Start with the enquiry and the inspection
A waterproofing job begins as a call about a leaking terrace, a damp bathroom wall or a seeping basement. Calls arrive from homeowners, builders and referrers, often through different channels. Keep them in one list.
Each enquiry carries the address, the type of leak, the source and the supervisor assigned for the visit. The inspection comes next. The supervisor records measurements, surface condition, cracks, damp patches and photographs for each area.
Nothing should be quoted until the inspection is on file. The quotation then reads from measured figures instead of a verbal estimate.
Quote by area and treatment system
Terrace, bathroom, basement and tank work are priced differently. The estimator opens the inspection note, picks the treatment system for each area and prices it from the measured square feet.
Set up your rate list before you start. Decide how parapets and skirting are measured and what counts as an extra. The quotation also carries the proposed warranty terms, so the client reads them before work begins. Extras and minimum charges are decided with you and entered the way you work.

Record each stage, crew and material
Waterproofing is done in layers over several days. Surface preparation, primer, coats, mesh and protection screed are each logged when finished, with the date and the crew.
Material is issued from the godown to the site against the job. The system compares what was issued with what the quotation allowed, so overuse shows up while the job is still open.
The schedule lists supervisors, applicators and helpers by day. Jobs waiting for a free crew are visible to the owner.
Test, hand over and open the warranty
Once the layers have cured, water is held on the treated area and watched. The start time, end time and result of the ponding test go on the record, with the client’s signature at handover.
Handover opens the warranty register for that area. It stores the system used, the handover date and the terms given. Reminders appear before the end date.
Stage bills follow the same job. Advance, running and final bills are raised against stages, and retention held by builders is listed on its own until released.
When a notebook still does the job
A single applicator who takes a few jobs a month, is paid in cash and gives no written warranty can manage with a notebook and WhatsApp.
The software earns its place when several crews work at once, quotations wait for replies and warranties run for years. Callbacks also need a link to the original treatment.
