Custom software · Solar companies

Build a solar system that follows the file, not only the installation.

The roof work is the fast part. Three men, a day, sometimes two.

Feasibility, net metering, the inspection and the subsidy claim take weeks, and the customer counts every one of those weeks from the day he paid the advance. He rings about the waiting, not about the panels.

So the software a solar company needs has to follow the file as closely as it follows the crew. That is the part a general sales CRM does not carry.

Who this is for

Solar businesses we can build for.

A residential rooftop installer and an industrial EPC contractor run different files, and the work you take decides which file the system keeps.

  • Rooftop solar installers
  • Residential solar companies
  • Commercial and industrial solar contractors
  • Solar EPC companies
  • Ground mount and solar park contractors
  • Solar dealers who also install what they sell
  • Solar brands with installation partners in other districts
  • Solar water heater companies
  • Solar pump installers
  • Street lighting contractors
  • Off-grid and hybrid system installers
  • Battery and storage integrators
  • Operation and maintenance companies
  • Panel cleaning service companies
  • Solar consultants and advisors
  • Multi-state solar businesses
What can be built

The modules, and what each one covers.

Nothing here is a fixed package. Each module is built, left out or changed to match how your organisation already works.

Enquiries

  • Homeowner enquiries
  • Apartment association enquiries
  • Factory and commercial enquiries
  • Website and campaign leads
  • Referrals from past customers
  • Electrician and builder referrals
  • Channel partner leads
  • Walk-ins
  • Follow-up date against each
  • Reason for going cold

The site survey

A form the surveyor fills standing on the roof, not a report he types that night.

  • Roof area and type
  • Shading from tanks, trees and neighbouring buildings
  • Roof condition and age
  • Sanctioned load and connection type
  • Existing meter details
  • Consumer number
  • Average monthly consumption
  • Cable route and inverter location
  • Earthing arrangement
  • Photographs from each corner
  • Access for material and ladders

Sizing and design

  • System size against consumption
  • Panel count and layout
  • Inverter selection
  • String arrangement
  • Structure type and height
  • Cable and protection devices
  • Expected generation
  • Roof loading
  • Design revisions
  • Drawing shared with the customer

Expected generation is an estimate from irradiation data and the design. Weather, shading and dust decide what actually comes, and the proposal should say so.

The proposal

  • System size and configuration
  • Panel and inverter make
  • Structure specification
  • Scope of work and exclusions
  • Warranty terms offered
  • Payment milestones
  • Subsidy the customer may claim
  • Net metering charges payable to the DISCOM
  • Validity of the offer
  • Version history of the quote

Enquiry to order

  1. Enquiry
  2. Site survey
  3. Design
  4. Proposal
  5. Negotiation
  6. Order
  7. Advance

Subsidy working

The customer decides on the number after subsidy, so it has to be right in the proposal.

  • Eligibility by category and system size
  • Portal registration status
  • Documents required
  • Bank details and consent
  • Claim submitted
  • Inspection stage
  • Amount sanctioned
  • Credited to the customer
  • Claims pending by age

Subsidy rules, rates and portals are set by government and they change. The system holds the stages and documents you are working with today, and the working is updated when the scheme changes.

Approvals with the DISCOM

  1. Application
  2. Feasibility
  3. Sanction
  4. Agreement
  5. Installation
  6. Inspection
  7. Meter replacement
  8. Commissioning

Where every file is stuck

The one screen an owner opens first. Sorted by how long each application has been sitting.

  • Applications by stage
  • Days at the current stage
  • Sub-division office handling it
  • Person following it up
  • Last action taken
  • Documents still to be submitted
  • Queries raised by the department
  • Fees paid
  • Files older than your own limit
  • Files cleared this week

No software moves a file through a government office. It tells you which one has stopped, so somebody goes and asks.

Documents per customer

  • Electricity bill copy
  • Identity and address proof
  • Property tax receipt or ownership proof
  • Consent from the association where needed
  • Signed agreement
  • Application acknowledgements
  • Test report
  • Inspection clearance
  • Net meter agreement
  • Subsidy claim papers

Material and procurement

  • Panels and inverters ordered
  • Distributor and purchase order
  • Expected delivery
  • Structure material
  • Cables, connectors and protection devices
  • Earthing material
  • Stock at the godown
  • Material issued to a site
  • Material returned from a site
  • Shortages holding up an installation

Serial numbers

A panel fails under warranty and nobody noted which serial went on which roof, so the claim starts with a ladder.

  • Panel serials scanned at dispatch
  • Panel serials scanned on the roof
  • Inverter serial
  • Battery serial where fitted
  • Meter number
  • Installed against the customer
  • Manufacturer and batch
  • Warranty start date
  • Claim history against a serial

The installation job card

  • Crew assigned
  • Scheduled date
  • Material issued against the site
  • Structure erection
  • Panel mounting
  • Inverter and cabling
  • Earthing and protection
  • Serial capture
  • Completion photographs
  • Customer sign-off
  • Balance work listed

Crews and scheduling

  • Crew and team leader
  • Installations planned for the week
  • Travel and site distance
  • Vehicle and tools issued
  • Days taken against estimate
  • Repeat visits and why
  • Subcontracted crews
  • Labour cost per site
  • Safety checklist

Commissioning and handover

  • Pre-commissioning checks
  • Inspection by the department
  • Meter change date
  • First export reading
  • System demonstration to the customer
  • Handover documents
  • Warranty certificates
  • Cleaning instructions
  • Service contact
  • Final payment

Payment milestones

  1. Advance
  2. Material delivery
  3. Installation
  4. Commissioning
  5. Subsidy adjustment
  6. Final settlement

Warranty register

  • Panel product warranty
  • Panel performance warranty
  • Inverter warranty and extension
  • Structure warranty
  • Workmanship warranty you offer
  • Warranty start and end dates
  • Claims raised with the manufacturer
  • Replacement received
  • Customer informed
  • Claims pending

A manufacturer decides a warranty claim on his own terms and his own timeline. The register keeps the serial, the date and the correspondence, which is what a claim needs.

Annual maintenance contracts

  • AMC offered at handover
  • Contract period and scope
  • Visits included
  • Cleaning frequency
  • Amount and payment
  • Renewal date
  • Renewal reminders
  • Customers without an AMC
  • AMC revenue by year
  • Visits due this month

Service calls

Generation dropped last week. The customer has already rung twice.

  • Complaint logged
  • Type of complaint
  • Generation drop
  • Inverter fault code
  • Wiring or earthing issue
  • Technician assigned
  • Visit report
  • Parts replaced
  • Chargeable or under warranty
  • Repeat complaints on one site

Cleaning visits

Panels need cleaning before summer, and that visit is the reason a customer remembers your name in year three.

  • Cleaning schedule per site
  • Route planning for the day
  • Technician assignment
  • Before and after photographs
  • Water source at the site
  • Visit confirmation by the customer
  • Missed visits
  • Cleaning included in AMC or charged

Generation monitoring

Where the inverter supports it, generation can be shown against the site instead of on a separate app the customer forgot the password for.

This depends on the inverter manufacturer opening its data, and each brand is different. Some allow it, some allow it for a fee, and some not at all. It is checked per brand.

The customer portal

  • Order status
  • Application stage with the DISCOM
  • Subsidy status
  • Installation date
  • Documents and drawings
  • Payment schedule and receipts
  • Warranty details
  • Raise a service request
  • Cleaning visit history
  • Generation where available

Channel partners and referrals

  • Partner or electrician record
  • Leads referred
  • Conversion
  • Commission agreed
  • Amount due and paid
  • Partner statement
  • Territory
  • Training given
  • Performance

Larger projects

A factory rooftop or a ground mount site is a project, not a job card.

  • Project plan and milestones
  • Civil and structure contractor
  • Material schedule
  • Site progress with photographs
  • Manpower at site
  • Running account bills
  • Retention amounts
  • Client inspection stages
  • Commissioning documents
  • Project cost against estimate

What a job actually cost

  • Panels and inverter
  • Structure and fabrication
  • Cables and electricals
  • Labour and crew days
  • Transport
  • Department fees paid
  • Repeat visits
  • Service in the warranty period
  • Estimated against actual
  • Profit by job type

The visits after handover are what turn a profitable job into a loss. They only show up in the costing if the service calls are logged against the site.

Money owed to you

  • Advance received
  • Milestone due but not raised
  • Invoices raised
  • Payments received
  • Balance held until subsidy credit
  • Customers holding payment over a pending file
  • Ageing
  • Follow-up list

What the owner opens

  • Enquiries this month
  • Surveys done
  • Proposals sent
  • Orders confirmed
  • Capacity booked
  • Installations completed
  • Files pending with the DISCOM
  • Subsidy claims pending
  • Service calls open
  • AMC renewals due
  • Outstanding payments
  • Job-wise profit

Who sees what

  • Owner
  • Sales executive
  • Surveyor
  • Design engineer
  • Liaison person
  • Store keeper
  • Installation crew
  • Service technician
  • Accounts
  • Channel partner
  • Customer

What it connects to

  • Website and campaign lead forms
  • WhatsApp and SMS updates
  • Payment gateways
  • Tally and accounting software
  • Inverter monitoring platforms where the brand permits
  • Barcode scanning for serials
  • Document storage
  • Distributor order systems

Government portals are not open to outside software. Application numbers and stages are entered by your own team, and the system tracks them from there.

The journey

One connected workflow, end to end.

Every stage below can sit in one system, so nobody re-enters what the last stage already captured.

  1. Enquiry
  2. Survey
  3. Design
  4. Proposal
  5. Order
  6. Approvals
  7. Material
  8. Installation
  9. Inspection
  10. Net meter
  11. Subsidy
  12. Commissioning
  13. Service
Built in phases

You do not have to replace everything at once.

Each phase is usable on its own, so the system earns its place before the next part is built.

  1. 1

    Enquiry to order

Leads, the survey form on a phone, sizing, proposals and the order. The sales desk stops rebuilding quotes in Excel.

  2. 2

    The file

Applications, feasibility, net metering, inspections and subsidy claims, each with its stage, its days and its documents.

  3. 3

    Installation

Material issue, crew scheduling, the job card, panel and inverter serials, commissioning and the handover pack.

  4. 4

    After handover

Warranty register, AMC contracts, service calls, cleaning visits and the reports that show what a job really earned.

How we work

How a build actually runs.

  1. 01

    Follow a customer

We take one recent installation and walk it end to end, including the weeks when nothing seemed to move.

  2. 02

    Map

Enquiry sources, survey fields, design steps, department stages, crews, material and every document that gets uploaded.

  3. 03

    Design

A survey form for a man on a roof, a tracker for the liaison person, and a job card for the crew.

  4. 04

    Build

Enquiries, surveys and the approval tracker first, because the pending files are what the customers are ringing about.

  5. 05

    Test

Your surveyor and crew run live sites through it while the old sheets stay open beside it.

  6. 06

    Deploy

Go-live with the office and one crew, then the rest, with serial scanning introduced last.

  7. 07

    Extend

The customer portal, AMC renewals, partner accounts and monitoring, once the daily work is steady.

Common questions

Questions owners ask before starting.

What does custom solar software cover?

Enquiries, site surveys, sizing, proposals, department applications, subsidy files, material, installation, serials, commissioning, warranty and AMC. Built around the states and schemes you actually work in.

Can it track net metering applications?

Yes, stage by stage, with the days at each stage, the office handling it and the documents still pending. That list is usually the first screen an owner opens.

Can it apply for subsidy on the portal for us?

No. Government portals are not open to outside software, so your team applies as it does now. The system tracks the stage, the documents and the money.

Can surveyors fill the survey on a phone?

Yes, with photographs from the roof attached to the record. Where there is no signal, the form can be completed and sent once the phone is back in range.

Can we record panel serial numbers?

Yes, scanned at dispatch and again on the roof, against the customer and the warranty start date. It turns a warranty claim into a lookup instead of a site visit.

Can we see generation from the inverters?

Sometimes. It depends on the inverter brand opening its monitoring data, and the terms differ by manufacturer. We check each brand you fit before it goes in a plan.

Can AMC renewals be reminded automatically?

Yes. Contracts carry their renewal date, and reminders can go out to the customer and to your own team well before the date.

Can we tell whether a job made money?

Yes, as far as costs are entered against the site. Material, crew days, transport, fees and post-handover visits all land on the job.

Do we need a separate app for the crew?

Usually a phone screen is enough, and it is built for gloves and sunlight. The job card, serial scanning and completion photographs are the only things a crew needs.

Can channel partners see their own leads?

Yes. Each partner sees the leads he referred, what happened to them and what is due to him, and nothing belonging to another partner.

What will the software not fix?

It will not move a file at the sub-division office, change a subsidy rule, or stop a customer ringing. It shows you the delay early enough to answer him honestly.

Your trade

How we work with this trade.

Build a solar system that answers the customer who is waiting.

A solar business is judged on the weeks after the advance, not on the day the panels went up.

Count the customers who have paid an advance and are waiting on an approval nobody can put a date on. That list is the first screen to build, because it is also the list that makes your phone ring.
