Begin with the enquiry and the survey sheet
A solar job starts as an enquiry from a call, a referral or a website form. Record each one, assign a surveyor and keep the result on a single survey sheet.
The sheet holds roof details, shadow notes, sanctioned load and photos. Those fields feed the proposal later, so the office does not ask the surveyor to repeat them. Enquiries that have not progressed stay visible to the sales team.
Set this up first. It costs the least to change and every later step depends on it.
Build proposals from the survey and a price list
A proposal starts from the survey. The office sizes the plant, picks panels, an inverter and a structure from the price list, and issues a priced quotation.
Several options can sit on one enquiry. Each revision is kept, and the one the customer accepts travels with the job into billing and material planning.

Issue material and close installation stages from site
Stock holds panels, inverters, structures, cables and protection items. When material is issued to a job, the panel and inverter serial numbers are logged against that customer. A warranty claim later starts from the customer’s record, not from a search through invoices.
Each accepted job is split into stages, such as structure, panel mounting, wiring and earthing. Crews close a stage on a phone and attach photos. The office sees progress without a call.

Track DISCOM files, billing and commissioning
Net-metering and subsidy applications are files with their own steps. The system lists the documents sent, the inspection and the meter change, and shows which files wait and on whom.
It does not file anything. Filing happens with the DISCOM, and the steps differ by DISCOM and scheme.
Invoices follow the stages you agreed with the customer: advance, material and handover, with GST. Payments by cash, bank transfer or UPI are posted to the job. Commissioning records readings, inverter settings and a handover checklist.
Decide what you need before buying anything
A one-person installer with a handful of jobs a year can manage with a notebook and a spreadsheet. Software starts to pay its way when surveys, crews, paperwork and service sit with different people.
Ground-mounted plants with project scheduling are closer to construction project software. An electrical contractor with no solar work needs a different product.
