Custom software · Water purifier companies

Build a water purifier system around the filter change, not the sale.

The machine is sold once. After that the business is a calendar: a sediment filter at one interval, a carbon filter at another, a membrane after longer, and an AMC that quietly expired in March.

Nobody rings the customer at six months. She buys a cartridge online, or the dealer two streets away fits one for her, and a customer you paid to acquire is gone for the price of a filter.

A service system built by GullySystem keeps the installed machine at the centre. Model, serial number, source water, what was last changed, what is due next, and which technician is carrying the right cartridge today.

Who this is for

Water businesses we can build for.

A dealer servicing homes in three localities is running a calendar. A company operating commercial plants in factories is running a contract, and the build follows what you actually install.

  • Water purifier dealers
  • RO system dealers
  • Domestic purifier service companies
  • Commercial RO plant companies
  • Industrial water treatment companies
  • Water softener dealers
  • Water ATM operators
  • Packaged drinking water plants
  • Water can delivery businesses
  • Purifier rental companies
  • Purifier manufacturers with a service network
  • Brand service franchisees
  • Multi-brand service companies
  • Apartment and society water plant operators
  • Borewell water treatment companies
  • Swimming pool and STP service companies
  • Water testing service providers
  • Multi-branch water companies
What can be built

The modules, and what each one covers.

Nothing here is a fixed package. Each module is built, left out or changed to match how your organisation already works.

The installed machine

Not a customer record with a machine attached. A machine record, with a customer attached.

  • Brand and model
  • Serial number
  • Purification type
  • Capacity
  • Installation date
  • Installation address and floor
  • Source water
  • TDS at installation
  • Warranty period and end date
  • AMC status
  • Filters fitted and their dates
  • Service history

Two purifiers at one address is normal, one in the kitchen and one for the office upstairs. Each keeps its own service history.

Sales and enquiries

  • Enquiry source
  • Customer requirement
  • Source water and TDS
  • Demo requested
  • Model recommended
  • Quotation
  • Exchange of an old unit
  • Finance or instalment option
  • Order confirmed
  • Lost enquiry with reason

Installation

  1. Order confirmed
  2. Installation slot
  3. Technician assigned
  4. Site check
  5. Plumbing and fitting
  6. TDS reading recorded
  7. Demo to the customer
  8. Installation report signed
  9. Warranty activated

Installation record

  • Technician and date
  • Inlet and outlet TDS
  • Water pressure noted
  • Accessories used
  • Extra plumbing charged
  • Tap and tank details
  • Photographs of the fitting
  • Customer signature
  • Demo completed
  • Next service due date set

Filter change schedule

This is the whole business, and it runs on dates nobody can hold in their head.

  • Sediment filter due
  • Pre-carbon filter due
  • Post-carbon filter due
  • Membrane due
  • UV lamp due
  • Interval set per component
  • Interval adjusted for source water
  • Next due list by locality
  • Overdue list
  • Change recorded with the part fitted

The interval is a guideline, not a fact. A borewell connection chews a sediment filter faster than a corporation supply, so the schedule can be shortened for that address rather than for everybody.

AMC and service contracts

  • Contract type
  • Coverage of filters
  • Coverage of membrane
  • Number of visits included
  • Start and end date
  • Contract value and payment terms
  • Renewal due date
  • Renewal reminder
  • Lapsed contracts
  • Renewal conversion record
  • Contract document

AMC renewals

  1. Renewal due
  2. Reminder to the customer
  3. Call task raised
  4. Quotation for renewal
  5. Payment
  6. Contract extended
  7. Visit schedule regenerated

The office contract that expired in March is usually found on the Monday the plant stops. A renewal list that is looked at every week is what prevents that.

Service tickets

  • Machine identified by serial number
  • Problem reported
  • Under warranty, under AMC or chargeable
  • Priority
  • Technician assigned
  • Slot promised

The technician application

What a technician needs on a phone, sitting under a kitchen sink with a torch.

  • Today’s jobs with addresses
  • Machine history at this address
  • Filters due on this machine
  • Spares in my van stock
  • Record the part fitted
  • Enter inlet and outlet TDS
  • Photograph before and after
  • Additional work needed
  • Collect payment
  • Digital job card signature
  • Works offline and syncs later

The job card

  • Job number and date
  • Machine and customer
  • Complaint and diagnosis
  • Parts replaced with serial or batch
  • Old part taken back
  • Labour charge
  • Chargeable or covered
  • Amount collected and mode
  • Next due date revised
  • Customer remarks

Spares and filters

  • UV lamps
  • Solenoid valves and float valves
  • Booster pumps
  • Tubing and connectors
  • Taps and storage tanks
  • Compatible models per part
  • Purchase price and selling price
  • Warranty on the part
  • Batch and supplier

Van stock

A technician carrying the wrong cartridge means two visits for one job.

  • Stock issued to each technician
  • Consumption per job
  • Balance in the van
  • Replenishment request
  • Return of unused parts
  • Old parts returned to store
  • Shortage before the day starts
  • Van stock reconciliation
  • Loss and damage record

Store and purchase

  1. Reorder level reached
  2. Purchase indent
  3. Supplier quotation
  4. Purchase order
  5. Goods receipt
  6. Quality check
  7. Stock entry
  8. Issue to van

Field collections

Cash taken at a doorstep and noted on a slip does not always reach the office before the shutter comes down.

  • Amount due per job
  • Cash, UPI or card
  • Receipt sent to the customer
  • Collection by technician per day
  • Handover to the office
  • Pending handover
  • Deposit record
  • Shortfall with explanation
  • Daily collection summary

Customer record

  • Customer profile
  • Machines installed
  • Contact numbers
  • Address and landmark
  • Preferred visit time
  • AMC status
  • Service history
  • Payments and dues
  • Complaints raised
  • Feedback given
  • Referrals made

Customer communication

  • Filter change reminder
  • AMC renewal reminder
  • Visit confirmation with technician name
  • Technician on the way
  • Job completion summary
  • Payment receipt
  • Feedback request
  • Festival and offer messages

A service due date and the technician’s name are short messages that get read. A customer who blocked the number after three years of offers still needs a call, so the system should show you who those are.

Commercial plants

For companies serving factories, hospitals, hotels and apartment complexes, where a breakdown is not a domestic inconvenience.

  • Plant capacity and configuration
  • Pre-treatment stages
  • Dosing details
  • Operating hours
  • Site engineer contact
  • Scheduled preventive visits
  • Membrane cleaning record
  • Water test readings
  • Consumables consumption
  • Breakdown history
  • Contract penalty terms

Reading a plant remotely needs a device that reports, supplied and permitted by the manufacturer. Without it, the readings are what the technician enters on site.

Water testing

  • Sample collected
  • Source and location
  • TDS and hardness readings
  • pH reading
  • Other parameters recorded
  • Tested by
  • Test report to the customer
  • Recommendation from the reading
  • Test history per address

The system records what your technician measures with your instruments. It does not perform a laboratory analysis and does not replace one.

Rentals and subscriptions

For businesses that place the machine and bill monthly.

  • Machine given on rent
  • Deposit collected
  • Monthly rental
  • Billing cycle
  • Included services
  • Payment status
  • Overdue rentals
  • Machine recovery
  • Refurbishment record
  • Redeployment to a new customer

Water can delivery

Where the same business also drops cans, the route is a daily problem of its own.

  • Customer route and day
  • Standing order quantity
  • Cans delivered and returned
  • Empty can balance
  • Delivery boy allocation
  • Payment collection
  • Monthly billing
  • Missed delivery
  • Route performance

Dealers and franchisees

  • Dealer profile and territory
  • Machines sold by the dealer
  • Installations registered
  • Service claims raised
  • Spare orders
  • Warranty claim settlement
  • Dealer ledger
  • Target and achievement
  • Territory coverage

Warranty claims

  • Part failure recorded
  • Serial and batch
  • Within warranty check
  • Claim raised to the supplier
  • Old part despatched
  • Replacement received
  • Claim rejected with reason
  • Cost absorbed
  • Failure rate by part and batch

Roles and access

  • Management
  • Branch manager
  • Service manager
  • Call centre and front desk
  • Technician
  • Store keeper
  • Sales team
  • Accounts
  • Dealer
  • Customer

Management dashboards

  • Installations this month
  • Filter changes due and done
  • Overdue services
  • AMC active, due and lapsed
  • Renewal conversion
  • Tickets open by age
  • First visit resolution
  • Revenue from service against sales
  • Spares consumption
  • Van stock value
  • Collections pending handover
  • Technician productivity

Integrations

  • WhatsApp and SMS providers
  • Payment gateways and UPI collection
  • Tally and accounting software
  • Call centre and IVR systems
  • Maps for technician routing
  • Barcode scanning for spares
  • Brand service portals

Raising a warranty claim inside a brand’s own service portal depends on the access that brand gives its dealers, and it is checked before it is promised.

The journey

One connected workflow, end to end.

Every stage below can sit in one system, so nobody re-enters what the last stage already captured.

  1. Enquiry
  2. Demo and quotation
  3. Sale
  4. Installation
  5. Warranty period
  6. Filter change due
  7. Service visit
  8. Job card and payment
  9. AMC offer
  10. AMC renewal
  11. Complaint handling
  12. Spare replacement
  13. Repeat service
Built in phases

You do not have to replace everything at once.

Each phase is usable on its own, so the system earns its place before the next part is built.

  1. 1

    Machines and services

The installed machine record, filter due dates, service tickets and technician scheduling. The reminder calls start happening the week this works.

  2. 2

    The field

The technician application, digital job cards, van stock, payment collection at the door and photographs from the site.

  3. 3

    Contracts and money

AMC records, renewals, billing, outstanding, warranty claims and the store behind all of it.

  4. 4

    Growth

Commercial plants, rentals, dealers, customer communication and management dashboards by branch.

How we work

How a build actually runs.

  1. 01

    Understand

We ride along on a service round, because the difference between a good day and a wasted one is visible only there.

  2. 02

    Map

Models, components, service intervals, contract types, territories, approvals and the spares each job actually needs.

  3. 03

    Design

The technician screens are drawn for one thumb and a dark cupboard, and the office screens for the person answering the phone.

  4. 04

    Build

The machine record and the due-date list first. Everything else gets easier once those two exist.

  5. 05

    Test

Two technicians work a full week on it while the diary continues beside them, and the two are compared.

  6. 06

    Deploy

Go-live starts with one branch or one territory, and the old machine records are loaded as they come up for service.

  7. 07

    Improve

Rentals, commercial plants and dealer modules follow once the service round is running on it.

Common questions

Questions owners ask before starting.

What is custom water purifier service software?

It is software built around one company’s models, service intervals, contract types and territory, instead of a general field service tool. In this trade the interval per component is the thing that has to be right.

Can it remind us about filter changes?

Yes. Each component carries its own due date from the day it was fitted, so the due list can be worked locality by locality every week.

Can service intervals differ by customer?

Yes. A borewell connection wears a sediment filter faster than a corporation supply, so the interval can be shortened for that machine alone.

Can technicians work from a phone?

Yes. Job lists, machine history, parts fitted, TDS readings, photographs, payment and a signed job card all work on a phone, and entries made without a signal go up later.

Can we track what spares each technician is carrying?

Yes. Van stock is issued, consumed per job and reconciled, so a shortage shows before the technician leaves rather than at the customer’s door.

Can technicians collect payment at the customer’s house?

Yes, by cash, UPI or card, with a receipt sent immediately and a handover record at the office. Pending handovers are listed by technician.

Can it handle AMC renewals?

Yes. Contracts carry their own end dates, renewals appear on a list before they lapse, and a call task can be raised for the person who owns that customer.

Can it monitor a commercial plant remotely?

Only if a device that reports readings is installed and the manufacturer permits it. Otherwise the readings are what your technician enters on site, which is still better than a paper logbook.

Do you have a ready product for this?

The closest is our pest control AMC and visit product, which shares the contract and technician visit pattern. Where that fits, adapting it is cheaper than building, and the filter schedule is the part that has to be added.

Can we manage more than one brand?

Yes. Models, components and intervals are set per brand, and a multi-brand service company can hold them all with different spares lists.

Can we start small?

Yes, and most dealers should. The machine record with due dates and a technician application is enough to change the business. Billing and dealers can follow.

Will it work with Tally?

Usually yes. Invoices, service bills and receipts go across to Tally, and nothing changes for the person who does your accounts.

Your trade

How we work with this trade.

Already built

Software we already run for this work.

If one of these fits, it is cheaper and faster than building from scratch. We will say so.

Build a system that remembers every filter you fitted.

A water business is not really in the machine trade. It is in the appointment trade, and the appointment is six months after a sale everybody has stopped thinking about.

Open your customer list and see how many filters were due for a change last month. If nobody can tell you that in a minute, start with the service calendar and leave the billing until later.

Tell us how you work

Tell us how your water purifier companies runs today.

We will tell you what can be digitised, what can be connected, what is worth automating, and what you should leave alone.
