At the enrolment desk
A new subscriber walks in with a photocopy folder. Your clerk scans or photographs each paper and attaches it to the member record while the person is still sitting there.
Four kinds of paper

Pending, verified or rejected. A rejected document carries the reason, so the member is told what to bring back instead of being sent away twice.
The checker is named
Who verified it and when is kept with the document. Months later, when somebody asks how a file cleared, there is an answer.

Verify once. The same papers hold good when that member takes a ticket in your next group.
Why this matters before a prize goes out
The day a subscriber wins, your office is in a hurry. That is exactly when an unverified PAN or a blurred address proof is waved through. Having the KYC state on the member record, visible to the person releasing the payout, is a small thing that saves an argument later.
What the software does not claim to do
It stores what you collected and records what your officer decided. It does not check a number against any government database, and it does not tell you a document is forged. Verification is a judgement your staff make, and the software only insists that somebody makes it and signs their name to it.
Frequently asked questions
Can a subscriber upload their own documents?
They can see their KYC status on the member portal. The uploading and the checking are done by your office, which is usually how it works at the counter anyway.
Does verified KYC stop a payout being released?
The block on a payout is the security check, not the KYC one. KYC state sits beside it on the member record, where the person releasing the money can see it.
Does this make us compliant?
No software can do that. It keeps the documents, the decisions and the names against them. What the law asks of your company is for your auditor and lawyer to say.
