GullySystem
Custom software · Colleges and universities

Build a college system around your own programmes, semesters and examination pattern.

No two colleges run the same academic year. Credit patterns differ, internal assessment differs, even the shape of a marks card differs. The affiliating university decides some of it, the management decides more, and the rest is whatever the office has always done.

So packaged education software usually fits a college in the way a borrowed blazer fits. Broadly correct, wrong at the shoulders, and the office ends up keeping its old registers anyway.

The college systems GullySystem designs begin from your programme structure, your attendance rule, your fee heads and your examination pattern. The portals for students, parents and faculty are built on top of that.

Who this is for

Institutions we can build for.

The range here runs from one degree college to a university with affiliated institutions and an examination wing of its own. An affiliating university carries obligations a single college never sees. If you run short skill courses and certificates rather than degrees under a university examination, the training institutes page is the closer fit.

  • Degree colleges
  • Autonomous colleges
  • Engineering colleges
  • Polytechnic institutes
  • Medical and dental colleges
  • Nursing and paramedical colleges
  • Pharmacy colleges
  • Management institutes
  • Law colleges
  • Arts and science colleges
  • Commerce colleges
  • Education and teacher training colleges
  • Architecture and design institutes
  • Agricultural colleges
  • Private universities
  • Deemed universities
  • Affiliating universities
  • Multi-campus education groups
  • Pre-university colleges
  • Distance and open learning centres
  • Research institutes
What can be built

The modules, and what each one covers.

Nothing here is a fixed package. Each module is built, left out or changed to match how your organisation already works.

Admission enquiries

Admission season, three phones ringing, and a notebook at the gate.

  • Enquiry source and date
  • Programme sought
  • Student and parent contact
  • Qualifying marks
  • Entrance rank
  • Category and quota
  • Counsellor assigned
  • Follow-up calls and dates
  • Campus visit record
  • Converted, pending and lost

Applications and admission

  1. Enquiry
  2. Online application
  3. Document verification
  4. Eligibility check
  5. Seat allotment
  6. Admission fee
  7. Enrolment number
  8. Class and section allotment
  • Online application form
  • Document upload
  • Entrance and counselling allotment records
  • Management and government quota tracking
  • Waiting list
  • Admission cancellation and refund
  • Admission register by programme

Where admission happens through a state counselling authority, the allotment comes from their system. The college records the allotted student, it does not replace their process.

The student record

One record from the first enquiry to the degree, instead of the same name written into a dozen registers.

  • Enrolment and register number
  • Programme, branch and batch
  • Semester and section
  • Personal and parent details
  • Category and reservation
  • Previous qualification
  • Documents held by the office
  • Fee ledger
  • Attendance
  • Internal and external marks
  • Backlogs
  • Hostel and transport
  • Disciplinary record
  • Certificates issued

Fees

Tuition, university fee, exam fee, lab, hostel, mess, transport, and the instalment dates the management decided in June.

  • Fee heads by programme and category
  • Instalment schedule
  • Government fee and management fee structures
  • Concessions
  • Late fee rules
  • Online payment
  • Counter receipts
  • Fee ledger per student
  • Dues list by class
  • Refunds on cancellation
  • Daily collection report

Scholarships

Post-matric, minority, merit, management concession and the ward of a staff member.

  • Scholarship scheme record
  • Eligible students
  • Application status
  • Documents submitted
  • Sanctioned and received
  • Adjustment against fee dues
  • Pending disbursement
  • Scheme-wise reporting

Government scholarship portals run on their own timelines and rarely allow outside software in. The system tracks the application, it cannot speed up the sanction.

Academic structure

  • Programmes and branches
  • Regulations and batches
  • Semesters and academic years
  • Courses and course codes
  • Credits per course
  • Core, elective and open elective
  • Prerequisites
  • Syllabus documents
  • Course outcomes
  • Academic calendar

When the university changes its regulation, old batches keep the old structure. Both run side by side rather than one overwriting the other.

Time table and faculty workload

  • Class time table
  • Faculty time table
  • Laboratory and workshop slots
  • Room and hall allotment
  • Course allocation to faculty
  • Workload per faculty member
  • Substitution for a teacher on leave
  • Clash detection
  • Elective batch splitting
  • Published time table for students

Attendance

The rule that decides who sits for the examination, and the parent who finds out in the last week.

  • Hour-wise and subject-wise attendance
  • Marked from the classroom
  • Laboratory attendance
  • Shortage calculation against your rule
  • Condonation records
  • Detained students
  • Leave and medical leave
  • Parent alerts on absence
  • Attendance statement per student
  • Department-wise summary

Internal assessment

  • Internal test schedule
  • Marks entry by subject teacher
  • Assignments and seminars
  • Laboratory records
  • Best-of rules and weightage
  • Internal marks calculation

  • Exam time table
  • Room and seating plan
  • Invigilation duty
  • Attendance in the examination hall
  • Malpractice records
  • Answer script bundles
  • Valuation records for autonomous institutions
  • Revaluation requests

Results and transcripts

  • Subject-wise marks
  • Internal and external components
  • Grades and grade points
  • SGPA and CGPA
  • Pass, fail and absent
  • Backlog list per student
  • Supplementary exam registration
  • Marks cards
  • Consolidated statement
  • Transcript generation
  • Class-wise and subject-wise pass analysis

University results usually arrive as a published list rather than through a connection. Where there is no data route in, upload stays a controlled manual step.

The office counter

A student wants a bonafide letter before four o’clock, and the clerk is looking for a file.

  • Bonafide certificate
  • Study and conduct certificate
  • Transfer certificate
  • Migration certificate
  • Course completion certificate
  • Fee paid certificate
  • Request, approval and issue tracking
  • Register of certificates issued
  • Duplicate requests

Teaching material and coursework

Where the college wants its own learning space rather than a public platform.

  • Course-wise material
  • Lecture notes and slides
  • Recorded sessions
  • Question banks
  • Assignment submission
  • Plagiarism check references
  • Online tests and quizzes
  • Discussion threads
  • Student progress per course

Connecting to Moodle, Google Classroom or Microsoft Teams depends on what each platform permits. Single sign-on and grade sync are checked platform by platform before they are promised.

  • Faculty profile and qualification
  • Department and designation
  • Date of joining
  • Experience and specialisation
  • Subjects handled
  • Workload history
  • Attendance and leave
  • Documents
  • Payroll inputs

Statutory and regulatory reporting

The returns that come around every year, and the fortnight of typing they cause.

  • Student strength by category
  • Faculty and student ratios
  • Result analysis
  • Placement data
  • Research output
  • Infrastructure records
  • IQAC documentation
  • Data extracts for university returns

The system prepares the data in the shape you ask for. Filing it with a regulator remains the institution’s own work and its own responsibility.

What the management actually opens

  • Admissions against sanctioned intake
  • Branch-wise seat fill
  • Fee collected and outstanding
  • Attendance below the rule
  • Result analysis by subject
  • Faculty workload distribution
  • Placement offers by branch
  • Hostel occupancy
  • Scholarship status
  • Campus-wise comparison

Who logs in, and what they see

  • Management and principal
  • Dean and head of department
  • Faculty member
  • Examination section
  • Admission office
  • Accounts and fee counter
  • Librarian
  • Hostel warden
  • Placement officer
  • Student
  • Parent

Messages to parents and students

  • Absence alert
  • Fee due reminder
  • Internal marks published
  • Exam time table
  • Result announcement
  • Circulars and holidays
  • Placement drive notice
  • Hostel notices

Two things decide whether an attendance message reaches a parent. The provider must approve the template, and the number on the admission form must be the one the parent still uses.

Where a ready product may fit better

Our school and college management system already covers admissions, fees, attendance, exams and transport for a single institution.

If your college does not have an unusual examination pattern or a multi-campus structure, buying that is faster and cheaper than building. We will say so when it is true.

The journey

One connected workflow, end to end.

Every stage below can sit in one system, so nobody re-enters what the last stage already captured.

  1. Enquiry
  2. Application
  3. Admission
  4. Fee payment
  5. Enrolment
  6. Time table
  7. Attendance
  8. Internal assessment
  9. Examination
  10. Results
  11. Placement
  12. Graduation
  13. Alumni
Built in phases

You do not have to replace everything at once.

Each phase is usable on its own, so the system earns its place before the next part is built.

  1. 1

    Admissions and fees

Enquiries, applications, the student record and the fee ledger. This is the part that decides whether the office trusts the system at all.

  2. 2

    The academic year

Programme structure, time tables, workload, attendance, internal assessment and examinations, built to your regulation rather than a generic one.

  3. 3

    Students, parents and faculty

Portals, coursework, certificates, hostel, library and transport, so the office counter stops being the only route to information.

  4. 4

    Placements and reporting

The placement cell, research records, regulatory data and the dashboards the management uses at a governing council meeting.

How we work

How a build actually runs.

  1. 01

    Understand

We sit with the admission office, the exam section and one head of department, and read your regulation document rather than assume it.

  2. 02

    Map

Programmes, credits, fee heads, attendance rules, internal assessment weightage, approval chains and the registers the office still keeps by hand.

  3. 03

    Design

Marks entry and attendance marking are designed for a teacher between two classes, which is about ninety seconds of attention.

  4. 04

    Build

Admissions, the student record and fees first, because that is one academic cycle of value before anything else is ready.

  5. 05

    Test

Your exam section runs a past semester through it, marks and all, and checks the results against what the university actually published.

  6. 06

    Deploy

Go-live is planned around the calendar, usually at the start of an academic year or a semester, never in the middle of an exam.

  7. 07

    Improve

Placements, research records and regulatory reporting once the academic cycle is running steadily.

Common questions

Questions owners ask before starting.

What does custom college management software include?

Admissions, the student record, fees, time tables, attendance, internal assessment, examinations, results, certificates, placements and the portals around them. The shape of each follows your regulation rather than a template.

Can it follow our own examination pattern?

Yes, and that is usually the reason a college builds rather than buys. Internal weightage, best-of rules, grade points and marks card formats are set to your regulation.

Can we run several batches on different regulations?

Yes. A batch keeps the structure it was admitted under, so a regulation change applies to new batches without disturbing the ones already running.

Can parents see attendance and marks?

Yes, through a parent portal or app, with shortage warnings before the last week of the semester rather than after it.

Can it connect to Moodle or Google Classroom?

Sometimes. Single sign-on and grade sync depend on what each platform allows, and we check yours before committing to anything.

Can the placement cell use it?

Yes. Companies, drives, eligibility rules, shortlists and offers are tracked, and the eligible student list is generated from marks and backlogs instead of being typed out.

Can it handle a multi-campus group?

Yes. Each campus runs its own admissions, academics and fees, while the group management sees one consolidated picture.

Do we still need our existing accounting software?

Usually yes. Most institutions keep their accounting package and pass fee collections and expense data to it rather than replacing it.

Can it prepare data for university and regulatory returns?

It can prepare the data in the format you ask for. Submitting it, and standing behind it, stays with the institution.

Would a ready product be enough for us?

Quite possibly. The ready school and college product covers admissions, fees, attendance, exams and transport, and for a single college on a standard pattern it is the sensible choice.

Can we start with one module?

Yes. Admissions and fees in one season, academics in the next. A phase that is useful on its own is better than a launch that waits a year.

Your trade

How we work with this trade.

Already built

Software we already run for this work.

If one of these fits, it is cheaper and faster than building from scratch. We will say so.

Build the system your academic year actually needs.

A college should not be retyping the same student’s name into six registers, or losing a fortnight after every examination to typing marks cards.

Tell us how your programmes, attendance rule and examination pattern work. A fortnight disappears in the examination section after every semester. That is the part worth taking up first.

Tell us how you work

Tell us how your colleges and universities runs today.

We will tell you what can be digitised, what can be connected, what is worth automating, and what you should leave alone.
