In this guide 6 sections
Each step has one owner, from the surveyor’s tape to the final payment. The surveyor owns measurements, the office owns the quote and final size, and the factory owns cutting and glass. The crew owns fixing and snags, and accounts owns the balance. GullySystem builds software that follows each opening across those hands. Your cutting software can stay.
Showroom and sales: the enquiry and the series
A homeowner or builder picks a profile series and a colour in the showroom. Sales owns that choice and the follow-up. A lead that sits on one salesperson’s phone belongs to nobody.
Record the walk-in, the series and colour shown, and the quote sent. Then set a follow-up date. The owner can see which leads went quiet.
Surveyor: every opening, measured twice
The surveyor measures each opening for width, height, opening type, floor and location. A photo helps. On many projects the first measurement is taken before plaster.
The second comes after plaster. The surveyor owns both, kept side by side. Nobody else measures. If a size moved beyond your tolerance, the office should see it flagged.
- Width and height per opening
- Opening type, floor and location
- Photo from site
- First and final size side by side
Office: the quote and the release
The office prices each opening from profile, glass and hardware rates. Locks, friction stays, mesh and beading belong in that price. Leave them out and the margin goes into the hardware bill.
The office also releases the cutting list. It should come from the final measurement only. Nothing should be retyped between the sheet and the factory.
Factory and stores: cutting, glass and offcuts
The factory cuts sections, joins frames and fits gaskets and beading. Stores issues profile lengths to the job and records offcuts returned. Wastage on a series then shows before the next order.
Glass sizes go to the processor from the same approved list, so the toughened panes and double glazed units match the frames being cut that week. A retyped order is where a few millimetres go missing. On toughened glass, that means a fresh order.
Crew and accounts: fixing, snags and the balance
Before a crew leaves, someone confirms the site is ready. That check belongs to the site coordinator or the crew lead. A tempo sent to wet plaster is a day lost.
The crew logs each window as fixed and lists snags per opening. Accounts owns the balance. Showing which snags are closed helps when a customer holds back the final payment.
- Site ready before dispatch
- Windows fixed, logged one by one
- Snags per opening
- Balance due against closed snags
Opening-wise handover sheet
A table with one row per opening and a column for each owner: surveyor, office, factory, crew and accounts. Each owner signs off a column when their step is done. An empty cell shows where an opening is stuck.

Will the software optimise cutting to reduce wastage?
No. Bar nesting and optimisation belong to your cutting software or the machine. This releases approved sizes to it and records the lengths issued.
Our fabrication software already makes cutting lists. Is this needed?
Maybe not all of it. GullySystem can connect to your fabrication software and cover only the enquiry, measurement, installation and payment side.
Can the surveyor work from a phone?
Yes. Each opening is recorded on the surveyor’s phone at site, with sizes, type, location and a photo.
