How Do Signage Companies Track Quotations, Fabrication Stages and Installation?

What a signage quotation is built from

A quotation starts with the survey record. It carries the board size, the mounting surface, the height and the photos. The estimator does not ask the surveyor to repeat a figure.

Rates are held per square foot for each material and finish, such as flex, vinyl, ACP, acrylic or letters. The quotation multiplies the measured size by the rate. Lighting, installation and transport are separate lines.

The mock-up goes with the quotation, so the client sees the price and the design together.

Following open quotations

Quotations sent, converted and still waiting for a reply are listed together. The sales team follows up the open ones. The owner sees how many were sent and how many became jobs.

A client may ask for a different size or finish. Record each change as a new version of the same quotation. The earlier version stays on file.

When the client accepts, that version fixes the scope. Later additions are noted as variations, so the invoice matches what was agreed.

From accepted quotation to workshop job card

An accepted quotation becomes a job card. The card shows the approved artwork, final sizes, material list, finish and delivery date. The workshop cuts only from the approved version of the artwork.

Material is issued against the job, so sheets, rolls and LED modules are deducted for that board. Offcuts that can be reused are listed.

Some steps leave the workshop. Laser cutting, powder coating or printing may go to an outside vendor. Record what went out, what came back and the vendor’s bill against the same job.

Marking fabrication stages and installation

Define the stages once, for example printing, cutting, assembly, lighting and finishing. The workshop marks each as it completes. The owner and the sales desk can then see where every job sits without asking.

Installation is assigned by date. The crew sees the address, the scaffolding or ladder need, the job sheet and the site contact. On completion the crew adds the installed photo and the client’s sign-off.

For a chain order, each store is its own line with a survey, permission letter, fabrication and sign-off.

What to settle before you set this up

Decide the stages first. A shop that makes a few flex boards a week may need only three. A workshop with LED and metal work needs more, and a crew schedule on top.

Settle who may change a rate, who approves a variation and when an invoice is raised. Some owners hold it until the completion photo is in. Others invoice on dispatch.

Where volume is low, a diary and a rate list remain enough. Software earns its place once jobs wait between people.

Job stage and handover checklist

A table you can build in a spreadsheet. Rows are the stages from quotation to sign-off. Columns hold the person who marks the stage, the record they need, the photo or note required and what the next person receives. Use it to set stages.
