Software Solutions for Coin Dealers and Numismatic Sellers
Coins range from bullion sold close to the metal price to rare pieces sold on grade and scarcity. A dealer needs mint, year, denomination, metal, weight and condition on every record, plus slab or certificate numbers where they exist. This page covers how coin dealers sell online.
Record each coin by mint, year and grade, and price bullion apart from rare pieces.
A rupee coin and a gold sovereign are both coins, but the first is priced by scarcity and the second partly by metal. The listing has to know which logic applies.
Dealers in collector coins
A dealer sells graded and ungraded pieces by date, mint and condition to a base of collectors.
Bullion and coin sellers
A seller handles bullion coins and bars alongside a smaller range of collector items.
The workflow for coins.
- 1
Identify and attribute
A coin is identified by country, denomination, year and mint mark, and compared with a reference.
- 2
Weigh and grade
Weight and diameter are measured and a grade is given. A slab number is entered when the coin is encapsulated.
- 3
Price by type
A bullion piece takes a price tied to the metal rate plus a premium. A collector piece takes a fixed price set by the dealer.
- 4
Reserve and pay
The coin is held for one buyer. Payment is by transfer for larger amounts.
- 5
Pack and insure
The coin goes in a holder, in a padded box, with a declared value and a photograph taken before sealing.
The challenges, and what they cost.
What is specific to this trade.
These are requirements we would confirm in discovery. They describe what the solution may need to handle. They are not features that already exist.
- Mint, year, variety and weight held as fields
- A rate-linked price option for bullion with its own premium rule
- Certificate or slab numbers shown beside the coin
What we would build for coins.
Chosen from the commerce capabilities this business needs, not a list of everything.
Who works in the system, and what each can do.
What it would connect to.
An integration is confirmed only after its API, access and scope are checked. A connection that updates on a schedule is described as scheduled, not real-time.
- A metal rate source for bullion pricing, scoped after its terms are read
- Payment capture through the gateway you select, with settlement timing confirmed by the provider
- Courier booking and tracking for parcels of this kind, once the volumes you expect are discussed with the carrier
How the work runs, and what we need from you.
What you provide
- A sample of coins from each type you sell
- How you price bullion and collector coins today
- Your usual packing and insurance method
Separate the two price modes
We settle how bullion and collector coins are priced before listing begins.
List a small series
A short run of coins is catalogued with photographs and checked against the shelf.
What you receive.
- Coin record fields and listing template
- Two price modes for bullion and collector pieces
- Photograph standard for both faces and edges

How progress is judged.
Measures are agreed against your own baseline. We do not promise a result in advance.
- Coins listed with a wrong mint mark or year
- Bullion orders priced from an old rate
Selling at home and abroad.
Some coins are protected as national heritage, and bullion trade may carry reporting duties in some places. Those rules vary by item and country, and an adviser confirms them before you sell abroad.

Collectibles E-commerce & Item Register Software
Custom software solution
No GullySystem product records grade, provenance and one-off items for collectors. The software would be written around your stock, and an existing shop system can keep running beside it.
The category solution already holds item records, grades, certificates and insured dispatch, and a second price mode is a setting within it.

Can the site follow the metal price for bullion?
It can apply a rate you enter or a feed whose source and terms have been checked. How often it changes is set by that source, not promised in advance.
Can it confirm a coin is genuine?
No. It records what your expert or a grading service states. Authentication is not something the system does.
Can I list a coin and a lot of coins together?
Yes. A lot is a listing with its own photographs and contents list, separate from the single coins it contains.
