Collectibles E-commerce & Item Register Software

This solution holds each collectible as a register entry with grade, provenance, photographs and certificate, and sells it through a storefront or by offer. It suits dealers, auction rooms and hobby retailers. It is written for the business and linked to any shop stock system it already has.

Product status

Custom software solution, built to your requirements

No GullySystem product records grade, provenance and one-off items for collectors. The software would be written around your stock, and an existing shop system can keep running beside it.

There is no published price, free trial or live demo for this solution. Scope and cost are settled in a written proposal after discovery.

Purpose and users

The item is the unit of the business, so the register comes first and the store reads from it. A change to a grade or a price appears in one place and everywhere else follows.

It records what experts and graders state. It does not judge condition, value a piece or confirm that it is genuine.

Modules

What is in the system.

Item register

Each collectible with category, grade, year, variety, source and photographs.

Storefront

A public catalogue with filters on grade, year and variety, and an option for private trade views.

Offers

Offer, counter and acceptance, with the thread kept on the item.

Holds

A timed hold for one buyer, released if payment does not arrive.

Dispatch record

Declared value, packing photographs and tracking for each parcel.

Workflows

How the work runs through it.

Acquire to list

A collection is received, sorted, graded and entered, and the chosen items are published.

Offer to sale

An offer arrives, a person replies, and an agreed price becomes an order with a hold.

Sale to dispatch

The paid item is packed, photographed, insured and sent, and the record notes who received it.

Catalogue and product data

What each product record holds.

Grades

A scale suited to each kind of item, entered as a field.

Photographs

Front, back and close-ups of flaws kept with the item and shown on its page.

Provenance

Source, previous owners where known, and any certificate, attached to the record.

Pricing and order rules

How prices and orders are set.

Fixed or open to offers

Each item carries a price or an offer setting.

Price review

Items not reviewed for a chosen period are listed for a person to check.

Trade prices

Known dealers can see rates agreed with them.

Stock and fulfilment

From stock to the doorstep.

One-off and repeated stock

A one-off item has a quantity of one. Repeated stock is counted by variety and condition.

Channel sync

Where a shop or marketplace is connected, a sold item is withdrawn from the other side as soon as the link next runs.

Insured parcels

Declared value and packing photographs are kept for each parcel.

Payments, returns and refunds

Taking money and giving it back.

Large payments

Bank transfer and gateway payments for large sums, with part payments noted on the order.

Returns

A return window follows your terms, and the item is checked against its photographs before it is relisted.

Disputes

A dispute opens against the original record, so claims are compared with what was listed.

Admin controls and reporting

What the team can see and change.

Roles

Cataloguers, dealers and dispatch see only the screens their job calls for.

Approvals

Price changes and large offers wait for the dealer or owner before they take effect.

Reports

Stock by category and grade, offers by outcome and items awaiting a price review.

Integrations

What it connects to, and on what terms.

Shop stock

Linked to an existing shop or auction-room system where it exports data or offers an API.

Payment gateway

Added after its limits on large payments are read.

Carrier

A carrier able to insure and track high-value parcels is selected and its booking link scoped.

Deployment

How it is set up and run.

Where it runs

Hosted on servers we look after, or inside a cloud account you own.

First release

A first release holds the register and storefront. Offers and holds follow once the register matches the stock.

Customisation boundaries

What can change, and where the edge is.

What follows your trade

Grade scales, listing fields and offer rules are set for each kind of item you sell.

What it leaves to experts

Grading, authentication and valuation stay with people. The system keeps their words.

Migration and training

Moving over and getting people ready.

Loading the stock

Spreadsheets, card files and old listings are imported and checked against what is on the shelves.

Learning the system

Cataloguers and dispatch staff practise on items from your own stock.

Support scope

What support covers.

Included support

Repairs, small adjustments and help when your staff are stuck. The agreement sets the hours.

Priced separately

New channels, new item types and larger changes are estimated one by one.

Subcategory coverage

Where each collectibles subcategory is covered.

Each subcategory is either covered by this solution or has a page of its own where its software requirements differ.

  • Coins

    Covered on this page

The category solution already holds item records, grades, certificates and insured dispatch, and a second price mode is a setting within it.

  • Stamps

    Covered on this page

The category solution covers item records, condition fields and holds, and approval selections are a variant of its hold flow.

  • Trading Cards

    Its own solution page

Counting by set, printing and condition, buylists and want lists form a singles-inventory system that the one-off item register cannot provide.

  • Memorabilia

    Covered on this page

The category solution already holds provenance, certificates, offers and insured dispatch, and framing is an option on an item.

  • Figurines

    Covered on this page

The category solution covers holds, one-off and repeated stock and fragile dispatch, and a queue with a per-buyer limit is a setting of it.

  • Model Kits

    Covered on this page

The category solution already covers catalogue fields, supply matching and claims, so a kit seller needs no separate system.

Existing products

What already exists.

No existing GullySystem product covers this requirement on its own. It would be built, as described above.

Common questions

Questions about this solution.

Is there a boxed version of this software?

No. The work is shaped around your trade, because nothing in the GullySystem range records collectors’ items today.

Is there a rate card or a trial?

No. Nothing is published: no rate card, no trial, no live walkthrough. A quotation follows discovery and states scope and cost.

Will it tell me what an item is worth?

No. Valuation is your judgement. The system holds the price you set and flags when it is due for review.
