Four Hundred Became Five Forty

It is Tuesday, the function is on Saturday, and the bride’s uncle has added a hundred and forty guests. Plates, chairs, welcome drinks and return gifts all move, and each is being worked out on a phone call.

The count sits on the quotation

Guest count is not a note at the top of the page. It is the figure the plates, the seating, the staff and the totals are worked out from. Change it and the quotation is rebuilt at the new number, item by item, on your own rate card.

What each version carries

Plates, decor, lights, mandap, sound, staff and transport, priced from your packages rather than from what somebody remembers charging in June.

The count it was built at

One version knows it was four hundred and eighty. The next one knows it was five hundred and forty.

What was sent, and when

Every version sent is kept. When the client says he was quoted less, you can show him which version and the date it reached him.

The one he accepted

Marked, and the event is created from it. That accepted figure is what the settlement gets read against afterwards.

Before the quotation goes out

Most of the work happens before anybody types a number.

Frequently asked questions

Does it quote per plate as well as per item?

Yes. Catering usually sits per plate, decor per item and staff per day, and one quotation carries all three. The per-plate line is the one that moves hardest when the head count changes.

Can we still drop a figure by hand?

Yes. The quotation builds at your rates and you change whatever you want to change. A planner who cannot cut a number for a repeat family is a planner who loses the family.

Does it decide the price for us?

No. It applies your rate card at the count discussed and keeps the arithmetic honest. What a December Saturday is worth stays your judgement, and it should.
