The head cook was booked for the Saturday lunch in March. In May somebody promised him to a reception the same evening. Both families were told yes.

The people, by what they do
Head cook, assistant cooks, servers, cleaners, the van driver. Named, not counted, because families ask for the cook they had last time.
A warning when somebody is double booked
The same man on two events on the same session raises a warning as the assignment is made. Somebody then decides, before the promise goes out.
Teams you use together
The four servers who always work together are assigned as a group. So is the team a particular contractor sends you.
Reporting time and place
Where to reach and by when, per session. The supervisor sends it the day before, and the hall address is already on the event.

Two limits worth knowing
It is not a payroll system
The roster holds who was assigned and who actually reported. What each cook and server is paid, the attendance register and whatever your labour adviser asks you to keep stay outside this.
People do not always turn up
A server who is assigned is not a server who arrived. The supervisor marks who actually came, and the roster becomes a record of the function rather than a plan for it.
Frequently asked questions
Can we roster contract staff we call in for big weekends?
Yes. They are kept as people or as a team under the contractor who sends them, and assigned the same way as your own staff.
Does it stop us from double booking a cook?
It warns. The owner still takes the call, because sometimes a cook genuinely can finish a morning lunch and reach an evening reception.
Can staff be told their week on WhatsApp?
The assignments are sent from the office as a message per person or per team. Somebody reads it before it goes out.
