Yarn and Knitting E-commerce & Lot Management Software

This solution holds yarn stock by colourway and dye lot, allocates one lot to each order and tells buyers how many skeins a project needs. It also handles needle sizes and pattern pairing, and it is built around the platform that discovery recommends.

Product status

Configured implementation on a commerce platform chosen in discovery

Dye-lot allocation and yardage guidance are added to whichever store platform discovery recommends, chosen for its flexible inventory. Nothing in the present GullySystem range tracks yarn by lot.

There is no published price, free trial or live demo for this solution. Scope and cost are settled in a written proposal after discovery.

Purpose and users

The aim is that a jumper knitted from five skeins never shows a colour change. Stock is held by lot, and an order draws from one lot where it can.

It does not dye yarn, design patterns or promise a colour match between lots. It records what was received and allocates it carefully.

Modules

What is in the system.

Lot-aware stock

Quantity per colourway and dye lot, received and sold.

Lot allocation

An order is filled from one lot, and a warning shows when it cannot be.

Yardage guidance

A project’s size and yardage lead to a suggested skein count.

Needle and pattern pairing

Needle sizes and patterns linked to the yarn weight.

Reservation

A lot is held for a buyer who is still deciding.

Workflows

How the work runs through it.

Order to lot

A buyer adds skeins, the basket checks one lot can cover them, and the packer receives a lot-labelled pick list.

Shortfall

If no single lot covers the order, the buyer is offered the largest lot plus a note, or a waitlist.

Catalogue and product data

What each product record holds.

Yarn records

Fibre, weight, yardage per skein, colourway and dye lot.

Needles and notions

Sizes in metric and imperial, with the yarn weights they suit.

Patterns

Linked to the yarn weights and yardages they need.

Pricing and order rules

How prices and orders are set.

Price per skein

With discounts for whole-lot purchases if you offer them.

Waitlists

A buyer can wait for more of a lot to arrive.

Bulk orders

Shops and groups can order many skeins from one lot.

Stock and fulfilment

From stock to the doorstep.

Stock by lot

A lot is counted until it is used up.

Partial fills

Remaining skeins of a lot are held back from mixed orders, so the last few are not scattered across baskets that cannot use them.

Dispatch

Each parcel carries the lot reference.

Payments, returns and refunds

Taking money and giving it back.

Returns

Unwound skeins can be returned under your policy. Wound yarn follows your own rule.

Refunds

Raised against the payment, with the lot noted for stock.

Admin controls and reporting

What the team can see and change.

Roles

Counter, desk and owner each work from their own view.

Reports

Lots running low, waitlists by colourway and orders split across lots.

Integrations

What it connects to, and on what terms.

Payment gateway

Buyers pay online, and group orders may be invoiced.

Carriers

Yarn parcels are light and ship at courier rate cards loaded once.

Supplier files

Delivery notes from yarn suppliers are keyed in or imported to create lots.

Deployment

How it is set up and run.

Infrastructure

Chosen with your team for traffic expected in busy weeks, and reviewed after the first peak.

Phasing

Core ordering first, then the reports and the links to other systems.

Customisation boundaries

What can change, and where the edge is.

Adjustable

Fields, stages, labels, approval limits and who sees what.

Not adjustable alone

Changes to how a platform itself works depend on that platform and are checked before they are promised.

Migration and training

Moving over and getting people ready.

Transfer of history

Past orders and customers are brought across to the extent your old system can export them.

Refreshers

A second round of training follows a few weeks after launch, when real questions have appeared.

Support scope

What support covers.

Service levels

Hours, channels and expected response times are stated in the contract and revisited each year.

Growth work

New ranges or markets are treated as projects, not as routine support.

Common questions

Questions about this solution.

Will two lots match exactly?

No. Lots can differ slightly, which is why the system keeps an order within one lot. It cannot make two lots identical.

Can it work out how many skeins a pattern needs?

It can suggest a count from the yardage and the pattern’s stated need. The knitter’s own tension and size still decide, and the page says so.

Is a finished yarn product already available?

No. A store is assembled for each seller, and the lot rules are added to it.
