Custom software · Real estate developers

Build a developer system around your towers, not around a template.

A project is sold twice. Once to the buyer who walks into the site office on a Sunday. Once again to the bank, the channel partner and the accounts desk, which all need that unit to mean the same thing.

That is where the unit chart in Excel starts to hurt. Two executives block the ninth-floor corner flat. A slab is cast on Tuesday and the demand letters go out the week after, while a partner argues about who registered the buyer first.

A system here has to hold the project the way you sell it: block, tower, floor, unit, payment plan, milestone and the person responsible for the next call.

Who this is for

Developers and property businesses we can build for.

One tower, or four projects across two cities with a different partner in each. Everything here is scoped to the inventory you are actually selling.

  • Residential apartment developers
  • Villa and row-house developers
  • Plotted development companies
  • Layout and land developers
  • Commercial and office developers
  • Retail and mall developers
  • Mixed-use developers
  • Township developers
  • Redevelopment and joint development builders
  • Affordable housing developers
  • Farmhouse and second-home developers
  • Warehousing and industrial park developers
  • Multi-project developer groups
  • Developers with an in-house sales team
  • Developers selling through channel partners
  • Property marketing companies
  • Developers with their own facility arm
What can be built

The modules, and what each one covers.

Nothing here is a fixed package. Each module is built, left out or changed to match how your organisation already works.

Project and tower structure

The spine of the system, set up the way your own drawings are numbered.

  • Project and phase
  • RERA registration number
  • Block, tower and wing
  • Floor and unit numbering
  • Unit type and configuration
  • Carpet, built-up and super built-up area
  • Facing and view
  • Car park allocation
  • Amenities mapped to the project
  • Approval and document set
  • Launch and possession status

The unit chart

One chart, one truth, visible to every executive at the same moment.

  • Available units
  • Held units with a hold expiry
  • Blocked units
  • Booked units
  • Agreement executed
  • Registered units
  • Cancelled units
  • Unsold inventory by type
  • Inventory ageing

A hold that never expires is how a chart goes stale. The hold period is set by you, and the unit releases itself when it runs out.

Pricing

  • Base rate per square foot
  • Floor rise
  • Preferred location charges
  • Car park charge
  • Club and amenity charges
  • Infrastructure and legal charges
  • Maintenance deposit and corpus
  • GST treatment
  • Stamp duty and registration estimate
  • Approved discount limits
  • Cost sheet generation

Enquiries and lead CRM

Enquiries arrive from portals, hoardings, the website, referrals, partners and people who simply walk in on a Sunday.

  • Lead capture by source
  • Duplicate phone number flagging
  • Budget and configuration wanted
  • Project interest
  • Assignment to an executive
  • Next action and due date
  • Call and visit history
  • Lead stage
  • Cold and lost leads with reason
  • Reassignment on exit

Site visits

  1. Enquiry
  2. Visit scheduled
  3. Reminder
  4. Visit conducted
  5. Feedback recorded
  6. Follow-up
  7. Negotiation
  8. Booking

The site office can open the morning list and see who is expected, with the executive accompanying each family.

Booking

  • Booking form
  • Applicant and co-applicant details
  • KYC documents
  • Unit and car park
  • Cost sheet attached
  • Payment plan chosen
  • Booking amount and receipt
  • Approval where a discount applies
  • Allotment letter
  • Booking cancellation with reason

Payment plans

A construction-linked plan depends on somebody remembering that the slab was cast.

  • Construction-linked plan
  • Down payment plan
  • Possession-linked plan
  • Custom instalment plan
  • Milestone definition per tower
  • Percentage split per milestone
  • Taxes on each milestone
  • Plan change with approval

Demands and collections

  1. Milestone achieved
  2. Milestone marked at site
  3. Demand raised
  4. Demand letter sent
  5. Reminder
  6. Payment received
  7. Receipt issued
  8. Ledger updated

The buyer ledger

  • Total consideration
  • Demands raised to date
  • Amount received
  • Amount outstanding
  • Interest on delayed payment
  • Taxes collected
  • TDS deducted by the buyer
  • Bank disbursements
  • Own contribution
  • Statement of account

A buyer asking what he has paid should get a statement in a minute, not after an afternoon of matching bank entries against Tally receipts.

Home loans

Most of a developer’s collections arrive from a bank, not from the buyer.

  • Bank or housing finance company
  • Loan application status
  • Sanction amount and date
  • Documents pending with the bank
  • Disbursement schedule
  • Disbursement received
  • Tripartite agreement
  • Bank NOC
  • Loan rejection and fallback

Channel partner portal

For many developers the partner is the sales team, and a portal treats him like one.

  • Partner registration and RERA number
  • Lead registration with timestamp
  • Lead ownership window
  • Project inventory and pricing access
  • Site visit booking
  • Booking status
  • Brokerage statement
  • Payout status
  • Marketing material download

The timestamp on a registered lead is what settles a brokerage argument, so the rule for who owns a lead is written into the system and agreed before go-live.

Brokerage

  • Brokerage slab by project
  • Partner-specific terms
  • Eligibility on booking or on registration
  • Invoice from partner
  • Deduction against cancellation
  • Approval workflow
  • Payout release
  • Partner ledger
  • Dispute record

Agreement and registration

  1. Booking
  2. Agreement drafted
  3. Buyer review
  4. Stamp duty
  5. Agreement executed
  6. Registration appointment
  7. Registered document
  8. Copy to buyer file

Documents per unit

  • Booking form and KYC
  • Cost sheet
  • Allotment letter
  • Agreement to sell
  • Sale deed
  • Receipts
  • Demand letters
  • Bank sanction and disbursement letters
  • Possession letter
  • Khata and tax documents

Storing a document is not the same as certifying it. The system keeps the file and the version; what is legally correct stays with your advocate.

Buyer portal

  • Unit and payment plan
  • Demands and due dates
  • Payment history and receipts
  • Outstanding balance
  • Construction progress updates
  • Documents
  • Raise a query
  • Snag reporting after possession
  • Online payment

  • Progress against plan

  • Advance adjustment
  • Bill approval
  • Payment release
  • Contractor ledger

Material at site

  • Indent from site
  • Purchase order
  • Supplier
  • Goods receipt at site
  • Cement, steel and sand consumption
  • Stock at each site
  • Issue to contractor
  • Wastage record
  • Delivery challan and e-way bill details

Project cost

  • Budget by head

  • Approval and statutory cost
  • Construction cost
  • Marketing and brokerage cost
  • Finance cost

  • Cancellation request
  • Refund calculation
  • Deductions as per agreement
  • Approval
  • Refund payment
  • Unit returned to inventory
  • Nomination and transfer
  • Transfer charges
  • Revised buyer record

  2. Final demand
  3. Dues cleared
  4. Snag inspection
  5. Snag closure
  6. Possession letter
  7. Keys handed over
  8. Khata and utility transfer

After handover

The part that decides whether the buyer recommends you to his brother.

  • Defect liability requests
  • Snag tickets and closure
  • Maintenance billing
  • Corpus and deposit records
  • Association handover documents
  • Common area assets
  • Vendor contacts
  • Resident communication

Roles and access

  • Management
  • Sales head
  • Sales executive
  • CRM executive
  • Site engineer
  • Project manager
  • Purchase team
  • Accounts team
  • Legal team
  • Channel partner
  • Buyer

Multiple projects

  • Project-wise inventory

  • Cost against budget

WhatsApp, SMS and email

  • Site visit reminder
  • Booking confirmation
  • Demand letter
  • Payment reminder
  • Receipt
  • Construction update
  • Document request
  • Possession intimation

A reminder that a demand is due can go out on its own. The demand letter itself still carries a signature, and the provider approves the reminder template before any of it moves.

Integrations

  • Property portals and lead sources
  • Your website enquiry forms
  • Payment gateways
  • Tally and accounting software
  • SMS and WhatsApp providers
  • Digital signature providers
  • Existing CRM data
  • Cloud document storage

Pulling leads out of a portal depends on the access that portal gives you under your own account. We build to what it permits.

Audit trail

In a sales office, the record of who changed what is worth as much as the record itself.

  • Unit status changes
  • Discount approvals
  • Price changes
  • Lead reassignment
  • Booking cancellation
  • Refund approval
  • Brokerage changes
  • Document uploads and deletions
The journey

One connected workflow, end to end.

Every stage below can sit in one system, so nobody re-enters what the last stage already captured.

  1. Enquiry
  2. Site visit
  3. Negotiation
  4. Unit hold
  5. Booking
  6. Allotment
  7. Payment plan
  8. Demands
  9. Collections
  10. Agreement and registration
  11. Construction updates
  12. Possession
  13. Handover and after-sales
Built in phases

You do not have to replace everything at once.

Each phase is usable on its own, so the system earns its place before the next part is built.

  1. 1

    Inventory and sales

Project structure, the unit chart, pricing, leads, site visits and bookings. The site office and the sales team work on this much alone.

  2. 2

    Money

Payment plans, milestone demands, receipts, the buyer ledger, home loan tracking and the buyer portal that stops the statement calls.

  3. 3

    Partners and documents

The channel partner portal, lead registration, brokerage, agreements, registration and the document set per unit.

  4. 4

    Site and handover

Construction progress, contractor bills, material at site, project cost, possession and the snag list after handover.

How we work

How a build actually runs.

  1. 01

    Understand

We sit with the site office, the CRM desk and accounts, and watch one booking travel through all three.

  2. 02

    Map

Projects, towers, unit types, payment plans, milestones, approvals and the handover points between teams.

  3. 03

    Design

The unit chart, the buyer record and the partner portal are drawn around your own numbering, not a template.

  4. 04

    Build

Inventory and leads come first, almost always. A sales team will not open a system that cannot show what is left to sell.

  5. 05

    Test

Your executives run live enquiries and one real booking through it before anything goes live.

  6. 06

    Deploy

The system goes live project by project, with the site office trained before the head office is.

  7. 07

    Improve

The partner portal, the buyer portal and the site modules are added as the project moves.

Common questions

Questions owners ask before starting.

What is custom real estate developer software?

A ready package expects every developer to configure it the same way. Your projects, unit numbering, payment plans and partner terms are what this is written around. It matters most where your payment plan or your brokerage rule is unusual.

Can two executives be stopped from blocking the same flat?

Yes. A unit can be held by one executive at a time, the hold carries an expiry, and the chart every executive sees is the same chart.

Can demand letters go out when a slab is cast?

Yes. The site engineer marks the milestone, and the demands for every unit on that plan can be raised together instead of one at a time.

Can channel partners register their own leads?

Yes, through a partner portal that records the time of registration. The ownership rule is agreed with you first, because that is what settles disputes later.

Can buyers see their payment status online?

Yes, through a buyer portal showing demands, receipts, outstanding amounts and construction updates, with online payment where you want it.

Can it handle plotted developments and villas?

Yes. Plots, villas and row houses are set up with their own numbering, areas and payment stages, which are not the same as an apartment tower’s.

Do you already have a product for this?

Yes, and it may be enough. Our Real Estate CRM covers enquiries, site visits, unit charts, bookings and demands. If that fits, adapting it costs less than building, and we will tell you when it does.

Will it work with Tally?

Usually yes. Receipts, demands and contractor bills can move across, so nobody is entering the same figure in two places.

Can it track RERA details?

It can hold your RERA registration numbers, project details, approved plans and the documents you publish. What you are required to file remains a matter for your legal and compliance advisers.

Can we run several projects on one system?

Yes. Each project keeps its own inventory, pricing, team and milestones, and management sees the group consolidated.

Can we start with only the sales part?

Yes, and most developers should. Inventory, leads, site visits and bookings first, then collections, then the site and handover modules.

Can it manage contractor bills and site material?

Yes. Work orders, BOQ rates, measurements, running account bills, retention and site material issue can be handled, though a site with no network will still need entries made later.

Your trade

How we work with this trade.

Already built

Software we already run for this work.

If one of these fits, it is cheaper and faster than building from scratch. We will say so.

Build a system that knows every unit in every tower.

A developer does not lose money on the units that sell. The money leaks on the hold nobody released, the demand nobody raised, the disbursement nobody followed and the brokerage nobody could prove.

Tell us how your projects, plans and partners actually work. Where our Real Estate CRM already fits we will say so, and the inventory grid is the one thing that cannot wait for the next launch.

Tell us how you work

Tell us how your real estate developers runs today.

We will tell you what can be digitised, what can be connected, what is worth automating, and what you should leave alone.
