Software Solutions for Book Sellers

Books are sold by ISBN, format and edition, in series, to readers, schools and firms. Online, they need a catalogue that keeps each format apart, pre-orders, supplier lead times for titles not on the shelf, and ordering for institutions on quotation and purchase order.

At a glance

Sell books by ISBN, edition and series, with supplier lead times in view.

A book looks like one product and is many. A hardback, a paperback and a new edition each have an ISBN, a price and a stock count, and a buyer who gets the wrong one is a return.

Most of a bookshop’s range is not on the shelf. It is a promise to order from a distributor, and the buyer should be told how long that takes.

Businesses and operating models

Independent bookshops online

A shop lists its shelves and a long backlist, takes pre-orders and ships nationally.

Specialist sellers

A seller serves a subject, a school board or a genre, and builds expertise around it.

Publishers selling direct

A publisher sells its titles, including signed and special editions, through its own store.

Distributors and wholesalers

A distributor supplies shops, schools and libraries in bulk against orders and terms.

How an order moves

The workflow for books.

  1. 1

    Receiving metadata

Titles arrive with ISBN, format, edition and price from publishers, distributors or sheets.

  2. 2

    Grouping and listing

Formats are grouped under a title. Series, subject tags and release dates are added.

  3. 3

Selling in stock and on order

Copies on the shelf ship at once. Others are ordered from a supplier and listed with a lead time.

  4. 4

    Pre-ordering and allocation

A forthcoming title opens for pre-order and is allocated in sequence from the first delivery.

  5. 5

    Quoting institutions

A school or firm sends a list, receives a quotation and orders against a purchase order.

  6. 6

    Packing, returns and settling

Books are packed against bending and damp. Returns follow the stated policy, and sales reach the shop’s books.

Where it breaks

The challenges, and what they cost.

Formats and editions confused

Several ISBNs of one title are listed as one product, and the wrong edition ships.

Availability that is not honest

A title is shown as available and then waits for a distributor. The buyer finds out after paying.

Release-day oversell

A popular title sells out of its first delivery in hours. Orders outrun stock.

Institutional orders by email

Lists are retyped, quotations are slow and purchase-order numbers go missing.

A long tail nobody finds

Backlist titles sit unseen without subject tags, series pages and search.

Requirements to assess

What is specific to this trade.

These are requirements we would confirm in discovery. They describe what the solution may need to handle. They are not features that already exist.

  • One record for each ISBN, grouped under a title with format options
  • Edition and publication year, with superseded editions flagged
  • Availability shown honestly as in stock or supplied in a stated time
  • Pre-order handling with allocation in sequence
  • Quotation and purchase-order handling for schools, libraries and firms
  • Which ebooks or digital formats, if any, the seller wants to offer

Integrations

What it would connect to.

An integration is confirmed only after its API, access and scope are checked. A connection that updates on a schedule is described as scheduled, not real-time.

  • The shop’s billing and stock system, through an export or a link tested first
  • GullySystem’s wholesale ordering product, for a distributor that serves shops and schools on account
  • Catalogue feeds from distributors and publishers, where their terms allow
  • Checkout through a UPI and card provider, and invoices for institutions
  • Couriers for parcels of books, added after each interface has been tested
Implementation

How the work runs, and what we need from you.

What you provide

  • Your title data with ISBNs, formats and prices
  • Your distributors, their lead times and terms
  • Institutional customers and how they order today

Clean the metadata

ISBNs, formats and editions are checked first, since every page is built from them.

Write the lead-time rules

Each supplier’s usual supply time is stated and shown on listings.

Open with one section

One genre or subject goes live first so stock and metadata can be compared with the shelf.

Deliverables

What you receive.

  • A catalogue structure for ISBN, format, edition and series
  • Pre-order and lead-time rules
  • Quotation and purchase-order flows
  • Staff handover and training sessions
Measurement

How progress is judged.

Measures are agreed against your own baseline. We do not promise a result in advance.

  • Orders shipped in the wrong format or edition
  • Orders delayed beyond the stated lead time
  • Institutional quotations issued with a stated validity
India and international

Selling at home and abroad.

Currencies and display

Prices shown in dollars or pounds are a display choice. Whether a payment can be taken in that currency is for your bank and gateway to decide.

Editions by territory

The same title can have different editions, prices and cover art in different markets, and rights to sell may be limited. Publishers and distributors confirm what can be sold where.

Shipping books abroad

Books are heavy in numbers. Carriers and your adviser say what duties, weights and routes apply to each market.

Languages and scripts

The catalogue can hold titles in several languages and scripts, with search that handles them as you specify.

Suitable software

Configured implementation

No existing GullySystem product covers a bookshop storefront built on ISBNs, editions and supplier lead times. The store goes onto a commerce platform picked in discovery and is shaped to the seller’s catalogue and suppliers.

Common questions

Questions about books e-commerce.

Does it replace our billing software?

No. Stock is read from it through an export or a link tested first, and online sales are written back. If that is not possible, an import is used.

Can it import book data from publishers?

Where a feed exists and its terms allow, yes. Otherwise titles are entered or loaded from a sheet.

Does it sell ebooks and audiobooks?

Not on its own. Those are digital products with access and licence needs, scoped separately if wanted.

Does it set book prices?

No. Prices come from the seller and, where relevant, the publisher’s terms. The system applies and records them.
