
  • Files logged and disbursed
  • Business by product
  • Executive-wise performance
  • Conversion by source
  • Institution-wise business
  • Partner-wise business
  • Payout pending
  • Branch profitability

What the director opens each morning

  • New leads today
  • Leads with no follow-up date
  • Files logged this month
  • Files stuck beyond two weeks
  • Sanctions awaiting disbursement
  • Disbursements this month
  • Payouts due from institutions
  • Payouts due to partners
  • Renewals falling due
  • Business by product and by partner

Roles and access

  • Director
  • Branch manager
  • Relationship manager
  • Telecalling team
  • Operations and documentation
  • Credit coordinator
  • Accounts
  • Compliance
  • Partner
  • Customer

Audit trail

In a business built on documents, the record of who touched what is part of the product.

  • Who opened a customer record
  • Who downloaded a document
  • Changes to a file
  • Changes to commercial terms
  • Payout changes
  • Deleted records
  • Login history
  • Data exports

Integrations

  • Payment gateways for fee collection
  • WhatsApp and SMS
  • Email
  • Accounting software
  • Document storage
  • Digital signing tools
  • Lead sources and portals

Most lenders and insurers give partners a portal, not a route in. Where there is no API, file status is updated by your own team, and we say that at the start rather than after the build.

The journey

One connected workflow, end to end.

Every stage below can sit in one system, so nobody re-enters what the last stage already captured.

  1. Lead
  2. Eligibility discussion
  3. Product selection
  4. Document collection
  5. File login
  6. Institution processing
  7. Queries
  8. Sanction or issuance
  9. Disbursement
  10. Fee and payout
  11. Partner settlement
  12. Servicing
  13. Renewal or review
Built in phases

You do not have to replace everything at once.

Each phase is usable on its own, so the system earns its place before the next part is built.

  1. 1

    Leads and customers

The lead desk, customer records, follow-up discipline and the document checklist per product. Most firms feel this one within a month.

  2. 2

    The file

Application stages, institution panel, queries, sanction, disbursement and the reasons files stall.

  3. 3

    Partners and payouts

The partner network, the portal they log into, commission records and the settlement statements.

  4. 4

    Servicing and reporting

Renewals, claims, reviews, dashboards, the audit trail and whichever integrations your insurers and banks actually allow.

How we work

How a build actually runs.

  1. 01

    Understand

We follow two live files, one that went smoothly and one that stalled, through your office.

  2. 02

    Map

Products, stages, documents, institutions, partners, approvals and every handover between them.

  3. 03

    Design

Screens for a telecaller, an operations executive and a partner on a phone, which are three different screens.

  4. 04

    Build

Modules in the order that unblocks files soonest, usually leads and document tracking.

  5. 05

    Test

Your team runs live files through it in parallel for one full month, payouts included.

  6. 06

    Deploy

Open files, partner ledgers and renewal dates are carried across, and each role is trained on its own part.

  7. 07

    Improve

More products, more partners and more automation as the firm adds lines.

Common questions

Questions owners ask before starting.

What is custom financial services software?

It is software built around one firm’s products, application stages, document lists and partner terms, rather than a package written for a bank. Distribution businesses rarely fit inside lending software.

Can it track a loan file from lead to disbursement?

Yes, through the stages your team actually names: login, credit, valuation, legal, sanction, documentation and disbursement, with days spent in each.

Can it chase pending documents on its own?

It can list what is missing and send reminders to the customer and the executive. Somebody still has to make the call when the reminder is ignored.

Can partners log in and see their own files?

Yes. A partner portal shows the leads they sourced, what is pending, and their own earning statement, and nothing belonging to anyone else.

Can it calculate commission and payouts?

Yes, against the terms recorded for each institution and each partner, with what was expected set beside what actually arrived.

Can it connect to bank or lender systems?

Usually not. Most institutions give partners a portal rather than an API, so file status is updated by your team. Where a route exists, we use it.

Can it manage insurance renewals?

Yes. Policies carry their renewal dates, reminders go out ahead of time, and lapsed policies are listed with the reason recorded.

Is customer data safe in it?

Documents are encrypted, access is set by role, and every view and download is logged. Beyond that, safety is also about who you give access to, and that is your call.

Can it handle more than one product line?

Yes. Loans, insurance and investments can run as separate workflows in one system, because a home loan file and a motor policy have almost nothing in common.

Will it tell us what a lender will approve?

No. It holds your own notes on each institution’s rules, which change often. The credit decision stays with the institution.

Can we start with only lead management?

Yes, and many firms should. Leads and follow-up discipline pay for themselves quickly, and the file workflow can follow.

Can this be built as a platform for our franchise network?

Yes. A network of branches or franchisees is a multi-tenant build, designed that way from the start so each unit’s book stays its own.

Your trade

How we work with this trade.

Build a financial services system that keeps files moving.

Every file in this business is a race between a customer’s patience and a paperwork queue. Most lost business is not lost on price.

Tell us which institutions you place business with and how your sub-agents are paid. Payout reconciliation is almost always the first thing to build, because nobody in your office wants to do it by hand.

Tell us how you work

Tell us how your financial services companies runs today.

We will tell you what can be digitised, what can be connected, what is worth automating, and what you should leave alone.
