GullySystem
Custom software · Pest control companies

Build a pest control system around your AMC visits, your technicians and your renewals.

Pest control income is recurring on paper only. It recurs when the quarterly visit actually happens, when the service report reaches the client’s audit file, and when somebody rings before the contract lapses.

A missed visit in August becomes a cancelled contract in September. Nobody in the office notices in between, because the schedule lives in one person’s head and a diary he carries home.

The system GullySystem would build lets the contract itself lay out its visits. The technician records the treatment before he leaves the site, and the renewal list appears without anyone scrolling through a spreadsheet.

Who this is for

Pest management businesses we can build for.

Two technicians on scooters doing flats, or a company servicing food factories across three states. The audit you have to satisfy sets the scope.

  • Pest control companies
  • Termite control specialists
  • Residential pest control services
  • Commercial pest management companies
  • Food industry pest management providers
  • Hotel and restaurant pest control
  • Hospital and pharmaceutical pest control
  • Warehouse and godown pest management
  • Fumigation service providers
  • Herbal and low-odour pest control companies
  • Mosquito control services
  • Rodent control services
  • Bird netting and proofing companies
  • Wood preservation services
  • Sanitisation and disinfection services
  • Facility management companies with a pest arm
  • Pest control brands franchising territories to operators
  • Companies working across several cities
What can be built

The modules, and what each one covers.

Nothing here is a fixed package. Each module is built, left out or changed to match how your organisation already works.

Enquiries

Calls come from a listing site, a hoarding, a society WhatsApp group, a past customer and a builder. They can sit in one list.

  • Caller name and number
  • Property type
  • Area and address
  • Pest reported
  • Severity described
  • Source of the enquiry
  • Whether an inspection is needed
  • Assigned to
  • Follow-up due
  • Won or lost with reason

Site inspection

The visit that decides the price, and the one most often done without any record beyond a phone call afterwards.

  • Inspection appointment
  • Inspector assigned
  • Property size and layout
  • Areas covered
  • Pest activity observed
  • Photographs
  • Entry points and harbourage noted
  • Previous treatments by others
  • Recommended treatment
  • Inspection report to the customer

Quotations

  • Service and treatment proposed
  • Area or unit basis
  • One-time or AMC
  • Number of visits included
  • Chemicals proposed
  • Warranty offered
  • Rate and GST
  • Validity of the quotation
  • Revisions kept
  • Approval by the customer

Your service catalogue

  • General pest control
  • Cockroach gel treatment
  • Anti-termite treatment
  • Pre-construction termite treatment
  • Bed bug treatment
  • Rodent control
  • Mosquito and fly control
  • Wood borer treatment
  • Bird proofing and netting

AMC contracts

The contract is the asset. It should generate its own visit schedule the day it is signed.

  • Customer and site
  • Services covered
  • Number of visits in the period
  • Frequency
  • Contract value and payment schedule
  • Start and end date
  • Areas included and excluded
  • Free call-outs allowed
  • Warranty terms
  • Renewal date
  • Signed copy stored

The visit schedule

  1. Contract signed
  2. Visits laid out for the period
  3. Visit due
  4. Technician assigned
  5. Customer informed
  6. Visit done
  7. Next visit dated

A visit that slips is worse than one that is rescheduled openly. The overdue list has to be on the operations screen every morning, not discovered at renewal.

Scheduling by area

  • Visits due this week
  • Grouped by locality
  • Technician workload
  • Travel between jobs
  • Morning and afternoon slots
  • Customer’s preferred timing
  • Rescheduling with a reason
  • Emergency call-outs squeezed in
  • Unassigned visits

Technicians

  • Technician records
  • Services he is trained for
  • Area he covers
  • Vehicle
  • Daily job list
  • Attendance and day start
  • Jobs completed
  • Customer feedback
  • Training and refresher dates
  • Identity card

The technician app

Used in a kitchen at half past eleven with a spray can in the other hand. It has to be short.

  • Today’s jobs in order
  • Customer address and directions
  • Call the customer
  • Site history and last treatment
  • Start and finish the job
  • Record pest activity
  • Chemicals and quantity used
  • Photographs before and after
  • Customer signature
  • Collect payment
  • Works without signal and syncs later

Treatment record

The line that answers a warranty claim two years later.

  • Date and time in and out
  • Technician
  • Areas treated
  • Pests treated
  • Chemical used and its label name
  • Concentration and quantity
  • Method of application
  • Devices placed or replaced
  • Customer remarks
  • Recommendations given
  • Next visit date

Bait stations and devices

For commercial sites where the devices are numbered and mapped, and an auditor counts them.

  • Device numbering
  • Location on the site map
  • Device type
  • Installed date
  • Checked at each visit
  • Activity found
  • Bait replaced
  • Device damaged or missing
  • Device history

Pest activity trends

  • Sightings by area of the site
  • Sightings by pest
  • Activity over months
  • Devices with repeated activity
  • Corrective actions recommended
  • Actions the client agreed to
  • Trend charts for the audit file

What an auditor accepts as evidence is the auditor’s decision and it differs by standard and by client. We build the records you ask for and make them easy to print.

Service reports

  • Report generated at the site
  • Customer copy signed
  • Emailed or sent on WhatsApp
  • Your letterhead and format
  • Client-specific formats
  • A year of reports pulled together
  • Report reissued on request

Callbacks and complaints

A complaint after a treatment is a cost, and repeated complaints at one site are a diagnosis.

  • Complaint received
  • Site and original job referenced
  • Free or chargeable
  • Technician assigned
  • Visit and action taken
  • Root cause noted
  • Closure and customer confirmation
  • Callbacks by technician
  • Callbacks by service type

Termite warranties

  • Original treatment date
  • Chemical and quantity applied
  • Areas treated and drilling record
  • Warranty period
  • Annual inspection due dates
  • Re-treatment claims
  • Claim verified against the original job
  • Re-treatment performed
  • Warranty expiry list

What the warranty covers is your own commercial undertaking. The system holds the evidence to check a claim against and does not decide whether to honour it.

Chemical stock

  • Chemicals and formulations
  • Batch and expiry
  • Stock at the store
  • Issued to each technician
  • Returned at day end
  • Used against jobs
  • Variance between issued and used
  • Reorder levels
  • Supplier and purchase records
  • Disposal record

Which chemicals you may buy, hold and apply is governed by your licence and by the rules that apply to each product. The system records what was used. It does not make an application lawful.

Consumption against the job

The quiet leak in this trade. Stock walks out of the store and nothing says where it went.

  • Standard quantity for a service
  • Actual quantity recorded at the job
  • Difference by technician
  • Difference by service type
  • Cost of chemical per job
  • Margin after chemical and travel
  • Months where consumption jumped

Equipment and safety

  • Sprayers, foggers and machines
  • Issued to technicians
  • Service and repair history
  • Protective equipment issued
  • Safety briefing records
  • Incident and spill records
  • Material safety sheets stored
  • Training attendance

Customers and site history

  • Customer and site details
  • Property type and size
  • Contact persons
  • All contracts past and present
  • Every visit and treatment
  • Complaints raised
  • Invoices and payments
  • Warranty position
  • Preferred timings
  • Access instructions and gate notes

Billing

  • One-time job invoice
  • AMC invoice by instalment
  • Advance and balance
  • GST
  • Chargeable call-outs
  • Invoice at the site from the phone
  • Payment by cash, UPI or online link
  • Receipts
  • Credit notes

Collections

  • Outstanding by customer
  • Ageing
  • AMC instalments due
  • Cash collected by technicians
  • Cash handed to the office
  • Payment reminders
  • Corporate clients with purchase orders
  • TDS deducted by clients

Renewals

Contracts due in the next sixty days, listed before the customer has the chance to forget you.

  • Contracts expiring
  • Visits actually delivered against the contract
  • Complaints during the period
  • Renewal quotation
  • Revised rate
  • Follow-up calls
  • Renewed or lost
  • Reason for loss
  • Win-back list

Customer portal

  • Visits completed and upcoming
  • Service reports
  • Treatment history
  • Device check records
  • Invoices and payments
  • Raise a complaint
  • Request an extra visit
  • Contract and warranty details

A commercial client with several branches usually wants one login covering all of them. Who in their office sees which branch is for them to decide.

Branches and franchises

  • Branch-wise contracts and visits
  • Technicians by branch
  • Chemical stock by branch
  • Branch collections
  • Franchise territory
  • Royalty calculation
  • Leads routed by pincode
  • Head office view of everything

Operations dashboard

  • Visits due today
  • Visits overdue
  • Jobs completed
  • Technician utilisation
  • Callbacks this month
  • Contracts expiring
  • Renewal rate
  • New contracts signed
  • Chemical consumption
  • Revenue by service
  • Outstanding payments
  • Complaints open

What it connects to

  • Tally and accounting software
  • WhatsApp and SMS
  • Payment gateways and UPI
  • Listing sites and lead sources
  • Maps for routing
  • Client facility systems

Location capture inside a basement or a cold store is unreliable, whatever the map provider promises. Job completion should never depend on it alone.

The journey

One connected workflow, end to end.

Every stage below can sit in one system, so nobody re-enters what the last stage already captured.

  1. Enquiry
  2. Inspection
  3. Quotation
  4. Contract or job
  5. Visit scheduled
  6. Technician visit
  7. Treatment recorded
  8. Service report
  9. Invoice
  10. Payment
  11. Next visit
  12. Renewal
Built in phases

You do not have to replace everything at once.

Each phase is usable on its own, so the system earns its place before the next part is built.

  1. 1

    Contracts and the schedule

Customers, AMC contracts, visit schedules generated from them, and the overdue list the operations desk works from.

  2. 2

    The technician’s phone

Job lists, treatment records, chemicals used, photographs and the signed service report leaving the site with the technician.

  3. 3

    Stock, warranties and money

Chemical issue and consumption, termite warranty records, invoicing from the site and collection follow-up.

  4. 4

    Clients and growth

The customer portal, trend reporting for audits, renewals, branches or franchises, and the operations dashboard.

How we work

How a build actually runs.

  1. 01

    Understand

We spend a day in a van with one of your technicians. The gap between the office diary and the actual route shows up by the third job.

  2. 02

    Map

Services, contract types, visit frequencies, chemicals, warranty terms, client report formats and how technicians are paid.

  3. 03

    Design

A short app for the technician and a planning screen for the office, because the two want opposite things from the same job.

  4. 04

    Build

Contracts, schedules and treatment records first. Without those three, nothing else in this trade is trustworthy.

  5. 05

    Test

One area runs on it for a full AMC cycle, including a callback and a warranty claim, before anyone else moves.

  6. 06

    Deploy

Technicians trained on their own phones at a morning meeting, and the office trained on the planning screen separately.

  7. 07

    Improve

Client portals, device mapping, trend reporting and whatever your largest food client starts asking for.

Common questions

Questions owners ask before starting.

Should we use the ready pest control product instead?

For most operators, yes. Our Pest Control Business Management System already schedules AMC visits, records treatments and chemicals, and bills from the job. Start there, and build only where it will not fit.

When does a custom build make sense?

When large food or pharmaceutical clients demand their own report formats and device maps. Also when pest control sits inside a wider facility business, or when franchise territories need their own rules.

Can visits be generated from the contract?

Yes. A contract with twelve visits over a year lays them out on signing, and each one appears on the schedule when it falls due rather than when somebody remembers.

Can technicians record treatments on a phone?

Yes. Chemical, quantity, areas treated, pest activity, photographs and the customer’s signature, all before he leaves the site. It works without signal and syncs afterwards.

Can we produce a year of service reports for an audit?

Yes, if the visits were recorded. Reports for one site over any period can be pulled together in your own format, with device checks and trend charts alongside.

Can we check a termite warranty claim?

Yes. The original job date, the chemical and quantity applied, the areas drilled and the photographs sit against the site, so a claim is checked against evidence rather than memory.

Does it track chemical stock?

Yes. Stock at the store, quantities issued to each technician and quantities recorded against jobs, with the difference shown by technician and by service.

Does the software keep us within the law?

No. Licensing, permitted chemicals and how they may be applied are matters for you, your licence and the authority that issues it. The system records what was used and by whom.

Will treatment invoices reach Tally?

Yes, with GST. The job-level detail stays here, and only the accounting entries go across.

Can customers see their own service history?

Yes, through a portal. Commercial clients with several branches usually want one login across all of them, with permissions deciding who sees what.

We have three technicians. Is this worth it?

Perhaps not yet. A shared calendar and a notebook can carry a small operation. This starts paying when a missed visit costs you a contract.

What will it not do?

It will not stop a technician from cutting a visit short, and it will not resolve an infestation caused by the client’s own housekeeping. It records both clearly enough to have the conversation.

Your trade

How we work with this trade.

Already built

Software we already run for this work.

If one of these fits, it is cheaper and faster than building from scratch. We will say so.

Build the system your service schedule lives in.

In this trade the work is invisible when it is done well. The record of it is the only thing a client can hold.

Whether you need contract-driven scheduling, a technician app, a warranty register or a client portal for an audit file, tell us how your visits are planned today. Where our ready product already covers it we will say so, and where an auditor wants a chemical record we build for that.

We will tell you what can be digitised, what can be connected, what is worth automating, and what you should leave alone.
