Custom software · Wedding and venue businesses

Build a booking system around your dates, your packages and your vendors.

A wedding is several events wearing one name. Mehendi, sangeet, muhurtham, reception, each with its own timing, its own vendors and its own head count. Two families decide, and they do not always decide the same thing.

For a venue the problem looks different. One date, two provisional holds, a phone call on a Sunday, and by Monday nobody is sure which family is actually booked.

Wedding and venue systems from GullySystem hold both sides of that: the calendar and the package on one hand, the budget, vendors and run sheet on the other.

Who this is for

Wedding and venue businesses we can build for.

Some of you let a hall by the day. Others run a four-day destination wedding from the first call to the final settlement. Those are not the same problem. If your work is corporate conferences and exhibitions rather than weddings, the event companies page covers that trade.

  • Wedding planners
  • Kalyana mantapas and wedding halls
  • Convention centres
  • Banquet halls
  • Hotel banquet teams
  • Resorts and destination wedding venues
  • Farmhouse and lawn venues
  • Community and association halls
  • Temple wedding halls
  • Caterers and catering contractors
  • Decorators and floral designers
  • Mandap and pandal contractors
  • Photography and videography studios
  • Sound, light and production companies
  • Wedding makeup and styling teams
  • Return gift and invitation suppliers
  • Party and birthday venues
  • Corporate event venues
  • Multi-venue hospitality groups
What can be built

The modules, and what each one covers.

Nothing here is a fixed package. Each module is built, left out or changed to match how your organisation already works.

Enquiries and the date question

Every call starts the same way. Is that date free.

  • Enquiry source and date
  • Family and contact person
  • Event type and functions
  • Dates being considered
  • Expected head count
  • Budget range discussed
  • Venue or service required
  • Site visit scheduled
  • Follow-up dates
  • Converted, pending and lost with reason

Venue and hall records

  • Halls, lawns and banquet spaces
  • Seating and dining capacity
  • Air-conditioned and open areas
  • Kitchen and service areas
  • Rooms and cottages attached
  • Parking capacity
  • Generator and power backup
  • Inclusions with the hall
  • Items charged separately
  • House rules and timings
  • Photographs for the enquiry reply

The booking calendar

The one screen that decides whether the date is sold, held or free.

  • Date and slot availability
  • Morning, evening and full-day slots
  • Provisional hold with an expiry
  • Confirmed booking
  • Multiple halls on the same date
  • Muhurtham dates in demand
  • Blocked dates for maintenance
  • Date shift requests
  • Cancellation with release of the date
  • Waiting list against a held date

Double booking stops only when every provisional hold goes into the calendar. A promise made on a phone call and not entered is still a promise nobody else can see.

Packages and rate cards

  • Hall rent by slot and season
  • Per-plate catering rates by menu
  • Décor packages
  • Room and accommodation rates
  • Add-on services
  • Festival and peak date pricing
  • Weekday and weekend rates
  • Package inclusions and exclusions
  • Minimum guarantee head count
  • Service charges and taxes
  • Rate validity

Quotations by head count

  1. Requirement
  2. Head count estimate
  3. Menu and décor selected
  4. Quotation
  5. Revisions
  6. Acceptance
  • Function-wise quotation
  • Per-plate working
  • Hall, décor and add-ons
  • Optional items priced separately
  • Version history of every revision
  • Quotation sent on WhatsApp or email
  • Validity and expiry

The head count changes right up to the last week. Every revision stays on record, so the settlement argues from a document instead of a memory.

Booking, advance and agreement

  • Booking confirmation
  • Advance received and receipt
  • Payment schedule with due dates
  • Agreement and terms on file
  • Cancellation and refund terms
  • Date shift terms

The vendor network

  • Vendor master by category
  • Rates and standard terms
  • Availability on a date
  • Past work and ratings
  • Documents and licences on file
  • Contact persons
  • Preferred and empanelled vendors
  • Vendor-wise business given
  • Payment history

Whether a vendor is free on a date is their answer, not the system’s. The calendar records what they confirmed and when.

Vendor bookings and payments

Some advances were paid by the family, some by you, and the settlement then takes three days and two arguments.

  • Vendor booked per function
  • Agreed amount and scope
  • Advance paid
  • Who paid it, you or the family
  • Balance due on the day
  • Payment mode and proof
  • Vendor invoice
  • Final settlement
  • Outstanding to vendors after the event

Guest list and RSVP

  • Guests by side of the family

The family portal

  • Vendor list
  • Payments made and due
  • Guest list and rooms
  • Documents and reference images

  • Additional work authorised
  • Who approved and through which channel
  • Approval history per function

Cancellations and date shifts

  • Cancellation request
  • Reason recorded
  • Refund as per terms
  • Date released to the calendar
  • Advance adjusted to a new date
  • Vendor cancellations
  • Vendor advances lost or recovered
  • Revised settlement

What you refund on a cancellation is your commercial policy. The system applies the terms you set, it does not decide them.

Settlement after the event

The family asks for an account of every rupee, including the one the uncle paid directly.

  • Final head count against the guarantee
  • Extra plates and extra services
  • Vendor bills received
  • Payments made by you and by the family
  • Damage recovered from the deposit
  • Final invoice

  • Photographs for your own record
  • Permission to use images
  • Referrals received from a family
  • Reviews requested
  • Repeat business from the same family

What the owner opens on a Monday

  • Dates booked and dates open
  • Provisional holds expiring
  • Enquiries not followed up
  • Advances due this week
  • Events this month
  • Head count confirmations pending
  • Vendor payments outstanding
  • Revenue by hall and by season
  • Cost against revenue per event
  • Peak date occupancy

Who logs in, and what they see

  • Owner
  • Booking manager
  • Event coordinator
  • Operations team
  • Kitchen and catering manager
  • Store keeper
  • Accounts team
  • Housekeeping supervisor
  • Vendor
  • Family contact

Messages and reminders

  • Enquiry reply with availability
  • Quotation sent
  • Advance due reminder
  • Booking confirmation
  • Vendor reporting time
  • Head count confirmation request
  • Run sheet to the crew
  • Thank you after the event

A quotation for a three-day function will not fit inside an approved message template. What goes out is a short line and a link, and the family opens the package on a page.

  • Accounting software
  • WhatsApp and SMS providers
  • Your website enquiry form
  • Wedding listing portals
  • Digital invitation tools
  • Hotel property systems

Where a ready product may fit better

Our event management software already handles bookings, head counts, vendor advances and the day schedule.

For a single hall or a small planning team, buying that is quicker than building. A build earns its place when you run several venues, unusual package rules or your own vendor network.

The journey

One connected workflow, end to end.

Every stage below can sit in one system, so nobody re-enters what the last stage already captured.

  1. Enquiry
  2. Date availability check
  3. Site visit
  4. Quotation
  5. Provisional hold
  6. Advance and booking
  7. Function planning
  8. Vendor bookings
  9. Final head count
  10. Event days
  11. Settlement
  12. Feedback and referral
Built in phases

You do not have to replace everything at once.

Each phase is usable on its own, so the system earns its place before the next part is built.

  1. 1

    Calendar and bookings

Enquiries, date availability, holds, quotations and advances. A venue stops double booking in the first month, which is usually the whole business case.

  2. 2

    Planning the event

Functions, menus, décor, vendors, budgets and the approvals that decide who agreed to what.

  3. 3

    Guests and the days themselves

Guest lists, rooms, pick-ups, run sheets, crew duties and rental stock going out and coming back.

  4. 4

    Settlement and reporting

Final head counts, vendor bills, the family statement, event profitability and the dashboards that show which dates make money.

How we work

How a build actually runs.

  1. 01

    Understand

We take one finished wedding end to end, budget sheet and final settlement, and find where the two sides stopped agreeing.

  2. 02

    Map

Halls, slots, packages, menus, vendor terms, payment schedules and every point where a date is promised to somebody.

  3. 03

    Design

The availability screen comes first. If a booking manager cannot answer the date question in five seconds, nothing else matters.

  4. 04

    Build

Calendar, enquiries, quotations and advances first, then planning and vendors once bookings are running through the system.

  5. 05

    Test

A live season is run in parallel, including two events with date shifts, because that is where booking systems usually break.

  6. 06

    Deploy

Go-live is planned for a lean month, with existing bookings and advances loaded before anybody relies on the calendar.

  7. 07

    Improve

The family portal, settlement reporting and vendor analysis once a full season has gone through it.

Common questions

Questions owners ask before starting.

What does custom venue management software cover?

Date availability, provisional holds, packages, quotations, advances, functions, vendors, guests and the final settlement. All of it hangs off one booking rather than four registers.

Can it stop double bookings?

It can, as long as every hold is entered. A date promised on a phone call and never recorded stays invisible, and no software fixes that.

Can we quote by head count and per plate?

Yes. Menus, per-plate rates, hall rent and add-ons build the quotation, and every revision is kept so the settlement has a document to work from.

Can both families see the same plan?

Yes, through a portal showing functions, current budget, menus, vendors and payments. Most of the arguing at settlement comes from two sides seeing different numbers.

Can vendor advances be tracked properly?

Yes, including who actually paid each one. That single field settles the three-day argument most planners have after every large wedding.

Can the team work from run sheets on their phones?

Yes. Timings, vendor reporting times and the person responsible for each item, updated when the priest moves the muhurtham.

Can it handle several halls or venues?

Yes. Each venue keeps its own calendar, rates and inventory, while the group sees occupancy and revenue across all of them.

Can guests confirm attendance online?

Yes, through an RSVP link tied to the guest list, which then feeds room allotment and pick-up planning.

Can it work out what an event actually made?

Yes, once vendor bills, kitchen indents and crew payments are recorded against the event. Raw material and staff cost are usually where the surprise sits.

Would a ready product be enough for us?

Possibly. Our event management software covers bookings, head counts, vendor advances and day schedules, and for one hall it is the faster route.

Can we start with just the calendar?

Yes, and many venues should. Enquiries, availability, quotations and advances are enough to be useful before anything else is built.

Your trade

How we work with this trade.

Already built

Software we already run for this work.

If one of these fits, it is cheaper and faster than building from scratch. We will say so.

Build a system that knows which dates are actually sold.

A wedding business loses money in two places. A date held for somebody who never confirmed, and a settlement where nobody can prove what was agreed.

Bring us one booking file, from the enquiry to the final settlement. Look first at the dates you are holding for people who never confirmed. That is where this trade loses money, long before anybody argues about the settlement.

Tell us how you work

Tell us how your wedding and venue businesses runs today.

We will tell you what can be digitised, what can be connected, what is worth automating, and what you should leave alone.
